How to Take
an Oil Sample and Fill in a
     Sample Report
Taking a Sample - Please Note:
The taking of an oil sample is where the whole process starts. It is vitally important that the sample is taken
    correctly.

If the oil sample is not representative of the oil that is in the machine then the results will not reflect the true
     picture of what is going on inside the component.

The end result will be an incorrect diagnosis based upon an incorrect analysis because of a poorly taken
    sample.

There are three main ways to take a
sample:

•    From the drain plug
     (Least Preferred Method)
•    With a sampling pump or Syringe
     (Best Method)
•    Using a sampling valve

With All Methods Please:

Make sure that the oil is at operating
temperature this will insure that the oil is
well mixed
DRAIN PLUG
Drain plug sampling is the least preferred method as
       sample contamination is possible from dirt
    around the plug and debris sitting at the bottom
                      of the sump.

Make sure that the oil is at operating temperature -
       this will insure that the oil is well mixed.

Clean around the sump plug to remove any dirt that
           might contaminate the sample.

Remove the plug and let about half a litre of oil drain
   to waste - this will avoid contamination by debris
               at the bottom of the sump.

 Fill the sample bottle to about the three quarter’s
                           level.
SAMPLING
   PUMP / SYRINGE
Using a sample extraction pump or Syringe is a much
     cleaner and easier way of taking a sample and
    reduces the possibility of sample Contamination

Make sure that the oil is at operating temperature -
       this will insure that the oil is well mixed.

  Insert the sample tube down the dip stick hole or
                       sampling port.
Draw a small sample of the oil to be sampled into the
       rinse bottle in order to rinse out the sample
                           tube.
 Attach the sample bottle to the pump and fill to the
                    three quarter mark.

  The sampling tube may be rinsed with diesel but
      never use petrol. After rinsing with diesel the
    sample tube still needs to be purged with the oil
              that is about to be sampled.

  There are thin sampling tubes for thin oils. Try to
    ensure that the sample tube does not touch the
                  bottom of the sump.
SAMPLING
          VALVE
The sample valve is a preferred method for taking a
         sample. It is easy, clean and simple.

It is also one of the best way to avoid contaminating
                        the sample.

 The engine has to be running in order to take the
   sample and the sample will always be taken from
           the same position in the sump.

Make sure that the oil is at operating temperature -
       this will insure that the oil is well mixed.

Remove the dust cover, clean the valve orifice and
               attach the connector.

Allow about half a litre of oil to drain into the rinse
      bottle in order to purge the sampling tube.
Disconnect the rinse bottle and attach the sample
                          bottle.

Fill the sample bottle to about the three quarter’s
                          level.
HOW TO FILL IN A
                 SAMPLE REPORT
  The most common reason for oil analysis not being effective is
   incorrect or missing information that accompanies the sample.

   It is vitally important that the submission form be filled in as
                  completely and as accurately as possible.

This presentation will deal with what is required on the submission
     form and what can go wrong if the information is missing or
                               incorrect.
Starting on the Form
The sample number is a unique ID for the sample.
     Insure that the number on the sub-form and
       on the bottle are the same. If you need to
         query results make sure you have this
  number handy – finding results can be almost
     impossible without the sample number



 Your name, telephone number or depot name or
    code. This is more for your record keeping and
      identification purposes. This information is
     stored at Wearcheck under the computer or
                     customer code.


   Your Wearcheck computer (customer code)
          identifies who you are, your address,
    telephone number, who gets what reports etc.
        This simplifies and automates the whole
       reporting process. As machines can move
    between depots it is important to fill this in as
       it will determine which depot will get the
                          report.
The fleet or plant number (or registration plate) is used
        to uniquely identify your equipment within the
       system and associated information such as make
      and model and the brand and grade of oil used. If
      you call a unit 140G-1 then call it GRADER-1 then
      the information stored against 140G-1 will not tie
             up with the plant number GRADER-1.




The Wearcheck system allows you to have an alternate
      ID for a piece of equipment. For example a fleet
     number and a machine serial number. Remember
      information is stored against this ID so once you
     give an item of plant a name - do not change it or
    this information will get lost and will not tie up with
                         the vehicle.



  The site information allows you to group machines
     according to an area they may be working in or a
   type of job that they may be doing. This information
      is recorded by Wearcheck but is more for your
                       housekeeping.
Component type or where the sample has come from. As
    with the fleet number it is important not to change
   the name of the component type. If the first sample
      is called a final drive and information is logged
        against this ID do not call the next sample a
    planetary gear as information will no longer tie up.



 The sample data is more for your record keeping but it
      allows the samples to be stored in chronological
    order. It also allows you to monitor how long it takes
       for the sample to arrive at the laboratory as an
              analysis date is given on the report.



 The service meter reading gives Wearcheck an idea of
      how old the machine is (in hours or kilometres).
    New machines exhibit higher than normal readings
    as they bed in. Knowing whether the machine is old
   or new would affect the diagnosis. Abnormal wear as
       opposed to wear that would be okay for a unit
                        bedding in.
The period the oil has been in use is probably the most
     important piece of information required. If the oil has
    been in use for twice as long as the previous sample then
   approximately twice as much contamination and wear will
      be expected in the sample. The following slides show
        what can happen if this information is missing or
                            incorrect.



 Whether the oil and filters have been changed or not can be
    recorded. This will affect the diagnosis if the oil needs to
   be changed due to contamination. If the oil was changed
   when the sample was taken then there would be no need
                        to changed it again.



  It is important to know what the oil consumption is - even
  if exact figures are not known then ‘normal’ or ‘excessive’
will help. Topping up with fresh oil has the effect of diluting all
        the readings and making abnormal wear look normal.
         The following graph shows what could happen.
The comments or special circumstances area allows
      you to add in any information that might be
      relevant. This information can often help in
        providing a more detailed and accurate
                        diagnosis.



 A job number can be recorded against a sample
   number. This is more for your record keeping so
      that certain actions can be referenced to a
                 works order number.



 The service meter reading when major overhaul
        takes place or a unit is replaced can be
   recorded. This information allows Wearcheck to
      know if elevated readings might be due to
        bedding in rather than abnormal wear.
The vehicle make and model is important as a Caterpillar
       grader behaves very differently to a Toyota. The
  information in the section only needs to be filled in the
        first time a component is sampled as it will be
      recorded against the computer code, vehicle and
                         component.



The component make and model are just as important as
      the vehicle details. Particularly when it comes to
         engines, gearboxes and transmissions. A Bell
    articulated dump truck could be powered by either a
            Deutz, ADE or Mercedes Benz engine.



 The oil brand, type and grade are also important. If the
   brand and grade are different from what was expected
    it may indicate a maintenance problem. It is also a lot
   easier to state what an oil is not rather than identify an
     unknown product as many products are very similar.
The oil capacity provides useful information that could
      affect the diagnosis. If a small sump such as 20
    litres is contaminated with dirt it is no problem to
    drain and flush the system. However, if this were a
    2000 litre hydraulic system it would be cheaper to
                try and filter or purify the oil.



 If a supplemental oil additive is in use it is useful to
      know this as the presence of an additive may be
            responsible for affecting the results



 It is helpful to know what kind of coolant (radiator)
     treatment is being used. If an internal coolant leak
       were to occur then the chemicals in the coolant
          package may end up in the oil and can be
                   detected by oil analysis.

Taking an oil sample

  • 1. How to Take an Oil Sample and Fill in a Sample Report
  • 2. Taking a Sample - Please Note: The taking of an oil sample is where the whole process starts. It is vitally important that the sample is taken correctly. If the oil sample is not representative of the oil that is in the machine then the results will not reflect the true picture of what is going on inside the component. The end result will be an incorrect diagnosis based upon an incorrect analysis because of a poorly taken sample. There are three main ways to take a sample: • From the drain plug (Least Preferred Method) • With a sampling pump or Syringe (Best Method) • Using a sampling valve With All Methods Please: Make sure that the oil is at operating temperature this will insure that the oil is well mixed
  • 3. DRAIN PLUG Drain plug sampling is the least preferred method as sample contamination is possible from dirt around the plug and debris sitting at the bottom of the sump. Make sure that the oil is at operating temperature - this will insure that the oil is well mixed. Clean around the sump plug to remove any dirt that might contaminate the sample. Remove the plug and let about half a litre of oil drain to waste - this will avoid contamination by debris at the bottom of the sump. Fill the sample bottle to about the three quarter’s level.

SAMPLING PUMP / SYRINGE Using a sample extraction pump or Syringe is a much cleaner and easier way of taking a sample and reduces the possibility of sample Contamination Make sure that the oil is at operating temperature - this will insure that the oil is well mixed. Insert the sample tube down the dip stick hole or sampling port. Draw a small sample of the oil to be sampled into the rinse bottle in order to rinse out the sample tube. Attach the sample bottle to the pump and fill to the three quarter mark. The sampling tube may be rinsed with diesel but never use petrol. After rinsing with diesel the sample tube still needs to be purged with the oil that is about to be sampled. There are thin sampling tubes for thin oils. Try to ensure that the sample tube does not touch the bottom of the sump.
  • 5. SAMPLING VALVE The sample valve is a preferred method for taking a sample. It is easy, clean and simple. It is also one of the best way to avoid contaminating the sample. The engine has to be running in order to take the sample and the sample will always be taken from the same position in the sump. Make sure that the oil is at operating temperature - this will insure that the oil is well mixed. Remove the dust cover, clean the valve orifice and attach the connector. Allow about half a litre of oil to drain into the rinse bottle in order to purge the sampling tube. Disconnect the rinse bottle and attach the sample bottle. Fill the sample bottle to about the three quarter’s level.
  • 6. HOW TO FILL IN A SAMPLE REPORT The most common reason for oil analysis not being effective is incorrect or missing information that accompanies the sample. It is vitally important that the submission form be filled in as completely and as accurately as possible. This presentation will deal with what is required on the submission form and what can go wrong if the information is missing or incorrect.
  • 7. Starting on the Form The sample number is a unique ID for the sample. Insure that the number on the sub-form and on the bottle are the same. If you need to query results make sure you have this number handy – finding results can be almost impossible without the sample number Your name, telephone number or depot name or code. This is more for your record keeping and identification purposes. This information is stored at Wearcheck under the computer or customer code. Your Wearcheck computer (customer code) identifies who you are, your address, telephone number, who gets what reports etc. This simplifies and automates the whole reporting process. As machines can move between depots it is important to fill this in as it will determine which depot will get the report.
  • 8. The fleet or plant number (or registration plate) is used to uniquely identify your equipment within the system and associated information such as make and model and the brand and grade of oil used. If you call a unit 140G-1 then call it GRADER-1 then the information stored against 140G-1 will not tie up with the plant number GRADER-1. The Wearcheck system allows you to have an alternate ID for a piece of equipment. For example a fleet number and a machine serial number. Remember information is stored against this ID so once you give an item of plant a name - do not change it or this information will get lost and will not tie up with the vehicle. The site information allows you to group machines according to an area they may be working in or a type of job that they may be doing. This information is recorded by Wearcheck but is more for your housekeeping.
  • 9. Component type or where the sample has come from. As with the fleet number it is important not to change the name of the component type. If the first sample is called a final drive and information is logged against this ID do not call the next sample a planetary gear as information will no longer tie up. The sample data is more for your record keeping but it allows the samples to be stored in chronological order. It also allows you to monitor how long it takes for the sample to arrive at the laboratory as an analysis date is given on the report. The service meter reading gives Wearcheck an idea of how old the machine is (in hours or kilometres). New machines exhibit higher than normal readings as they bed in. Knowing whether the machine is old or new would affect the diagnosis. Abnormal wear as opposed to wear that would be okay for a unit bedding in.
  • 10. The period the oil has been in use is probably the most important piece of information required. If the oil has been in use for twice as long as the previous sample then approximately twice as much contamination and wear will be expected in the sample. The following slides show what can happen if this information is missing or incorrect. Whether the oil and filters have been changed or not can be recorded. This will affect the diagnosis if the oil needs to be changed due to contamination. If the oil was changed when the sample was taken then there would be no need to changed it again. It is important to know what the oil consumption is - even if exact figures are not known then ‘normal’ or ‘excessive’ will help. Topping up with fresh oil has the effect of diluting all the readings and making abnormal wear look normal. The following graph shows what could happen.
  • 11. The comments or special circumstances area allows you to add in any information that might be relevant. This information can often help in providing a more detailed and accurate diagnosis. A job number can be recorded against a sample number. This is more for your record keeping so that certain actions can be referenced to a works order number. The service meter reading when major overhaul takes place or a unit is replaced can be recorded. This information allows Wearcheck to know if elevated readings might be due to bedding in rather than abnormal wear.
  • 12. The vehicle make and model is important as a Caterpillar grader behaves very differently to a Toyota. The information in the section only needs to be filled in the first time a component is sampled as it will be recorded against the computer code, vehicle and component. The component make and model are just as important as the vehicle details. Particularly when it comes to engines, gearboxes and transmissions. A Bell articulated dump truck could be powered by either a Deutz, ADE or Mercedes Benz engine. The oil brand, type and grade are also important. If the brand and grade are different from what was expected it may indicate a maintenance problem. It is also a lot easier to state what an oil is not rather than identify an unknown product as many products are very similar.
  • 13. The oil capacity provides useful information that could affect the diagnosis. If a small sump such as 20 litres is contaminated with dirt it is no problem to drain and flush the system. However, if this were a 2000 litre hydraulic system it would be cheaper to try and filter or purify the oil. If a supplemental oil additive is in use it is useful to know this as the presence of an additive may be responsible for affecting the results It is helpful to know what kind of coolant (radiator) treatment is being used. If an internal coolant leak were to occur then the chemicals in the coolant package may end up in the oil and can be detected by oil analysis.
