4. Auction Procedures
Thank you for joining us for Yorkville Community School PTA’s annual spring auction! We hope you enjoy
an evening of fantastic food and wonderful auction items, all for a great cause. All of the proceeds will
benefit YCS’s Enrichment Programs.
Live Auction
Our Live Auction will include a select number of unique items and will begin approximately at 8:45pm. The
auctioneer will specify a minimum opening bid at the start of the bidding for each item. Bidding will end
when there are no more bidders for the item and the auctioneer pronounces the item “sold”. Spotters will
approach the winning bidder, confirm the bid price and make arrangements for payment.
Silent Auction
Many exciting items will be auctioned under a silent auction system. Items, along with their starting bids,
will be listed on bid sheets on tables throughout the room. To bid on an item, simply write in your higher
bid on the line below the current bid. Please print your bid, name and bidder number, and contact
information clearly. All winners will be notified no later than May 4th. Auction items will be available for
pick-up at YCS beginning May 4th. We will post specific pick up times and dates on
www.yorkvillecommunityschool.org and through email.
Mystery Envelopes, Raffle and Pick-A-Prize
Mystery Envelopes will be available throughout the evening for $25 each. Envelopes may contain gift
certificates, merchandise certificates and more. Value ranges from a minimum of $25 to $80. Select items
have been designated as Raffle Items. In addition, some items will be designated for a “Pick-A-Prize” at
the event. Tickets may be purchased for $3 each or 4 for $10. Ticket purchasers select which items they
wish to try to win and place as many tickets as they like in the bowl designated for that item. Raffle
Tickets and Chinese Auction Tickets will be sold until 10:20pm with the drawing occurring at
approximately 10:30 on the evening of the auction. You don’t need to be present to win.
Methods of Payment
Payment for items will be accepted when the item is picked up. If you are paying by check, please make it
payable to Yorkville Community School PTA, and indicate the Item Number(s) on the check. All sales are
final. Credit cards are accepted.
Auction Conditions and Rules
Descriptions of items have been made with every reasonable effort to describe each item correctly and
accurately, but all items are sold “as is” and without any warranty or representation of any kind as to the
correctness of description, authenticity, condition, estimated value or quality of fitness for any purpose.
Taxes and gratuities are generally not included on gift certificates. See gift certificates for restrictions,
details and expiration date. All items have been donated to Yorkville Community School PTA and are sold
by it and not the donor. All proceeds benefit YCS Enrichment Programs. Purchasers cannot ask for
refunds, exchanges, or modifications of terms from the donors.
Proxy Bidding
If you cannot make the event, you can submit a bid by email to auctions@yorkvillecommunityschool.org.
by 3pm on 5/1/15. Your bid amount will be entered as the first bid into the item’s bid sheet once at the
start of the auction. It will not be monitored or adjusted during the live auction. You will not be notified
of any other proxy bids on the same item. Please include the item number and name, bid amount, your
name, contact and your child’s name in the email.
