SuperOffice Pocket CRM is completely re-written and has alot of new features prior to the earlier versions. We have therefore created this
guide to help you get started with your new app.
Tabs
The main pages and associated sub-pages consist of tabs. You can see which
tab is selected, because its icon will be highlighted.
Screen optimization
On devices with small screens, the navigator is hidden
automatically. You select this icon
on the left to display the navigator.
The Navigator
The navigator appears on the left of the main pages in Pocket CRM. Here
you select the icon for the page you want to go to: Calendar, Contacts,
Sales, Projects or Images
Create new
The new button creates a new entry in the
database. What type of entry that is created
depends on which page you currently are
browsing .e.g. Appointment, Company, Contact
or Sale
The Task menu
On many pages, at the bottom left,
you will find the Task menu. This
contains options that are
relevant for the currently active page.
These may be logging in or out,
settings, filtering, sending SMS/e-mail,
map display etc.
Notify
If the navigation icon looks like this, it
means that you have overdue sale. The
same icon can appear in the Calendar
that indicates a new (unread)
notifications/invitation
Search
To view other employees diaries select your name
and search by name. Appointments for the
person in question are displayed.
This also apply in the sales page
2. Copy contacts to local addressbook
To copy a contac from SuperOffice to the local addressbook on
your device follow these steps:
1. Naviagte to the Contact page
2. Open a Contact (either in the history list or search for any)
3. Select Task > Copy to contact list on your device
The contact will be added to the local addressbook in the account
specified under Phone contact accounts
Show address in map
To view any address on either a Company or Contact in Pocket CRM follow these steps:
1. Naviagte to the Contact page
2. Open a Company or Contact (either in the history list or search for any)
3. Naviagte to the Details tab
4. Select Task > Show address in map
Pocket CRM will open the default map service on the particular device and show the
address of the selected Company or Contact.
Note: The Map URL can be changed under system settings and may vary depending on the device.
3. How to work with Pocket CRM
There are a lot of new features & function in this version, use the following table to get to know the most important ones.
I would like to.. Where? How?
Send an e-mail/ SMS You can send an SMS and/or an e-mail to one or more
persons from the following places in Pocket CRM:
The Projects and Selection tab on the main Contacts page.
The Group tab on the main Contacts page
The Task menu in the Details tab of a person.
The Task menu in the Participants tab of an appointment.
Click on the e-mail address on a Company or Contact to
send an e-mail or on a Contact’s mobile number to send
an SMS. Write your message in the message field.
Select Send.
Open and read documents and e-mails You hav access to all documents and e-mails stored in the
database from Pocket CRM. Each main page has it own
document tab.
Navigate to a Company or Contact, a Sale or a Project.
Browse to the documents tab and select the document
you required. This will take you to the document dialog
where you can open the document or send it as e-mail.
If the document type is e-mail you can forward ,reply all
or reply to the recipients of the e-mail.
Search In all main pages you can serach for information stored in
your SuperOffice.
Go to the main page for Contacts, and select the Search
tab to search for Companies/Contacts. To search on
Projects, go to the main page for Projects and select
Search. In appointments and sales; select your name, and
then search by name.
Add participants and resources to appointments In the Calendar you can create and modify appointments
and invite collegues and add resources to that particular
appointment.
Navigate to the Calendar page and click on an
appointment ( where you are the owner). Go to the
Participant tab > Click on Add participant. Search for the
contact you are looking for and select him/her. The person
is added to the appointment. To add a resource go to the
Participant tab , click on Task > Add resource
View my sales forecast and pipeline From the sales pages you can update forecasts for future
sales, conclude sales and create new ones. Also track the
status of all sales that you and your colleagues are
responsible for.
Naviagte to the Sales pages. Select the Upcoming or
Status screen. In the Upcoming tab you see a list of sales
withdate of today or ahead. The Status contains a
summery of sales activities for a spesific period. Change
period by selecting Task > View Quarter/Month/Week
4. Adjust the filter settings
Sometimes the number of activites stored on a single Company can be very large.
To narrow this down use the filter settings in the documents and activities tab
1. Naviagte to the Company or Contact page
2. Select a Company or a Contact ( search or from history list)
3. Click on the documents tab
4. Select Task > View open only, View mine only or Hide e-mails
This wil reduse the number of activities making it easier to find what
you are looking for.
Archive an image
Pictures are more and more used as documentation. The need to use your device
camera and store this might come in handy. Here’s how:
1. Naviagte to the Image page and open the documents tab
2. Select Add Image from Camera and take a picture with your device
3. Adjust the size before uploading it
4. Archive this pictures on a spesifict Company, Contact and/or Project
The image will be visible for all user momenterely on the coresponding Company
5. But wait, there’s more!
SuperOffice Pocket CRM has it’s own tablet version as well, optimizing the resolution on each device.
Contact Images
Apply an image on Contacts to easier recognize who you are
communicating with. Click on the image to change or add it.
Screen optimization/layout
On devices with large screens tilting the device
(landscape), will make the App use the entire
screen. Showing the details page on the right side.
Notify
If the Calendar navigation icon looks like this, it means that you have a
new (unread) notifications/invitation in your diary.
The same icon can appear in Sales that indicates an overdue sale.
E-mail/SMS
Click on the Contact or Company’s e-mail
address to send an e-mail. To send an SMS click
on the mobile phone number of any Contact.

Back
To navigate back to the previous page use this
button. By holding it down 3 seconds it will take
you back to start.

6. Setting up an e-mail account
In order to use and be able to send e-mail within Pocket CRM an e-mail account
needs to be configured.
1. From anywhere in Pocket CRM select Task >Settings > E-mail settings
Note: The name of the e-mail server and use of SSL may differ depending on the configuration
and policy of your corporate e-mail server.
First time use/login.
After you have downloaded Pocket CRM and before you can start using you newly
installed App a server URL needs to entered. This URL will be the server address of your
companies Pocket CRM server installation. The URL must be provided by your IT-
department.
1. Access AppStore or Google Play depending on your device
2. Download and install SuperOffice Pocket CRM
3. Start SuperOffice Pocket CRM
4. Enter the correct server URL for your company
5. Login using your username & password
