2. Introduction
I was tasked with researching and choosing travel and accommodation
arrangements for my managers 2 day business conference in London on the 30th
and 31st January 2014.
The first thing I had to do was make a plan, I then had to carry out a short survey
between my work colleagues to find out which type of transport they prefer.
I then had to research the top two methods of transport that my colleagues chose.
Next I decided to research prices of three alternative accommodation choices.
I also then had to calculate the distance from the hotel to the conference suite and
decide whether a London Underground pass was required.
These are my results.

4. By Car
I had to calculate the cost of fuel to get to
the conference event.
I went on Google maps to see how many
miles it would be.
I then went on a fuel cost calculator to
calculate the cost of fuel.
As seen in the screenshot on the right, one
journey will cost ÂŁ23.04, therefore two
journeys will cost ÂŁ46.08.

5. By Train
I had to find a train that
would get to London in
plenty of time for the
conference.
I used the Nation Rail
Enquires service to find the
most appropriate train for
the journey there and back.

6. Accommodation
Hotel 1 â Ibis Excel
This is a 2* hotel which is located 0.8 kilometres
from the venue of the conference. One night in
this hotel would cost ÂŁ35.15, therefore two
nights will cost ÂŁ70.30.
Facilities include: Internet access, air
conditioning, bus/car parking, restaurant and
hair dryer in the bathroom.

Hotel 2 â Aloft London
Excel
This is a 4* hotel which is located 0.4 kilometres
from the venue of the conference. One night in
this hotel will cost ÂŁ99.00, therefore two nights
will cost ÂŁ198.00.
Facilities include: Internet access, swimming
pool, bar, convenience shop, gym and a pet
friendly programme.

8. Accommodation
Hotel 3 â Prince Regent
Hotel
This is a 3* hotel which is located 2.8
kilometres from the venue of the
conference. One night in this hotel will cost
ÂŁ129.00, therefore two nights will cost
ÂŁ258.00.
Facilities include: 24 hour reception, fast
check in/out, pc and internet access,
private parking, free breakfast, sound proof
rooms and heated towel rails.

9. London Underground
Travel
A two day London Underground
pass costs ÂŁ64. This offers
unlimited travel on any
underground train for two days.
This option will only be required if it
is decided that a train will be the
most cost efficient way of getting
to London.

10. Food and Drink
The company has a policy of
ÂŁ100 per day for food and
drink. This is a two day
conference, therefore the
total cost will be ÂŁ200.

11. Conclusion
The decisions that I have made are to travel by car and to stay at the Ibis Excel hotel.
I have made these decisions because they are the most cost effective.
By using a car as the method of transport we saved ÂŁ153.92 compared to travelling
by train.
By staying at the Ibis Excel hotel we saved ÂŁ127.70 compared to the Aloft London
Excel hotel and ÂŁ187.70 compared to the Prince Regent Hotel. We also saved a
further ÂŁ64 by not requiring the two day London Underground pass.
The ÂŁ100 per day food allowance has also been included.
