Kanan Bala Varma (Proprieter)
Kanan Bala Varma has several years of experience in Library management in India and Abroad. She
did MA (Political Science) from Agra university and and B.Lib from Delhi University. She also worked in an eminent
college Library of Delhi University as reference Librarian and Librarian in national Institute of Transport, Dar-esSalaam, Tanzania. In Tanzania she set up the Library from the scratch and has experience of acquisition of reading
material to cataloguing and reference. Mrs Varma is well versed in human resource development and deployment.
In Tanzania she worked as a consultant for a UN team for Library development in Tanzania

Jitendra Varma (Consultant, Director), Ex Dy. Librarian JNU
Jitendra Varma has more than 30 years of experience in Library teaching and management in India
and Tanzania. He holds Masters degree in economics and Library and information science from Gorakhpur and
Delhi university respectively. He is certified by INFLIBNET and government of India in management of automated
libraries in India. He has experience in teaching library science for more then a decade in Jodhpur university
following which he undertook librarianship in JNU. During is tenure at JNU he was instrumental in automating the
library from manual catalogue card system to a modern computerized Library. He was one of the members of the
project undertook by JNU to lay down fiber optics network in the JNU campus with more than 100 nodes. He has
written several articles in Indian and foreign journals on Library and information sciences and has written a book on
Colon Thesaurus of Social science terms which is acclaimed as one of the most sort our reference book on Library
science by publishers..

“Functions of Library-Acquisition ”
Acquisition is the process of capturing requests of books and serials from users of the
Library and acquiring the required documents as per the budget of the Library. The
acquisition process is initiated by a library user suggesting a new or already existing
document. The document once suggested is checked and validated from reference
sources for any changes and additions in different fields by the acquisition department
of the library. The Library then sends a list of validated documents for approval to the
approving authority for placing the final order. The approved documents are then sent
to relevant vendors by sending them a provisional order. The provisional order once
accepted by the vendor is finalized for order and library waits for the receipt of the
order till the order is valid as per the policies of the Library. The orders which are not
fulfilled by the end of order validity period are assigned to a new vendor on a priority
basis. The documents are then accessioned and the invoice of order is sent to the
accounts department for payments. .

Cataloging is the process of identification of bibliographic fields of documents and
clasify them into various subject streams as per international standards. This includes
filling up of class number, author statement, subject headings and other bibliographic
fields as per AACR2 guidelines. This includes analytical indexing of monographs
manuscripts, and non-book material, press clipping indexing for mainly newspapers,
article indexing for serials and cataloging of internet resources.

Serial Control is the process of capturing the information of multiple volume serials
subscribed by the Library on advance payment to the vendor on annual basis. This
includes maintaining a record of each item of the serial as and when it is published and
received in the Library. The vendors are notified for any missing, outstanding or invalid
issues periodically to supply them in time.

“Functions of Library-Issue and Return ”
Issue and Return is the process of issuing the books to the registered members of the
Library as per their entitlement and rules of the Library. Books are issued for a
particular period of time, exceeding which the user has to pay a overdue charge to
compensate for the loss of readership of the book. Books which are lost by users
have to be either replaced or the cost of the book has to be paid along with any
overdue charges with penalty as per the rules of the Library. Inter Library Loan facility
is also provided to facilitate issue and return of books from other libraries for better use
of each other’s resources and requirement.

Reference is the process of providing fast and relevant information to the users of
library.Reference service is provided by reference staff by using catalog of books and
all reference sources available in or outside the library environment. Reference service
also includes scanning documents to find hidden information in them – particularly in
edited monographs and serials where articles, press clippings and chapters in a book
are of high importance in finding relevant citations for a query. Reference is the key
function of the library and the popularity of a library is judged on the quality of
reference services provided by it.

If we examine closely, the library management system is a complex process where
many processes are linked with each other in linear and hierarchical way. It becomes
difficult but not impossible to automate all processes of Library. A simple linear view
suggests acquisition – processing – Service methodology. But in each sector of this
linear view is hidden many sub-sectors which are linked hierarchically. The whole
process of Library management thus becomes very complex process, which needs
attention to automate the whole functionality to derive best results.

Different processses as stated above involve time consumption. In a manual system
the time taken to complete a process is much more than in an automated process.
VILS has developed a scientific methodology to complete a process in a lesser time in
usual way of manual system using web 2.0 technology.

  • 6. “About VILS-Credits ” Kanan Bala Varma (Proprieter) Kanan Bala Varma has several years of experience in Library management in India and Abroad. She did MA (Political Science) from Agra university and and B.Lib from Delhi University. She also worked in an eminent college Library of Delhi University as reference Librarian and Librarian in national Institute of Transport, Dar-esSalaam, Tanzania. In Tanzania she set up the Library from the scratch and has experience of acquisition of reading material to cataloguing and reference. Mrs Varma is well versed in human resource development and deployment. In Tanzania she worked as a consultant for a UN team for Library development in Tanzania Jitendra Varma (Consultant, Director), Ex Dy. Librarian JNU Jitendra Varma has more than 30 years of experience in Library teaching and management in India and Tanzania. He holds Masters degree in economics and Library and information science from Gorakhpur and Delhi university respectively. He is certified by INFLIBNET and government of India in management of automated libraries in India. He has experience in teaching library science for more then a decade in Jodhpur university following which he undertook librarianship in JNU. During is tenure at JNU he was instrumental in automating the library from manual catalogue card system to a modern computerized Library. He was one of the members of the project undertook by JNU to lay down fiber optics network in the JNU campus with more than 100 nodes.   • 8. “Functions of Library-Acquisition ” Acquisition is the process of capturing requests of books and serials from users of the Library and acquiring the required documents as per the budget of the Library. The acquisition process is initiated by a library user suggesting a new or already existing document. The document once suggested is checked and validated from reference sources for any changes and additions in different fields by the acquisition department of the library. The Library then sends a list of validated documents for approval to the approving authority for placing the final order. The approved documents are then sent to relevant vendors by sending them a provisional order. The provisional order once accepted by the vendor is finalized for order and library waits for the receipt of the order till the order is valid as per the policies of the Library. The orders which are not fulfilled by the end of order validity period are assigned to a new vendor on a priority basis. The documents are then accessioned and the invoice of order is sent to the accounts department for payments. . © 2009 VILS, All Rights Reserved
  • 9. “Functions of Library-Cataloging ” Cataloging is the process of identification of bibliographic fields of documents and clasify them into various subject streams as per international standards. This includes filling up of class number, author statement, subject headings and other bibliographic fields as per AACR2 guidelines. This includes analytical indexing of monographs manuscripts, and non-book material, press clipping indexing for mainly newspapers, article indexing for serials and cataloging of internet resources. © 2009 VILS, All Rights Reserved
  • 10. “Functions of Library-Serial Control ” Serial Control is the process of capturing the information of multiple volume serials subscribed by the Library on advance payment to the vendor on annual basis. This includes maintaining a record of each item of the serial as and when it is published and received in the Library.   • 11. “Functions of Library-Issue and Return ” Issue and Return is the process of issuing the books to the registered members of the Library as per their entitlement and rules of the Library. Books are issued for a particular period of time, exceeding which the user has to pay a overdue charge to compensate for the loss of readership of the book. Books which are lost by users have to be either replaced or the cost of the book has to be paid along with any overdue charges with penalty as per the rules of the Library.   • 12. “Functions of Library-Reference ” Reference is the process of providing fast and relevant information to the users of library.Reference service is provided by reference staff by using catalog of books and all reference sources available in or outside the library environment. Reference service also includes scanning documents to find hidden information in them – particularly in edited monographs and serials where articles, press clippings and chapters in a book are of high importance in finding relevant citations for a query.   • 13. “Library automation a challenge-Complex processes in Library ” If we examine closely, the library management system is a complex process where many processes are linked with each other in linear and hierarchical way. It becomes difficult but not impossible to automate all processes of Library. A simple linear view suggests acquisition – processing – Service methodology. But in each sector of this linear view is hidden many sub-sectors which are linked hierarchically. In a manual system the time taken to complete a process is much more than in an automated process.
