To understand why DAM is called “digital asset management”, it helps to understand what a digital asset is.
A digital asset itself really at one time used to be associated with document management or a ECM application, where we would just store or dump large volumes of images, documents and we would just manage the storage of the files. Although today content it is not just limited to documents or limited to one specific department in a organization.
Todays business applications demand a more powerful and more intelligent way of managing content. And what a true DAM solution provides is a way for you to not only manage content but also allow you to use the associated meta data and really put that data into process by sending it to other systems within your organization.
I think it’s interesting to first look at a broad definition of just the word “asset”, using Wikipedia for example: Read Quote
A digital asset is any form of content or media formatted into a binary source, which are not merely digital files. They are pieces of content that are valuable to your org and have a high replacement value. While there are many types of formats and file extensions such as html, pdf, avi, jpg, tiff, pdf, etc generally we can categorized them into three major buckets: 1. Textual content; 2. Images; 3. Rich media. Which can consist of photos, images, audio files, video files, design files, presentations, office docs you get the idea.
To summarize this easily, all digital asset artifacts have some level of inherent and acquired value which organizations would be paralyzed if lost.
Now that we have a clear understanding of what a digital asset is we can address why an org needs a DAM
I really like this slide and this stat, we can really get a good idea at how stressful being a IT admin today really is and what their largest challenges are. Just under 70% of IT admins say there job is stressful and they spend nearly 30% of their time managing pc’s and their data.
How do you know if a DAM solution is right for you or if you require one? We can outline three key pain points that are experienced by IT departments attempting to manage their extensive libraries of rich media content without a DAM solution in place. These pain points might just mean a DAM solution is the right fit for you.
Think about your collection of photos, your PDFs, your layouts, presentations documents and your videos. Which are all intangible things that you or your organization own. Without a DAM in place IT admins are constantly spending an enormous amount of time collection, sorting and just managing all of the various assets causing a decrease in productivity.
Although If you can control your assets, they can be used to produce value by including them in a project, distributing them for coworkers to use, or even make money by licensing them to someone else.
But IT admins are not the only group who suffer without a DAM solution. Often you might hear from your end users “but they are only assets if you can find them!” Makes sense, right? How are you going to control something and create value if your staff or employees can’t even find it?!

When end users can not work efficiently due to a lack of resources they often find other less secure solutions.
Im sure all this sounds somewhat familiar because if it doesn’t you wouldnt still be here. When we combined all of these challenges together from IT admins to end users we see industry reports that provide us with stats such as these (read slide)
So often when faced with challenges quality employess will do what is natural they will begin to solve these problems on their own.. But lets see how..
When IT admins are not listening or worse are not prepared to meet the needs of their users we see users solving their problems buy using freely available products. And while all these services have their place, it typically presents a IT nightmare. What often happens is end users start violating security policies and could expose their company to possible fraud or violate confidential proprietary information. So what are the results..
Just to put some of these pain point into perspective and see what the effects are when a organizations don’t have a DAM in place. Read slide..

The times have changed and the IT admin power has sort of shifted away from the IT dept but to the end users. It wasn’t that long ago where IT departments would provide you with this new shinny pc with this large CRT monitor and it was loaded with your company's applications. They provided you with access to your local printer and a share drive and said “this is all you can do”. No need to try to do more everything is secured and locked. You don’t have permission to install, delete, move, copy, edit, approve or deny anything. We have top level security here!
Although in todays work place we find that end users are much more educated about technology. No longer just using a computer between 9-5. Today IT departments have a much harder time keeping end users in silos and saying things like “just click here, there and that’s all you can do then you just print it.” End users want to solve problems, do more with their computers and become more efficient while working. They realize that there is a better way and are eager to embrace new technology.
Today as we all know technology moves really fast. Employees are given laptops now so they can work freely and no longer expected to just work at their desks or in the office. People aren't just using computers at the office any more. Most homes have more than 1 computer now. And with the smart phone and tablets today people are connected 24 hrs a day.
As we discussed earlier when your employees are faced with IT obstacles they just find ways to solve their own problems. Often avoiding IT and likely violating security and company policies. Even using free 3rd applications to meet their needs.
Regardless of where we live, we all share a common trait as employees, we want to be connected even when we are out of the office. Employees of course not only want but expect email when away from the desktop, but more so want to do things like approve assets and control a invoice or approve and manage new marketing assets or edit a document and securely maintain control of a assets either while in or out of the office.
This famous word the “Cloud” comes up nearly every day in the news. Comes up at nearly every team meeting in every organization. Should we be moving our applications to a cloud platform ? Do we have a cloud policy and what is the right solution for today? Are any of our platforms today cloud ready?
Trying to forecast where tech is going in 2-4 years is nearly impossible but some decisions that you make today will certainly effect your future. Its important that you have a platform that can support your future needs as you begin to develop and embrace whatever new technology that will be popular down the road. A DAM solution that open, scalable and adaptable is one that will bring you and your organization into future years.
Your DAM strategy needs to be incorporated in to your overall business strategy helping to produce revenue and increasing the organizations bottom line. We want to remove any silos and remove the common perception of just store this asset in a repository and leave it there for 7 years until we can delete it and purge it from the system.
So when looking for a platform that can not only support your future business applications plans its also important to have a platform that is:
Flexible- being able to provide your end users with access to their assets with whatever new tech has in store for us in say 2015 or 2016. A big thing that we hear most often is that we need to make sure we are prepared to address long term user demands. The days of saying of we don’t support MAC or we cant support that device you can only use devices A B or C are over. The demands from your users will dictate what platform you select today.
Secure- We will always have security. By giving end users application's that are so mobile its important to make sure we do it securely and only giving access to necessary users that have rights.
Open- of course we want the platform to be open and integrate with other applications and systems such as ERPs or claims systems or other systems to delivery valuable assets within our organization.
Meet Industry Standards- Absolutely important to have standards having things like single sign on having a platform that just do security easily and work easily with your existing current applications with out hours or days of coding. Nuxeo is dedicated to keeping up with industry standards.

How do we begin with the nuxeo platform and what needed?
The first basic steps in getting started with a DAM solution and platform? I will try to give you a brief understanding of where you can begin once you have decided that you want to continue with planning a DAM implementation.
Before you do anything, plan to spend some time in the planning phase. This is critical. It will be a huge benefit to you later. Good project management skills, online resources and the experience of other professionals as well as the team at nuxeo can really help with this.
Do your background research - Include traditional research avenues as well as talking to others who have either completed or are in the process of completing similar projects.
Understand metadata - Become a metadata expert: Guess what? Even if reading the word metadata just now made you shudder, don’t worry, odds are you are already skilled in the application of metadata through cataloguing, indexing, building taxonomies and working with databases systems.
Have basic knowledge of the tools- For some, these tools will be proprietary systems purchased by their organizations before they were hired. These legacy systems will have a learning curve all to themselves. Spend some time finding out what your system does. There are also many applications out there for editing images, film and sound. While you may not directly be involved in the editing process, understanding how these systems interact or don’t interact with your DAM system is an important step in the planning process.
Do a collection assessment- You have to know what you have before you can figure out what to do with it. Depending on the size and variety of formats in your collection, this process itself could take some effort but will really pay off in the end.
Mobile- Think about mobile technology and social media and how these technologies and associate applications might affect how your clients or end users access and distribute media. If you havent addressed mobile access yet now is the time. It will help protect you moving forward and will prepare for the future.
Identify your stakeholders- Identify your stakeholders and make them part of the process. Stakeholders might include: your staff, clients, IT system admins, etc.
The nuxeo platform can be used on virtualy any platform. Mac OS, Windows, Linux. The only requirement to run the Nuxeo Platform is to have Java 7 or Java 8 (also called Java 1.7 and Java 1.8) installed. You need a Java Development Kit (JDK) to develop on the platform, but a JRE is enough to just run it.
The Nuxeo DAM application comes as ready-to-use out of the box app. This add-on requires no specific installation steps. It can be installed like any other package from the marketplace or from the admin tab. It is also possible to install it from the startup wizard. The Nuxeo DAM document types are fully integrated in the Nuxeo Platform and are available alongside the other document types. They can be created the same ways as the platform default document types, they can use the same metadata, the same workflows, etc.
For digital asset management platforms to provide true value to users they must streamline existing workflows and increase user productivity. If a DAM system can achieve this, the system will realize rapid user adoption and a strong return on investment. Automating, one of the most time-consuming and costly manual functions, while distributing assets to groups, will provide users with immediate productivity gains and companies immediate cost savings.
