'Tasks and Steps' (T&S)
An easy-to-use tool for the standardization of clerical work,
project management and team collaboration

Frequent annoyances at the office
• Communication is done primarily via email:
– A lot of time is wasted searching for and looking through old emails
– Not everybody is always in CC and up to date – in other times, they are in CC too
much and receive information irrelevant to them
• The current progress of the project is not easily accessible, neither are the most urgent
things to do. This becomes a source of stress for managers and employees.
• No defined process or manual for clerical tasks, so that:
– Depending on who does the job results differ in quality and time needed
– Detailed knowledge about the process stays with experts and is unavailable to
the rest of the team in their absence.
– It is hard to keep track of mistakes to avoid/potential to improve when the
project or a similar process is repeated.
T&S offers an easy solution to above issues.

What is T&S?
• 'Tasks and Steps' (T&S) is a software that is
– Very easy to use, does not require a high level of IT skills
– Created for office work in small/medium size businesses
• People love it because it:
– Focuses communication on the most relevant tasks
– Visualizes progress and problems, thereby reducing stress
– Creates manuals for office work leading to a growing knowledgebase the
entire team benefits from
– Prevents repeating mistakes

– and any Task consists of many small Steps (right)

well and can be spotted on first sight.

Inside these Tasks there

Quality control:
All Steps inside these Tasks have been
completed. Only then the Task can
receive the checkmark icon as well.

What to do with T&S concretely
• Communicate
– Team members can exchange information directly at the to-do item, always on-
topic.
– This replaces email and removes the need to search for relevant information in
your mailbox.
• Manage
– Assign work to members, responsibility is always clarified
– Set due dates
– Supervise progress, quickly find problems and see where assistance is needed
• Document
– Add results and issues as a comment directly at the to-do item
– These comments become valuable hints the next time the work is repeated

  1. T&S ist einfach zu nutzen, aber Arbeit bleibt die Eingabe der Abläufe doch. Einen Initial-Aufwand muss man also erst einmal erbringen. Auch danach erledigen sich die einzelnen Schritte nicht von selbst, sie sind nicht automatisiert, ausführen muss man sie immer noch. Dies aber ist einfacher als vorher, außerdem verbessern sich die Abläufe in der praktischen Anwendung immer weiter.   Nun aber die Frage an Euch: Zunächst: Gibt es Fragen dazu? Dann interessieren mich Eure Eindrücke und Rückmeldung zu T&S. Kennt Ihr Programme, die Ähnliches leisten? Ist T&S interessant, gerade im Hinblick auf Lean Administration und Projekt-Management?
  2. Der Prozess wird unterteilt in 'Tasks' (Aufgaben) in der linken Spalte und 'Steps' (Tätigkeiten) in der rechten Spalte und so entsteht eine detaillierte Arbeitsanweisung.   3. Add media upload ? 大変!締め切りが近いのにまだ出来てないSTEPがある。 左側のTASKにもビックリマークが表示され、まずい状況が一目でわかる。 Achtung! Hier gibt es einen Termin, aber der STEP ist noch nicht erfüllt. Das Ausrufezeichen erscheint auch in der TASK-Spalte; das Problem fällt gleich ins Auge. 進捗状況:終了していないSTEPがまだある。 Fortschritt: Hier gibt es noch nicht abgearbeitete STEPS. TASKの中の全STEPが完全に実行されたので自動的にTASKにもチェックマーク! Alle STEPS eines TASKS wurden vollständig abgearbeitet, erst jetzt wird der TASK als abgehakt angezeigt.
  4. 定型業務(ルーチン)、プロジェクトが多くなればなるほど会社のナレッジが文章化され、蓄積される。 Das Top Management hat oft keinen Blick für die Mikroprozesse im Unternehmen. Trotzdem ist es sinnvoll, auch diese zu erfassen und zu beschreiben. Denn ein reibungsloser Firmenbetrieb beruht zum nicht geringen Teil auf Prozessen, die in den Sekretariaten oder der Allgemeinen Verwaltung beheimatet sind. Mit T&S ist es einfach möglich, diese zu standardisieren.
  5. Ausschnittsvergrößerung mit Kommentaren und Chat auf extra Seite その場で「仕事のSNS」のようにコミュニケーションができる。過去のメール探しは不要になる。 Im Kommentarfeld können User wie in einem Chat kommunizieren; das Suchen von entsprechenden Emails entfällt. 作業ごとに担当者をきめ、STEP(作業)を割り当てることができる。 STEPS werden Usern zugewiesen und damit für jede Tätigkeit ein Ausführender bestimmt. 前回の作業に問題があったので、ユーザが注意として作業にヒントを付け加えた。 Bei der vorherigen Durchführung gab es ein Problem, und ein User hat dem STEP einen Warnhinweis hinzugefügt. 他のユーザがコメントを書くとその通知がポップアップ Sobald ein anderer User einen Kommentar eingibt, erscheint eine Popup-Benachrichtigung.
