THE PROBLEM WITH TRULINX
What is ERP?
ERP stands for “Enterprise Resource Planning”. An ERP is an all-in-one information
system that a company uses to collect and analyze data which is used to organize resources
and information. The components of an ERP are stored in a unified database and include
inventory management, supply chain, manufacturing, human resources, customer relationship
management (CRM), purchasing, accounting, vendor integration, E-commerce and sales. An
ERP can include hardware, software, procedures and input by the users. Having a well-
organized ERP system can lead to improvement in response time, improved customer and
employee satisfaction, reduction in labor and inventory costs and more efficient access to the
information needed to run a successful company.
Why Titanium wanted to use TrulinX
After speaking with Mr. Haberbosch, we learned that inventory management is one of
Hampton Rubber Company’s biggest problems. The company currently uses the Tribute
Software System (UNIX-Based), as their ERP. A UNIX-based operating system is able to
accommodate multiple users while completing multiple tasks; a good example would be a
work station. After visiting the company’s two locations, initially we believed that it would be
beneficial for Hampton Rubber Company to change its ERP system to TrulinX (Windows
based) due to both systems being designed by Tribute. The advantage of having a Windows
Based ERP is that employees would be able to access this system using a graphic user interface
(GUI) on desktop and laptop computers, in addition to smartphones and tablets (if necessary).
Our favorite features of TrulinX as listed on their website are sales analysis, inventory and bin
management, bar coding and complete integration with UPS WorldShip and FedEx Ship
Manager. Specifically, TrulinX offers many features that are for the distribution industry. In
addition, Titanium liked the other benefits offered by this software which includes user training,
a 5 step data conversion process and a convenient mobile application for an additional fee.

Contacting Tribute
In an attempt to learn more about Tribute and TrulinX and inquire a demo of each
software, we contacted Tribute through email. Our Administrative Officer, Teresa Cardamone,
filled out a form on Tribute’s website with our company information requesting more details
about Tribute’s software systems. She was contacted by a member of Tribute’s Sales and
Marketing team asking why “a student at Virginia Wesleyan College would be interested in a
demo of their software”. However, she initially offered to send information about Tribute’s
services and software. Our company explained to the Tribute representative why we were
inquiring about more information on Tribute’s software systems and also asked questions
about different aspects of each software system, Teresa was told that she would be denied any
future help by Tribute for this proposal. In this last email, the Tribute representative said this
following statement to Teresa.
Why Titanium decided to research a new ERP
After Teresa’s conversation with Tribute, we decided as a team that any ERP from
Tribute would not be suitable for Hampton Rubber Company. After visiting both of Hampton
Rubber’s locations and speaking to multiple employees, we found that customer service has
been key to Hampton Rubber Company’s success. Since having great customer service is one
of Titanium’s top priorities, we feel that in order for Hampton Rubber Company to expand,
they need an ERP system that is known for the same reasons. We feel that since Tribute was
not willing to cooperate with us that any ERP system designed by Tribute is not suitable for our
clients. After careful research and deliberation, we decided on a new ERP- Plex.

Plex Manufacturing Cloud began in a manufacturing
facility, similar to Hampton Rubber Company’s factory,
making drive shafts and axles. Plex was founded by workers
who, similar to your company, were dedicated to providing
the specifications of the customer’s needs and excellent
customer service. Just as Hampton Rubber Company is
having problems with inventory, machine breakdowns and
even possible mistakes on made-to-order parts, the founders
built this company in order to fix these problems, and even
prevent them from occurring. Plex’s goal is to connect
manufacturing operation in the cloud for maximum efficiency,
productivity, and to continuously innovate and help your
company expand along the way.
Why the cloud?
In Plex Manufacturing Cloud’s own words “‘cloud’ simply
means that your software, data and related infrastructure are
hosted remotely via the Internet”. In our own words, cloud
computing combines the SaaS, or Software as a Service,
Model, Web 2.0, grid computing, and utility computing to
provide a variety of resources to users over the Internet. SaaS
is a model in which application service providers (ASPs)
deliver software to users for a fee; Web 2.0 are web applications that are more interactive than
traditional web applications (ex: Wikipedia, YouTube); grid computing combines the
processing powers for various computers to solve large-scale and complex problems; utility
computing is explained as IT services on demand, where users pay for computing or storage

PURPOSE OF TABLETS
Titanium believes Hampton Rubber Company can utilize the tablets to work with the
new Plex system. The tablets will help keep invoices paperless and everything will be accessible
on any computer or mobile device through the cloud. A weakness of paper invoices is the
likelihood to be lost or damaged, the tablets will help keep track of all invoices, and prevent
this from occurring. The tablet will also be able to keep track of inventory through the use of
the barcode scanner accessible through the built-in camera, which will save time and reduce
costs by no longer needing to manually record inventory. Using the tablets with the Plex
system will cater to Hampton Rubber Company’s growth in sales and inventory as their
markets expand.
Three tablets will need data plans; one for Billy in outside sales at the Norfolk location
and the other two for the outside salespeople in Hampton. The other tablets do not need a
data package and can be used through the Wi-Fi connection within the Norfolk and Hampton
locations. We suggest a protection cases from Otterbox for all of the tablets to ensure the
devices can withstand the busyness and rough handling on the job. For more information on
pricing see appendix B. As an additional backup, we also recommend a protection plan in
case the hardware would become damaged while in use.
Billy and the other outside sales people need the tablets early-on in the implementation
process to help improve the ordering process and streamline sales. When visiting clients’
establishments, the tablets will be used to make sales on the spot and to show what is in stock
at either location or what they will need to order to meet the client’s needs. The invoices will
be sent straight to the workers and can be prioritized by importance and deadline to ensure
the order is ready on time and meets all the measurement and quantity requirements.

One of the primary components of the Plex that
Titanium suggests Hampton Rubber Company
implements is the barcoding system for inventory
management. This system will require labels to be
printed out for each of the materials in stock. Also, in
order to continue to ship their packages through Pacejet,
Hampton Rubber Company will need to print shipping
labels too. We suggest Zebra Xi Series 170-801 model
industrial printer due its durability, it’s availability to print
both label needs and most importantly it is compatible
with the Plex software. The company will also need to
purchase the labels themselves. We suggest a direct
thermal label because it is designed to keep its brilliant
white color and withstand extreme temperatures. The
labels are available in bulk and thus, we recommend
purchasing a case of six rolls for the first year of
implementation. This estimate should also be close to
what Hampton Rubber will need in the coming years.

Hampton Rubber Company has some issues with keeping track of their inventory and
selling custom sized hydraulic hose and fittings configurations. The best way to move slow-
selling inventory is to open new markets and clientele. Barcoding is an effective way to keep
track of the quantity of each item in stock and the exact location of that item. This will improve
productivity, and allow for a higher number of completed orders each day. Instead of storing
smaller, less expensive, hoses on shelves, we believe you should create more spool lines to
save floor space and free up shelves for larger hoses, which require more space and have a
higher demand and cost. When inventory shipments arrive, this will allow for products to
quickly be moved to their proper place in the warehouse, which allows workers to move freely
and conduct their work more efficiently. The Plex system includes inventory management
software that will help HRC organize and keep track of what inventory is in stock and what they
will need to order in the near future.

There are many items in inventory that, soon after arriving to the factory, are not put
away or entered into the inventory system properly, and are left sitting in the way of the
workers- reducing productivity. All necessary resources need to be local to their pertaining
workstations, unpackaged and ready for installation. With centrally located items, workers will
be able to complete orders in a timely manner, and begin new orders earlier. Shelf
organization must be maintained to keep inventory in its proper place and to capitalize on
necessary shelf space in order to accommodate new and existing inventory.
Front counter product placement should include rubber boots, different kinds of rubber gloves
and the most common items walk-in customers tend to need. Titanium believes Hampton
Rubber Company should provide customers with pamphlets to educate themselves about the
most common products and services the company provides.

Two of the major project goals Titanium has for Hampton Rubber have their foundation
in marketing and networking. We are excited to see steps already happening in both these
areas inside the company such as the creation of a YouTube presence, a new website and
updated logo as well as efforts to add new customers to your clientele at a swift pace. We
fully support these measures; however, we would like to further expand vision by intensifying
these efforts and adding new ideas. Our goal is for Hampton Rubber Company to grow in
breadth of its markets and its new advertising measures would multiply the depth of their
existing markets. The following describes our suggestions for marketing to enhance depth and
our networking to increase breath of Hampton Rubber’s customer markets.
PHYSICAL ADVERTISING
Van Decals
On Titanium’s first visit to the Norfolk location of Hampton Rubber, the team passed
a white van coming out of the facility. Titanium then later inquired during their tour if this
was a company van, and to their surprise it was. We feel that if we, who has an existing
interest in Hampton Rubber, can’t recognize their vans, then how will a potential customer
acquire any knowledge of the company from the vans? Upon further investigation,
Titanium learned the vans did have a logo and phone number on them; however, it was
tiny and hardly an attention-getting advertisement. Since these vans already travel
around the company’s largest target market, the local community, we feel it is convenient
and necessary that these vans are outfitted with a larger, more appealing decal. The
following is a potential advertising decal for the vans at Norfolk to aid in the
implementation of this new physical advertisement strategy. See Appendix C for more
pricing information. Titanium suggests to start by placing the advertisements on the two
Norfolk vans for a total of four magnetic signs.

We are glad to see the new company logo as displayed on their website. This logo
should be integrated on all of the company physical advertisements. This is speaking of the
vans, but also the front sign of the building of the Norfolk location. We also recommend that
the advertisements use the same color scheme as featured on the website to further appeal to
their present and potential customers. We are letting Hampton Rubber select their company
of choice for this new addition.
Newspaper
Another huge marketing opportunity we suggest to publicize your company’s new
growth and vision is the local newspaper. We contacted Dave Mayfield, the Business Editor at
Virginia Pilot, about Hampton Rubber potentially having a reporter write an article on the
company. The article would feature the new changes in the company and how Hampton
Rubber was the first in the local industry and now they are the first to produce their original
great quality products with new age technology to back them up. It would be a wonderful
way to get the company’s name and story out to the local community.

During that same visit, we learned from Mr. Haberbosch Hampton Rubber
Company had a dream of starting a YouTube channel with videos on who Hampton
Rubber is and what they do, both on a company-wide level and on an individual worker’s
level. We suggest not only should the company create a YouTube presence using these
videos, but also upload expert advice and how-to videos. Currently, the company has
three outside salesmen who travel to the site of the customer and offer inspection and
advice. We feel by uploading some standard information on the platform of YouTube
they are opening up their markets to a whole new audience for this networking. Just like
the on-site visits, these videos are another way to publicize Hampton Rubber and what
they do. We feel steps should be taken to make videos on the following topics:

We are excited about the new website that has been made active. Titanium has
reviewed the site and would like to suggest improvements. Titanium has experienced
problems with the social media links to Facebook, LinkedIn, and YouTube on the new website
and even finding the new channel on YouTube itself. From our understanding, this channel
may not be available yet. To ease this frustration for users, we suggest improving and/or test
running these links frequently when that channel does become live. We are eager to see how
this newly updated web site will affect the business sales in the years to come.

At Titanium, we feel that focusing on immediate solutions and more long-term large
ideas are both important for the vison of the business. Therefore, we would like to introduce
to you a large-scale product distribution opportunity. When our team was visiting the
Hampton location it was mentioned to us that the local AutoZone stores in the area know
Hampton Road Company makes and sells rubber parts for cars that they, themselves, do not
carry in-store. Since one of our goals for the company is to “introduce new markets locally,
regionally and nationally to Hampton Rubber”, we feel this has the potential to do all three.
We have taken steps to contact AutoZone about potentially selling Hampton Rubber’s
specialized car rubber products in the AutoZone stores on a local level, a regional scale and
stretching to a national market. This process would require you filling out an application to
continue in this opportunity. See Appendix A for more information about this application. We
realize the implementation of this goal is far from today, but we want to dream big, yet
practical and transfer that mindset to our clients.
Company Luncheons
Titanium believes it is more important to retain your previous customers than to gain
new ones. Thus, we suggest the company should hold a client and employee luncheon. This
would build morale for your employees and is a nice token of gratitude for all the hard work
they do. It will also show clients how much you appreciate their business. Although it is not
the main focus, it also would be a good event to market and connect to potential clients.

Titanium Service Fees:
-One-time $40,000 fee includes all the research, meetings, and other proposal and presentation requirements as already completed.
-Monthly $5,000 fee includes organization of inventory, bar coding of inventory, data and history conversation, tablet set-up,
advertising, and assistance with training as descripted in the implementation process.

means having the right products and knowledge to do the complete job, and presenting them to our customers. In an effort to meet customers’
expectations of quality, AutoZone has implemented a Supplier Certification Program. The program is modeled after QS9000/ISO9000 quality systems
requirements but includes many AutoZone-specific requirements.
If you have product(s) that fits within automotive aftermarket categories, or non-traditional products outside of traditional automotive that might be new and
exciting for our customers, please follow the proposal instructions on the next page. If you are unable to meet AutoZone’ requirements due to being a
small and/or start-up company, don’t be discouraged from sending in your company information; we may be able to introduce your company to current
AutoZone suppliers with whom you may be able to partner.
We appreciate your interest, and thank you for allowing us to review your products and company. We will contact you within 60 days of receiving your proposal.
Pursuant to AutoZone’s Privacy Policy, AutoZone will not share or sell any responses to this questionnaire to third parties.
Notwithstanding anything herein to the contrary, AutoZone shall be free to consult with and hire other companies to perform services, and create or provide
products similar to those provided by Supplier. Further, Supplier understands that AutoZone may already be developing internally or receiving, or in the
future may develop internally or receive from other parties, products or service that may be similar or identical to Supplier’s products or services. No
discussions or disclosures of Supplier shall impair the rights of AutoZone to make, distribute, procure or provide for itself services or products now, or in the
future which may be competitive with any Supplier product or service of any kind or type
AutoZone shall not in any way be obligated to acquire or license any technology, information, products or services from Supplier by virtue of this Agreement
Proposal Instructions
To ensure proper processing of your proposal, please follow the steps below:
1) Download the New Supplier Opportunity document.
2) Complete the Supplier Questionnaire section and PRINT a copy to mail.
3) Gather the applicable information and materials:
-Business Cards
-Product Catalog
-Samples
-Photos or Videos (if product is too large to mail)
4) Send the completed Questionnaire (PRINTED COPY) and the other items, in one package, to the following address:
