• free: licensed under a Creative Commons Free Culture License
• lightweight an S3 patterns is typically introduced to an organization in
less than 3 hours
• open just take what you need right now, tweak and adapt as you see fit

8. Domains
A domain is a distinct area of influence, activity and decision making
within an organization.
Domains are delegated to people: (e.g. a unit, department, team,
circle, open domain, role, position)
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 8
9. Domains in Organizations
All domains in an organization
• are within the overall domain of an
organization
• may overlap (non-hierarchical
organizations)
• may be be fully contained within other
domains (hierarchical organizations)
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 9
10. Delegation
• delegator is accountable for a domain
• delegator delegates (part of) that domain to delegatee
• both delegator and delegatee are accountable for success
Example: team creates a role and selects one team member for the
role
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 10
11. Delegation and Structure
Delegation:
• creates organizational structure
through distribution of work
• is essential for effectiveness of
organization
• may enable or prevent trust, autonomy
and development
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 11
12. Structure and Success
structure should make things easier
• get the work done
• clarify expectations and constraints
• manage dependencies
• build trust and autonomy
• enable organizational and personal development
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 12
13. Structure and Success (cont.)
Structure should not make things harder
• get in the way
• create additional work
• create additional constraints
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 13
15. A tool for negotiating, clarifying
and evolving the delegation of a
domain to people
• foster shared understanding
• find a fitting balance between autonomy
and influence
• manage dependencies and constraints
• clarify expectations
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 15
16. Development
• enable iterative, collaborative and
hypothesis-driven development
• for individuals
• for the organization
• build trust and autonomy
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 16
17. Applications
• departments
• teams
• circles
• open domains
• roles
• positions
• tasks
• projects
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 17
18. Applications (cont.)
• filling in a canvas takes 45-60 minutes
• no assumptions about structure:
hierarchical and post-hierarchical
organizations
• new domains and existing domains
(delegation game)
• start small: only use what appears
valuable right now, you can still add the
rest later!
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 18
20. Step 1: Primary Driver / Mission
Justify the domain:
• Why does the team or role exist?
• What is the need it responds to?
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 20
21. Step 2: Key Responsibilities
Clarify domain:
• list the top three responsibilities (common goals or objectives)
• describe them in a way that that enables measuring success
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 21
22. Step 3: Key Challenges
Identify at least least three important challenges to the success of
the team/role. Challenges are related to the outside world, to the
organization, or sometimes also to specific delegatee(s). Look for
• risk
• uncertainty and complexity
• lack of skills or resources.
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 22
23. Step 4: Key Constraints
Describe important constraints to the autonomy and influence of the delegatee. Key constraints are either
fixed, or a matter of decision, and may be related to the outside world, the organization, or specifically to the
delegator's level of trust. Some examples:
• shared resources
• required consultations or outside influence
• time constraints
• legal constraints
• budget constraints
• audits
• expected reports
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 23
24. Step 5: Key Deliverables
What does the team/role provide to meet the key responsibilities
and key challenges?
What do other parties expect from the team/role?
Describe at least the top three deliverables (products, services,
experiences or transformations).
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 24
25. Step 6: Delegator Responsibilities
What is the delegator's contribution to the success of the
delegatee(s)?
Responsibilities should be specific and measurable, so they can be
reviewed and developed.
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 25
26. Step 7: Key Metrics
How can you measure the success of the delegatee(s)?
Prefer simple, continuous and actionable metrics, and relate them to
driver, responsibilities, challenges and deliverables.
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 26
27. Step 8: Key Resources
Essential resources, assets or privileges the delegatee(s) can make
use of in accounting for their domain.
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 27
28. Step 9: Evaluation
Agree on:
• schedule for review of the delegation
• evaluation criteria in addition the key metrics
• any other relevant aspects of the evaluation.
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 28
29. Step 10: Dependencies
Describe:
• customers (those who consume the team's output)
• providers of products or services essential to the work of the
delegatee(s). Include reasonable expectations about the delivery.
• any other essential stakeholders
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 29
31. Peer-Review for Roles or Teams
• invite participants
• present delegation canvas, metrics and reports
• collect appreciations
• collect improvements
• co-create development plan
• actionable changes to behavior
• changes to structure (delegation canvas)
• get consent to development plan from all stakeholders
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 31
33. The Delegation Game
Applications:
• define and delegate a new domain
• develop shared understanding and reveal misconceptions about
an existing domain (role, position, team, department etc. )
Length:
• 30-60 mins
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 33
34. The Delegation Game (2)
Participants:
• delegator(s)
• delegatee(s)
Materials needed:
• a delegation canvas for each participant
• pens
• flipchart
Bernhard Bockelbrink (v2017-08-25) - evolvingcollaboration.com 34
35. The Delegation Game (3)
• allow for 15 minutes for each participant to fill in their canvas
individually
• go through each section together: compare notes and agree on
text for that section
