1. Job Responsibilities of Admin Officer
1. Operation of Facility and Logistic Support, etc.
2. Maintain and update records, files, and documents in an organized manner.
3. Ensure all kinds of Report, Documentation/ Paper works, etc.
4. Responding appropriately to emergencies or urgent issues as and when required.
5. Proper maintenance of stock register and supplies.
6. Prepare monthly inventory report as per guideline.
7. Check bills with supporting documents of field staff to assist accountant.
8. Preserve and update of personnel files, leave registers and other related documents.
9. Managing relevant vendors and contracts for the project office.
10. Inventory management.
11. Giving order and receive order in an organized manner.
12. Deal with external people, Such as: Electrician, Technical person etc.
13. Giving order to the subordinates and get works done by them effectively.
14. Need to have strong bargain power for external dealings.
15. Ensure the security of all materials.
16. Check bills with supporting documents of office.
17. Keep necessary documentation for record.
18. Assist Accounts Officer in financial & administrative activities.
19. Ensuring proper controlling and utilization of the fixed assets of the project.
20. Collect logistics demand note from the field. Prepare tender notice, request for quotations,
quotation analysis, work order.
21. Taking all necessary steps regarding purchase of office equipment, furniture, printing and
publications, including collecting quotations (e.g. for hire of venues, printing).
22. Taking appropriate actions regarding Inventory Inspection and management as advised time
to time.
23. Prepare asset management inventory.
24. Able to take responsibility and pressure to meet the target of time and quality.
25. To maintain active communication with different offices and local communities to
coordinate various administrative issues.
26. Compose office memo, reports etc. as per instruction.
27. Highly developed skill in marketing research in IT sector.
28. Coordinate with Planning & Development, Marketing & Sales, Administration and
Marketing research.
29. Prepare draft of various letters, email as per instruction.
30. Ability to contribute to a small, proactive team.
31. Initiate cost effective project operations in collaboration with the Finance officer.
32. Ensuring effective operational control and implements operational strategy directed by the
Managing Director (MD).
2. 33. Supervising overall departmental function of the Company and take care of another
departmental inventory and logistic support.
34. Responsible for proper maintenance and records of all kinds of vouchers, cash books, work
order, E-mail correspondents and other necessary official documents.
35. Dealing with incoming and outgoing correspondence, organizing couriers.
36. Taking and circulating minutes of office meetings.
37. Responsible for booking air tickets, hotels, visas & maintaining company travel log.
38. Project administration for own portfolio of small jobs – budget and contract preparation,
contact with client and consultants, dealing with invoices.
39. Ensure transactions are properly recorded and entered into the computerized accounting
system.
40. Provides and/or oversees provision of staff support to the office, to include handling walk-
up and phone interactions, maintaining calendars and travel arrangements, screening,
analyzing, and responding to incoming correspondence, handling day-to-day problems and
situations, and provision of secretarial support.
41. Performs research and analysis on specific issues, as required, and independently prepares
non-routine letters and/or reports, which may be highly sensitive and confidential in nature.
42. Ability to make administrative and procedural decisions and judgments on sensitive,
confidential issues.
43. Skills in the use of database management, word processing, spreadsheet, and/or presentation
software.
44. Provides work direction to clerical and technical staff, directlyor through supervisors or lead
workers.
45. Conducts special studies, presents briefs and reports and recommends new policies or
procedures as may be required.
