4. Host/ Presenter/ User rights
Host
Hosts can set up a meeting, invite guests, add content to the library, share content, and add or edit
layouts in a meeting room. They can promote other participants to the role of meeting room host or
presenter, or give enhanced permissions to a participant without promoting the participant. Hosts
can start, stop, join, and leave audio conferences. They can also start and stop broadcasting audio
into a meeting room. Hosts are able to create and manage small group breakout rooms within a
meeting. They can also perform all the tasks that a presenter or participant can. Hosts can start, stop
the recordings.
Presenter
Presenters can share content already loaded into the meeting room from the library and share
content from their computer, including Adobe® Presenter presentations (PPT or PPTX files), Flash®
application files (SWF files), images (JPEG files), Adobe PDF files, MP3 files, and FLV files. They can
share their screen with all attendees, chat, and broadcast live audio and video. Presenters can mute
and unmute audio broadcasts on their computers.
Participant (Registered or Guest)
Registered participants can view the content that the presenter is sharing, hear and see the
presenter’s audio and video broadcast, and use text chat. Participants can mute and unmute audio
broadcasts on their computers.

16. Pods :: Tips on user rights
1. The room can be enabled to ‚Auto-promote Participants to Presenter‘. This
allows presenters to enter the room by themselves, upload slides and
rehearse. This feature has to be disabled at the beginning of an event.
2. Once you have logged into Adobe and you try to log-in as a different user,
you will need to use a different browser because the cookies are set and you
will not be able to see the log-in screen again until you reboot the computer.
3. Legally you are allowed to promote one person in the meeting to host and
then leave. The meeting will close automatically something like 10min after
the host has left.

Before your session
• Make sure you have checked the speakers bios so you can give a short intro
• Make sure you are familiar with all the tools in the room (audio/video check,
chat box, private chat, layouts, slides etc.. - ask if you are not sure)
• Make sure you know which room your session will take place in and check
with the presenter that he is aware of this too

18. Moderators :: Notes :: During the session
Session checklist part 1
• Make sure you have host status and that the presenter has presenter status
• Make sure to disable the 'Auto-promote to presenter' status
• Assign a session note taker and ask him to change his name to add the title
VRT Volunteer, by clicking on Pod Options in the Attendee List and select
'Edit my info'
• Name the recording after the presenters name and start each presentation
with a new recording. AFTER starting the recording, ask the audience
whether it is ok to record this session and ask those to leave who are not
happy to be recorded.
• Start the session with a welcome to the speaker & everyone. Give a brief
intro from the bio. You will find their bios on the event schedule (sometimes
in the comment box below) Don't hesitate to read it as it is written, nobody
sees that you have the website open to read their bios. After the
introduction, turn off your webcam to have the presenter the stage

Session checklist part 2
• Where possible, the rooms have been prepared with various layouts. A layout
per presenter. The idea here is, that in these different layouts each
presenter can have his slides open and perhaps videos, mp3s etc. everything
open as pods and there is an easy switch to the next presenter and we don't
have to look for the slides. Check the various layouts beforehand and confirm
with each speaker that the layout holds their slides.
• You can ask the audience to give smileys if they can hear (they'll usually
write in the chat box if the volume to too low, high or distorted) The tech
people are Heike, Shelly, Marina
• Be on hand in case of problems, pick up any questions from the chat box for
later
• Go back on audio for the questions, the speaker may pick these up
themselves if not then say them. If the group is small you can use the mic &
let people speak if large then don't
• Keep an eye on the time and at the appointed time thank the speaker and
end the session.

28. Layouts :: Tips on using Layouts
1. Set up a special layout for each presenter and add the name of the presenter
2. You can create a layout for the video, screensharing or other special
features of the presentation.
3. Some presenters have their webcam on the right hand side of the monitor,
some on the left hand side. Therefore it is best to move the Camera and
Voice Pod (software) nearer to the webcam (hardware) of the presenter.
4. Note: Many documents and videos on the various layouts create lag and may
prolong the time of logging into the room for those with low bandwidth.
