3. Welcome to the Cloud
cloud com·put·ing
noun: the practice of using a network of remote
servers hosted on the Internet to store, manage, and
process data, rather than a local server or a personal
computer
3
5. Why Embrace the Cloud?
• Move away from IT administration
and towards your core mission
– "Outsources" the management of your IT, data, etc.
• Cost
– Economies of scale mean that service providers
can be more efficient than you
– Often a free version
– Pay for what you use
5
6. Why Embrace the Cloud?
• Flexibility
– Access from anywhere with an internet connection
– No IT infrastructure investment
– Easily scalable
• Security
– Industry experts working in the cloud industry
– Data redundancy means your data is recoverable
even if your (or their) hardware fails
6
7. Why Use Cloud Storage?
• Benefits
– Easily access files and folders from multiple
computers
– Easily share files and folders with others
– Built-in backups
– Strong security
– Free versions
7
8. Why Not Use Cloud Storage?
• Drawbacks
– Prepare to pay once you outgrow free versions
– Limited features determined by your provider
– Security is only as strong as your password
– Must trust the company

9. Types of Cloud Storage - Backup
Cloud storage backup solutions allow you to copy your
computer’s files onto a remote server. You can then
recover your files should your computer get stolen or
damaged. Examples include:
• Mozy
• Backblaze
• Carbonite
9
10. Types of Cloud Storage – Remote Storage
Remote cloud storage solutions allow you to upload your
documents to a website. You can then access your files
from any computer with an internet connection.
Examples include:
• Box.net
• Google Docs
• Amazon Cloud Drive
• iCloud
10
11. Types of Cloud Storage - Sync
Cloud sync solutions allow you synchronize data on
multiple computers. It does not, however, offer any
online backup of your data. Examples include:
• Microsoft Live Mesh
• Synchronize It
11
12. Types of Cloud Storage - Hybrid
Hybrid cloud solutions allow you synchronize data on
multiple computers while providing some online backup
as well. Examples include:
• Windows SkyDrive

• Easy to set up
• Limited in what you can sync
– Can only sync your “Dropbox” folder
• 2GB free storage
– Paid plans up to 100GB
• Accessible from most platforms
– PC, Mac, Linux
– iPhone, iPad, Android, Blackberry
– Web
13
14. Dropbox
• Features
– One folder that is the same on all of your
computers
– Easily share files and folders with others
– Shares files via an url link
– Create photo galleries for anyone to view
– Apps allow you to access files from mobile devices
– Use the web to access files on computers without
Dropbox
– 3rd party apps provide almost infinite possibilities
14
15. Windows SkyDrive (+ Live Mesh)
• Actually 2 Microsoft products
– SkyDrive (online storage)
– Live Mesh (synchronization)
• Sync anything and any folder
• 5GB free storage for syncing
• Works much like Windows Explorer
15
16. Windows SkyDrive (+ Live Mesh)
• Features
– Sync multiple folders in different locations
– Share files via an url link
– Create public links to any stored files
– Use the web to access files from any computer
without the software (as long as it is on SkyDrive)
16
19. Dropbox Demo – Share a Folder
Share a folder with your neighbor
1. Create a folder
2. Add something to it!
3. Go to the http://www.dropbox.com and log in
4. Click Share a folder, type in neighbor’s email
5. Check if your neighbor can see your folder
19
20. Dropbox Demo – Public Links
Create a public link and share it
1. Move (or create) a file to the Public folder
2. Right click and select “copy public link”
3. Use the website to get the public link
4. Share the link with your neighbor
20
21. Dropbox Demo – Photo Gallery
Create and share a photo gallery
1. Create a folder in Dropbox’s Photo folder
2. Add some photos - use default photos or add
your own!
3. Right click and select “Copy Public Gallery
Link”
21
22. Dropbox Demo – Upload Files Through the Web
Add files through dropbox.com
1. Log in to http://www.dropbox.com
2. Click upload and then select a few files to
upload
3. See the files update in the Dropbox folder on
your computer
4. Change a file in your folder and watch it
change on the website!

HandsOn Tech Chicago is a new programBased at HandsOn Suburban ChicagoFormed through a partnershipWe will be conducting trainings like this oneProviding consulting servicesWebsite Training Calendar Consulting Application
Since this is our first training, and since our trainings will be focusing heavily on cloud-based applications, I thought we would start by exploring “the cloud”We will then go over general Cloud Storage and then go over two solutions in detail, Dropbox and Microsoft SkydriveAfter that, I’ll stop talking at you and you can dive in and start using DropboxBy the end of the training I hope you will have a clear understanding of cloud computing in general, cloud storage in particular, and a working knowledge of a couple cloud storage services
Basically: relying on computers located somewhere else to store or process your dataYou can think of it as a service rather than a productLike the electric grid
You probably already use the cloud. Here are some examples of services that use the cloud. Online email providers store your email on their serversPhoto sharing services store your photos on their serversVideo Hosting services store your videos on their servers
So why does it matter? Who cares?Embracing the cloud offers some great benefits. All of which serve to shift your focus away…Nonprofits need to get out of the business of keeping the lights on and back to fulfilling our mission Example – Cloud storage and backup might eliminate the need for buying and maintaining a server and the software to run itThe most often cited reason is cost. Cost has been a traditional barrier to this, but recent changes and trends have lowered this cost. Computers & Internet allow scaling (If dropbox wants to expand… doesn’t open a new building, hire staff… buys more hard drives Buying in bulk mean that they can buy these hard drives at much lower costs than we canBecause of this many companies incur negligible costs for individual users Companies offer “Fremium” servicesAlso, this system allows you to easily scale
Another main benefit of cloud computing is the flexibility Simplest flexibility is how you use it: accessability Anywhere, ANY DEVICEALSO cost flexibility Traditionally you buy a server Don’t need it Need more space, less space Needs to be replaced or upgradedSecurity is generally more or as secure as your data is now. Weak passwords On the company’s side, they have access to online security talentWon't entirely replace previously existing technologiesThat’s Cloud Computing in general, questions?
So Cloud storage is a pretty basic concept you put your stuff on someone else’s serverSome benefits of using cloud storage Won’t replace your computer’s hard drive with cloud storage Meaning not a huge transitionEasily access filesEasily Share files Built in backupsFree to cheap
There are some things to keep in mind when exploring cloud storage solutionsPrepare to pay if… Although cost is still comparable or cheaper to traditional storageLimited to features provided by a company, although most companies, and especially Dropbox, add new features often, and allow 3rd party applicationsSecurity only as strong as your passwordMust trust the company In their best interests to be secure generally have an agreement with them Can encrypt your data on the system anyways Many companies have documented privacy statements
So here are a couple different types of cloud storageDescription, a few service providersBackup copies your files onto a remote serverLimited in functionality Generally can’t access files easily (meant for system recovery) Can often be replicated by some other optionsBackups are very important
Remote storageData primarily through a website Recently, Many music services Amazon, etc.Limited by access to internet
Used to synchronize files between computersBecause there is no server involved, no limit to amount of data transferredNo online access, backup, etc.Maybe not technically a cloud storage service, but is important for the next one…
Hybrid storageWhich is what we will be exploring in a bit.Works like remote storage AND sync Keeps your files synchronized between the cloud, your computer, and your other computers Has all of the benefits of the two of themDoesn’t require an internet connectionCan access data through the web interface
We have selected two of these to talk about in a little more detail.Dropbox is first, and we have selected it for a number of reasons primarily because of its supreme usability and ease. My grandmother uses dropboxDropbox is probably the most popular out of all the cloud storage services, have 25 M usersAccessibleCompared to other options, is somewhat limited…Has 2GB of storage, is on the low end…
So here are some of the key features of dropbox……3rd party…For instance, I have some of my programs save their files to dropbox so that the same program on a different computer will have much the same experience
We have also selected Microsoft SkyDrive because of its versatility and integration with Microsoft productsActually 2 programsCoolest thing is that because of its Live Mesh component (they used to call it sync… Can synch anything of any size between computers
So again, here are some of the features of SkyDrive,
OK! So its about the time when I stop talking and give you guys the opportunity to try Dropbox out for yourselves!Go to Dropbox’s website
