We all know how Covid-19 has affected thousands of people world wide and we also know that a lot of businesses was affected too especially for those who are used to having meetings in person, submitting hard copy documents and have on-premise infrastructure that has set up in their workplace.
Today I want to focus on how we can help you in these turbulent times, to help you keep the flow of productivity and collaboration running through one of the best applications to use which is Microsoft Teams. Now Teams is a great application because it is a central hub for all your chats, emails, file repository and even use it to edit documents online and I’ll be discussing it more later on in this webinar series.
While companies are all unique and have their own identities, we are seeing common trends affecting the culture of work and employee’s expectations on what a modern work environment provides.
By 2020, Millennials will account for over 50% of workers – they seek more open collaborative workspaces, a greater sense of purpose, and a deeper connection to their company’s mission.
People are asking for more touchdown spaces (instead of traditional office) where they can easily interact and work with one another.
42% of the global workforce will be mobile by 2020. And so people want the option to work remotely, anywhere, at any time. To do this, they need the tools and digital workspaces to communicate, access their data, and stay productive.
72% of workers believe creativity fuels success. Employer expectations are changing, too. We’ve seen a shift away from routine tasks to a way of operating that requires all employees to be creative and to think critically.
And of course, the security risks have also changed dramatically. 74% of the businesses expect to be hacked in the next year. On the one side, there’s pressure to have open flow of information to drive productivity and teamwork. And on the other side, it’s as critical as ever to protect your estate because threats today are complex, use advanced social engineering, and target everyone in an organization.

The way in which organizations work has evolved. There are several trends that we’re seeing in regards to teamwork. Both work styles and the workforce are changing and becoming more diverse.
[DIVERSE AND GLOBAL]
Teams are becoming more diverse. In today’s work environment, teams are often comprised of people in different buildings, time zones, or even different companies.
For the first time, there are five generations in the workplace, – all with different background and expectations about collaboration tools. For example, some are comfortable chatting on a phone, others prefer e-mail, or face to face.
[TEAM-BASED AND COLLABORATIVE]
There is also a movement towards transparency and inclusivity in how decisions are made. Organization structures are becoming more flat which results in people being on more – often cross-organizational – teams.
And those teams are dynamic. It's rare that people don’t change on a multi-month project. And when they leave, the first step is for all to go through their e-mail to find the information needed to get the new person up to speed.
Being on more teams has also led to a dramatic increase in the amount of collaboration. The new way of work is team-based and collaborative. Workers report that 80 % of their time at work is spent collaborating.2 (i.e. in meetings, calls)

Teams are increasingly geo distributed. Employees are no longer in the same office, let alone time zone. Per IDC, 72.3% of employees will be working remotely by 20205, making it more challenging to have face-to-face conversations.
For many employees, this has made collaboration more challenging. It’s hard to maintain open dialogue when teammates are distributed. It’s complicated to manage the volume of information. It’s difficult to attend every meeting. All these challenges hinder teamwork and productivity.

Teams allows you to have fun together. Successful collaboration is based on relationships. So, people can include emojis, memes and fun graphics in messages, which allows them to show their personality, and humanize messages.
Most teams have a fun channel to communicate about other topics than work. For example, when somebody joins the team, or has a baby – you can get to know the people beyond work interactions creating a culture of teamwork.
Changing the communication style can change the style of a team. You can worry less about formalities and focus more on the substance.

Microsoft Teams also offers a reliable, cloud-based telephony solution that allows you to connect with anybody. This can enable you to save cost, reduce hardware dependencies, and leverage the power of the Microsoft Cloud.
The basis for calling (telephony) is the Microsoft Phone System which is a fully integrated, software-based PBX in Office 365. It allows you to have enterprise phone features for all Office 365 users in your organization and manage their telephony completely in the cloud. customers can then choose 2 different approaches to have dial-tone added to their Microsoft Phone System deployment:
Microsoft Calling Plans: which allows users to have a dedicated phone number for placing and receiving domestic and international calls. Currently we service 10 geographies. In this model, Microsoft is your dial plan provider. The value to you is that you have one provider for calling – less vendors means less points of failure and one vendor to resolve issues.
Microsoft Direct Routing: Customers can also choose to use their local Telco provider for dial tone and connect those “trunks” via SBCs to Microsoft. Customers use a Microsoft certified Session Border Controller (currently AudioCodes, Ribbon, and Oracle are certified)
Because each customer’s telephony needs are different we support a mix and match of Microsoft Calling Plans usage and Direct Routing. Customer can even use both in the same geography. Together, they provide worldwide coverage for dial tone to Microsoft Teams users
Information often lives across various services and locations today – like mail, files, PowerBI dashboards, other services.

Teams is a hub – both for communication and collaboration – that brings all the Office 365 services together in one single workspace. So, teams have one less place to go to resulting in more time for productivity as you do not have to toggle between apps or search for information
All your common tools, all the Office apps that people use every day - Word, Excel, PowerPoint, OneNote, SharePoint, Planner, even Power BI - are all built-in, giving people access to the files and tools they need right within Microsoft Teams.
Users can share, co-author and edit Office and other files right in the app. As all files are stored on SharePoint, the latest version of the file is always accessible to any member on the team. You can take notes with OneNote or access an integrated calendar from Outlook.
Microsoft Teams leverages the intelligence of the Microsoft Graph. A team member can access org chart information and search for files, chats and contacts within an organization.

This also includes advanced call management controls include call routing, auto attendant, call queues, and reporting.

Inline message translation allows you to translate messages in channels and chat - into almost 40 languages. With a simple click, people who speak different languages can fluidly communicate with one another ensuring that every worker in the team has a voice and facilitate global collaboration.
Meeting recording and transcription powered by Stream enables all team members to easily catch up on missed meetings as you can read the transcription, search within the conversation, and playback all or part of the meeting.
With the mobile companion mode, Teams picks up if you are in a meeting room or suggests that you can use your phone as a companion device, so you can for example advance slides from your phone.
With background blur, participants can blur their background during a video call to ensure professional meetings on-the-go or avoid possible disturbances in the background like a dog running into the room. This allows other meeting attendees to focus on you, not what’s behind you.
How do different departments use Teams?
Marketing teams can manage go-to-market, public relations, event planning and their budget within Teams. They can add guests e.g. agencies with secure guest access. They can connect relevant third-party services to each channel, such as Bing News Alerts, Twitter Connector, Adobe Creative Cloud, HootSuite and YouTube.
Sales teams can manage sales planning, RFP/Proposals. Teams provides a single place where all this collaboration, reporting and knowledge sharing can happen. They can set up monthly business reviews as meetings in Teams. Document sharing e.g. sales playbooks can be done from within Teams. They can also use apps like PowerBI, Planner or even task management apps like Trello.
Finance teams can conduct their finance reviews within Teams and also share content around, business insights, audits, and compliance. Teams provides a hub in which all files, data, conversations and meetings can happen in a single place, safely and securely. They can easily share files like annual financial statement review or audit report and use apps like Excel, PowerBI, Planner or even pin critical files, internal or external websites to a tab
HR teams can manage their recruitment, training, events, and reviews from within Teams. Teams provides a single hub where HR professionals can collaborate, plan, share notes and communicate decisions.
