Introduction
• Meaning= Store keeping is a specialized and important
function of material control that is especially concerned with
the physical storage of goods. The store keeper is responsible
for safeguarding and keeping the materials and suppliers in
proper place unit required in production.
Types Of Stores
• Stores may be classified in to two potent categories are as
follows;
• Centralized stores
• Decentralized stores
• Centralized stores = Centralized storage means a single store
for the whole organisation.
• Decentralized stores = Decentralized storage means
independent small stores attached to various departments.
(Opportune stores for use in an organization is centralized stores to put the material
in suitable place without any damage.)
Objectives of Storekeeping
• Following are the main objectives of an efficient system of store keeping:
• To prevent overstocking and understocking of materials.
• To protect materials from pilferage, theft fire and other risks.
• To minimize the storage costs.
• To ensure proper and continuous control over materials.
• To ensure most effective utilization of available storage space and workers
engaged in the process of storekeeping.
Functions Of Storekeeping
• Receiving purchased materials from the purchase department and to
confirm their quality and quantity with the purchase order.
• Storing and preserving materials at proper and convenient places so that
items could be easily located.
• Storing the materials in such a manner as to minimize the occurrence of
risks and to prevent losses due to defective storage handling.
• Providing full information about the availability of materials and goods
etc., whenever so necessary by maintaining proper stores records with
the help of bin cards and stores ledger etc.
Duties of Store Keeper
• To exercise general control over all the activities in stores department.
• To ensure safe keeping both as to quality and quantity of the material.
• To maintain proper records.
• To check and receive purchased materials forwarded by the receiving
department and to arrange for the storage in appropriate places.
• To issue materials only in required quantities.
• To check the book balances, with the actual physical stock at frequent
intervals by way of internal control over wrong issues, pilferage, etc.
Store keeping procedure or store routine
• After receiving materials by receiving or store keeping
department, store keeping has to perform various activities
relating to materials. It is known as store keeping procedure
or store routine.
• Following procedures has to be done;
 Classification and codification of materials.
 Recording of material received.
Classification and codification of materials
• classification of materials = As per the nature of materials, it must be
classified in various groups of goods for the quick & easy exploration. It may
be classified as construction material, spare parts, lubricating etc.
• Codification of materials = coding means to a numbers or distinctive symbols
to a specific materials of stores with a arrangement for prompt identification.
• Recording of materials received = next step on store route is recording of
materials received by stored department. It have it’s following two system to
record material received by store:
 Bin card = A document that record the status of a good held in a stock room.
 Store ledger = A store ledger is a manual or computer record of the raw
materials and production supplies stored in a production facility.

Conclusion
 After the completion of purchase procedure, the next important aspect of
materials management is storekeeping.
 A store house is a building provided for preserving materials, stores and
finished goods. The in-charge of store is called store keeper or stores
manager.
• Some of the certain responsibilities which the storekeeper must follows
are as:
 Avoiding damage and deterioration or degradation of goods.
 Providing security against loss, fire & accident.
 Performing checking function on work completed.
 Protecting against the consequences of non-availability of materials.
 Recording and receiving of materials in store.
