ABSTRACT
Hospitals currently use a manual system for the management and
maintenance of critical information, however, this current system requires
numerous paper forms with data stores spread throughoutthe hospital
management infrastructure. Often information on forms is incomplete,or does
not follow management standards. Never the less forms are often lost in
transit between departments requiring a comprehensiveauditing process to
ensurethat no vital information is lost. Multiple copies of the same
information exist in the hospital and may lead to inconsistencies in data in
various data stores.
A significant partof the operation of any hospital involves the acquisition,
management and timely retrieval of great volumes of information. My Health
care management systemwill automate the management of the hospital
making it more efficient and error free.

ACNOWLEDGEMENT
The satisfaction that accompanies that the successfulcompletion of any task
would be incomplete withoutthe mention of people whoseceaseless
cooperation made it possible, whoseconstantguidanceand encouragement
crown all efforts with success. I am grateful to my projectguide Mr. Joel
Macharia for the guidance, inspiration and constructivesuggestions that
helpful us in the preparation of this project.

CHAPTER 1
1.1 BACKGROUND
Health care organizations are an essential partof our lives, providing
best medical facilities to people suffering from various ailments which
may be due to change in climatic conditions, increased workload,
emotional trauma, stress etc . Itis therefore for the hospitals to keep
track of its day to day activities and records of its patients , doctors,
nurses, ward boys and other staff personnel’s that keep the hospital
running smoothly and successfully.
But keeping track of all activities and their records on paper is very
cumbersomeand error prone. Itis also very inefficient and a time
consuming process. Itis also not economically and technically feasible to
maintain these records on paper.
The project provides excellent security of data at every level of user
systeminteraction and also provides robustand reliable storageand
backup facilities.Itis also more faster and less bulky.
1.2 OBJECTIVES
The project Health care organization is aimed to develop and maintain
the day to day state of admission/dischargeof patients, list of doctors,
reports generation and etc.
Itis designed to achieve the following objectives:
 To computerize all details regarding patient details and hospital
details.
LeonardWaithakaWaiganjosc211/0923/2016.
 Scheduling the appointment of patient with doctors to make it
convenient for both.
 Scheduling of services of specialised doctors and emergency
properly so that facilities provided by the health facility are fully
utilised in an effective and efficient manner.
 Itshould be able to handle the test reports of patients conducted
in the facility.
 The inventory should be updated automatically once a transaction
is made.
 The information of the patient should be kept upto date and there
record should be kept in the system for historicalpurposes.
1.3 PURPOSESCOPEAND APPLICABILITY
1.3.1 PURPOSE
The main purposeof this projectis to provide a paperless hospitalupto
90%. Italso aims at providing low costreliable automation of the
existing systems.
1.3.2 SCOPE
The proposed softwareproductis the Health care organization .The
systemwill be used in any hospital, clinic, dispensary or pathology labs
to get the information from the patients and then storing the data for
future usage.
Paper based systems haveproved to be too slow and cannot provide
updated lists of patients within a reasonabletime frame.
The intentions of this system are to reduce overtime pay and increase
the number of patients that can be treated accurately at a particular
time.
1.3.3 APPLICABILITY
This application will be available for the appropriatehospital staff. It
shall help them carry outtheir operations conveniently.
LeonardWaithakaWaiganjosc211/0923/2016.
Itshall be password protected which means that the user will have to
enter the correctusername and password in order to access the
application.
The application will be easily portable on any windows based system
that has oracle installed.
Lastly this application is a reliable productthat produces fastand
verified output of all its processes

CHAPTER 3
3.1 Problemdefinition
Problems with conventional system;
1. Lack of immediate retrievals: -Theinformation is very difficult to retrieve
and to find particular information like- E.g. - To find out about the patient’s
history, the user has to go through various registers. This results in
inconvenience and wastageof time.
2. Lack of immediate informationstorage: - The information generated by
various transactions takes time and efforts to be stored at right place.
3. Lack of prompt updating: - Various changes to information like patient
details or immunization details of child are difficult to make as paper work is
involved.
4. Error prone manual calculation: - Manual calculations are error proneand
take a lot of time this may result in incorrect information. For example
calculation of patient’s bill based on various treatments.
LeonardWaithakaWaiganjosc211/0923/2016.
5. Preparationof accurate and prompt reports: - This becomes a difficult task
as information is difficult to collect from various registers.
