Telephone Answering Tips
for Business Success
Presented by:
Answer your phone within
the first 3 rings.
Identify yourself and your
business to callers so they
know right away that they've
called the right number.
Always be prepared when
you answer the phone so
you can take detailed caller
notes.
When you answer the phone,
smile. Your callers will hear it,
and it will put them at ease.
Avoid poor sound
quality, and skip the
speaker phone.
Don't let others around
you distract you while
speaking with a caller.
Speak clearly. Don't
shout, but don't mumble
or whisper.
Really listen to your customers
and ask questions to clarify
anything you're uncertain of,
like correct name spellings.
Make sure to get the contact
information of the person
who is calling in case you are
disconnected while talking.
Give your customers fun
ways to leave feedback.
At the end of your call, make
sure to thank them on behalf
of the company and give a
polite goodbye.
