Abstract
Safety management system for aviation organization as per FAA/EASA guidelines

SAFETY MANAGEMENT SYSTEM –Introduction
In Order to achieve its production objectives, the management of any aviation organization requires
managing many business processes. Safety is one such business process. Safety management is a core
business function just as financial management, HR management, etc. The safety management system
is a systematic approach to managing safety, including the necessary organizational structures,
accountabilities, policies and procedures. Safety management system have been made mandatory by
many Aviation authorities across the world to ensure a safe working culture for all individuals.
Following objectives can be achieved by effective us of FlyPal®-SMS
Hazard Reporting
Everyone has a duty to bring dangerous situations or things which could cause harm or damage to
themselves or others (Hazards) to their employer’s attention.
In normal circumstances hazards which are likely to cause imminent danger should be dealt with
immediately by reporting them along with recommended action to line managers so that remedial
action may be taken.

FlyPal®-SMS has a facility to enter Hazard along with its type (e.g. Compressed Gas,
Electrical…), category (e.g. Ground Handling, Bird Strike...), and description along with
recommended action.
Anonymous user can also enter Hazard without disclosing their identity.
FlyPal®-SMS has facility to send emails to concern authorities for the new Hazard entered.
Depending upon the Risk Probability or Risk Matrix as is known (e.g. Extremely Improbable,
Improbable), and Severity parameters (e.g. Catastrophic, Hazardous...), system can tag the
risk level (e.g. Low, Significant, High...), for the entered hazard.
User can mention the processes for reference purpose (if any, i.e. Policy, Incident etc.) to the
Hazard.
Document/photos attachment facility is available.

Issue/Incident Reporting
After any incident happens, it becomes necessary to maintain the details of the incident so that
appropriate action can be taken by the authorities and for future reference purpose.
FlyPal®-SMS has a facility to enter incident/accidents happened. Following is the information covers
in the Incident reporting –

Type of Category (e.g. Ground Handling, Bird Strike...)
Nature/description of Incident
Location of Incident
Recommended/suggested action
Suggested Corrective action
Damage details (vehicle damage / Employee Injury)
Feedback details
Loss in terms of Cost (Direct / Indirect)

FlyPal®-SMS has facility to mention the role of employee connected with the incident, like Witness,
Victim, Actively Involved, Supervisor etc.
User can mention the processes for reference purpose (if any, i.e. Hazard, Policy, etc.) while entering
Issue/Incident Reporting.
Document/photos attachment facility is available.
Policy
Organization decides policies based on Incidents reported, Hazards reported or based on Corrective
action suggested by authorities to ensure safety of all working staff in hangar or in office at all the
times.
User can create the policy in the FlyPal®-SMS with the following details –
• Creation date
• Name/Subject of the Policy
• Continue/Discontinued /Revision status
• There can be multiple objectives for which policy is getting created.
• There can be multiple persons involved for implementing the policy.
User can mention the processes for reference purpose (if any, i.e. Hazard, Policy, Corrective action
etc.) while creating policy to link policies to an event.

Corrective Action
Effective corrective action process is one of the most important management processes, to ensure
that incident /accident are avoided at all cost.
FlyPal®-SMS has facility to enter details for corrective action taken, like • Problem Statement
• Recommendation
• Action taken
• Estimated start/finish date for the suggested/decided corrective action
• Actual Completion Date
• Department responsible for implementing corrective action.
• Costing for suggested/decided corrective action (Estimated / Actual)

Events Management:
Organization arranges various events for the Safety promotion, where it requires circulating
information of the event to employees to make all are aware of safety procedure.
Following are the different events available –

Inhouse Activity
Outdoor Activity / Visits

User can create the event where it will have –
• Date of Event
• Type of Event (e.g. listed above)
• Subject of the Event
• Message/detail related to Event
• List of Attendees (Employees)
FlyPal®-SMS has a functionality (optionally) to send a mail to attendees for the scheduled event along
with the event date, subject and message.

Safety promotion History
Organization has to maintain the details of the events conducted for Safety promotion. This
information can be used in future as reference purpose.
Following information is available for maintaining the promotion history –
• Date
• Event Type
• Subject
• Description/detail
• Hours
• Note
User can search the promotion history by date, event type for reference purpose.
Training History
Organization has to maintain the Training history for the purpose of future reference. Also it requires
maintaining the Employee details like which training attended, when, how many times etc.
FlyPal®-SMS has facility to maintain the Training done history along with the Attendees.

User can search the Training history by Training wise, Employee wise for reference purpose.
Air Safety Report (**New)
Standard Air safety report format can also be generated in case from the FlyPal®-SMS for any damage
to the aircrafts.
