How to plan a Kukui Cup

                      Philip Johnson
      Collaborative Software Development Laboratory
            Information and Computer Sciences
                    University of Hawaii

(1)
1. Organize your team
      Groups: Skill sets:
      • RDs and RAs • Graphics
      • Students • Fundraising
      • Faculty • Education
      • Organizations • Web technology
      • Administration • Event planning
      • Film club • Videography

(2)
2. Define your schedule
      What months? (September, October)
      How long (three weeks?)
How many rounds? (one per week?)
      What events?

(3)
Sample Schedule from 2011

(4)
3. Create Budget (and Fundraise)

      Line Item Amount
       Workshop/event food $ 750
       Swag $1700
       Tshirts $2400
       Prizes $2000
       Marketing $1200
       Transportation $ 500
       Honorariums $ 500

       Total $9000

(5)
4. Decide on incentives
      Swag
      • T-shirts, ecototes, lanyards, tumblers, water
        bottles

      Leaderboard prizes/individuals
       • iPad, Skateboard, gift certificates

      Leaderboard prizes/floors
       • mochi balls, pizza, cupcakes, malasadas

      Raffle game
      • clothing, gift certificates, etc.
(6)
Sample incentives

(7)
5. Design your Smart Grid Game
      What activities?
      What events?
      Point system?
      Dependencies?
      Videos?
      Commitments?

(8)
6. Design your Daily Energy Game
      What percentage
      reduction?

      Requires
      • IP-addressable
        meters
      • Baseline data

(9)
7. Create marketing plan/materials
       T-shirt design
       Logos
       Posters
       Banners
       Flyers
       PSAs
       Branded swag
       Facebook page
       YouTube channel

(10)
8. Delegate event logistics
       For workshops, events, excursions:
        • Each one needs an "owner"
        • Create a plan, agenda, budget, materials list
        • How to publicize it?
        • How many additional people needed to carry it
          out?
        • Get someone to film the event and make
          YouTube video

(11)
9. Create Game Plan Document

Specify all events, location, personnel, equipment
(12)
10. Research and evaluation
       student satisfaction
       residential life satisfaction
       in- and post-competition conservation
       pre- vs. post-competition literacy

       Second order effects:
        • Raised awareness in sustainability
        • Higher commitment/involvement in sustainabiilty
        • Raised profile of university in sustainability
        • Insights into improvements:
           -Game, events, videos, marketing, etc.

(13)
Example research questions
       Do students learn about sustainability?
       Do students conserve?
Does the conservation persist after the
       challenge?
       How effective were the
       activities, events, excursions, marketing, prizes,
       etc?
What can you do to make it better next year?
       What was the adoption rate?

(14)
General timing
       1 month prior:
         • Order all incentives, marketing materials.
         • All speakers, events, confirmed
         • Transportation reserved.
         • Baseline data collected
        2 months prior:
         • Game Plan Document developed
         • Meters installed and running.
        4 months prior:
         • Team members committed
        6 months prior:
         • Initiate planning
(15)
Hints
RA and RD commitment is very important.
       Need "champions" for each floor.
       Don't forget marketing.
       Food is big draw.

       Create virtuous circle:
       • After competition is over, solicit players from
this year to become "organizing committee"
         for next year.

(16)
Questions?
       Energy goals.

       Start in October?
       • Good for collecting baseline data.
       • Disadvantage: getting dark earlier.
