Back in May we launched #CONNECT Towergate’s new Group Intranet, built on SharePoint Online, using a solution called Fresh integrated with Yammer. I am proud to say the project was extremely successful and the new solution represents a huge step forward for our company, finally allowing more than 300 businesses to use ONE platform to find and share information, work together and to complete their daily key tasks in a faster and more efficient way.
Today I would like to share with you some of the principles we put into practice, that worked for us and made this project a success.
And make sure you stick to them!
We started by defining 7 key objectives which then underpinned the business case and all our user stories.
Any requirement we gathered had to support at least one of the above objectives, otherwise it was rejected.
Not an easy one, but we stuck to this principle in everything we did:
We chose a solution that allowed us to stay as much as possible out of the box.
We cut out about 60% of the content on the previous intranet, simplifying the length and complexity of pages.
We worked really hard on the Information Architecture, sticking to 3 levels only and used childproof labelling.
98% of total population now has access, with 50% daily active users
Most of the Homepage content is different (personalised) for each person, with a left hand side column that evolves as you use the Intranet
We’re about to introduce more contextualised functionality such as Read Later list, My Calendar, new starter widget.
65% users joined Yammer within the first 3 months
Huge improvement in employee engagement and collaboration
Yammer groups span from Product Placement queries, to Charity, to IT tips and alerts and Fantasy Football.
The ‘I want to…’ section is entirely task based and works very well:
It’s the most popular page after the Homepage
Key tasks completed in a more efficient way
Every page is tagged
Huge content ‘findability’ improvement
Less time spent searching for information, also thanks to content filters on each global landing page
Our Intranet is ultimately for the user’s benefit, so it is only right to keep them engaged across the process.
We ensured we kept them engaged in a different way before, during and after launch.
I am particularly proud of our launch communications campaign, which started 3 months before go live, starring a cute French Bulldog, which generated a lot of curiosity and excitement. The campaign culminated with a Launch video 2 weeks before go live, I have included the link to the video in my presentation, so feel free to have a look as it’s quite funny.
