We agree to the Exhibit Space conditional attached and agree to pay the amount due. We understand that failure to pay by due date may result in
forfeiture of the space and the deposit paid. We also understand that failure to appear at the Expo will result in forfeiture of the entire amount paid.

Exhibit Space Conditions:
1.) Contracts must be returned with a 50% deposit and booth assignments will be done on a first come first served basis.
2.) Any exhibitor that does not show will forfeit the entire amount paid.
3.) Exhibitor Cancellation policy: In the event the exhibitor wishes to cancel, the Expo will not refund the deposit paid, however will refund
the remaining money paid if written notice of cancellation is received by July 31, 2008, providing the expo is able to resell the exhibit space.
4.) The Lynchburg Armory has a limited number of tables and chairs. These will be made available on a first come first serve basis.
5.) Each exhibitor is required to provide a Certificate of Insurance to the Expo for the period of Oct 22 - 26. Please have your agent fax it to
E.C. Services, Inc, 456 Old Court House Road, Appomattox, VA 24522. Fax: 434 352 8786
6.) All exhibits must be set up by Friday, October 23, 2009 at 10:00 am and taken down by October 26, 2009 at 4:00 pm. See set up and
take down hours on first page.
7.) Each booth will measure approximately 10’ x 8’. Partitions are constructed of pipe and drape (8’ back walls and 3’ side walls). Max
height of exhibit is 15’. No part of exhibit shall extend outside the space provided or into the walk ways. Any side wall of a booth that extends
more than 5’ from the back booth wall should be reduced to 4’ in height so as not to restrict visibility to adjoining booths. Exhibitors impeding
the line of sight of neighboring exhibitors may be asked to purchase pipe and drape masking from Hollins at the Expo at the exhibitors expense.
Exceptions to this rule will have to be approved in writing by E.C. Services. Subletting of space, partially or in its entirety, is NOT permitted.
8.) Tables, covering, chairs, and carpet will NOT be provided by the expo. These items can be obtained through Hollins Exposition. Each
exhibitor will receive ordering information from Hollins a few weeks before the Expo.
9.) The exhibitor is responsible for providing the manpower to set up and take down the booth.
10.) Exhibitor may distribute literature, samples, giveaways, etc within the confines of his booth. Demonstrations that are disruptive to
neighboring booths will not be permitted.
11.) Exhibitor drawings or prizes are the responsibility of the exhibitor.
12.) Expo will provide security during the hours when the show is closed, however the expo is not responsible for any losses.
13.) No verbal contracts shall be recognized by the Expo.
14.) All requests for exhibitor space must be approved by the Expo committee.
15.) Exhibitor loading and unloading areas will be provided during the set up and breakdown hours. During the show, exhibitors can park in
the downtown parking area or downtown garage. Please save the Community Market parking lot and the curbside parking near the armory for
your future customers. Please contact E.C. Services, Inc for special loading needs.
16.) Exhibitors and their representatives are expected to maintain professional conduct at all times. Should conduct be determined to be
inappropriate by the Expo management, a security officer will ask the individual to vacate the premises. Management reserves the rights to
restrict or limit the type, brand, or model of units or products to be displayed or sold and to restrict or limit the type of signage, materials,
brochures, or information displayed and/or available at the show.
17.) Exhibitors should wear the badges provided in order to identify them at the gate. Extra badges for other personnel covering your booth
can be obtained from the Expo personnel during set up. Anyone without an exhibitor badge will be asked to pay the admission fee.
18.) NO POLITICAL CAMPAIGING WILL BE ALLOWED DURING EVENT. This includes set up hours and actual show hours. NO EXCEPTIONS!
19.) Exhibitors shall be responsible for the space being returned at the end of the show in the same condition as when taken over. In case of
damage, the exhibitor shall pay for such claims as are necessary to restore the space to its original state. A cleanup fee of $50.00 will be
charged when companies leave excessive debris in the space at the close of the show. NO food products other than candy are to be given
away without prior written approval of E.C. Services, Inc.
20.) Management reserves the right to add or delete spaces, and to move exhibitors to facilitate crowd control, safety regulations, or for other
reasons at the discretion of the show management. Management shall not be liable for refunds or any other liabilities for the failure to fulfill
this contract due to any of the following: (a) by reasons of the building or grounds in which the show is to be produced, being, before or during
the show, destroyed or damaged by fire or any other calamity; (b) by an act of god, public enemy, strikes, ordinances or any other legal
authority, or any other cause beyond the control of the management. Management serves the right to postpone or move the show to another
facility. This agreement does not reserve for, nor guarantee to the exhibitor any space, a specific area or space priority, right of first refusal or
any other manner of participation in any future show.
