A. TASK ONE: Customer care Services
1) Objective
The objective of this task was to strengthen me in dealing with different people especially
customers or potential customers of COPEDU LTD. This service reflects the image of company
so that it requires more attention and to be flexible in order to keep and attract more customers
by giving them good service which satisfy their need. This task is good for new employer

new customer, then after that I submit that form to main cashier or other employee who is
concerned to do so in order to enter that information in the system.
The customer my choose to use check or booklet to withdraw money, if new customer decide to
use booklet I was supposed to fill that booklet with his or her full identification (Account
number, Name, address, ID number, Passport picture, Stamp and signature)
Helping customer to fill forms of ordering check before main cashier made an order to the
headquarter, recording new customers’ identification in book of all customers, here what I have
to do is to record the following information: acquisition date of customer, full names, the names
must be the same as those appearing on ID card or Passport, serial number, ID card number,
recording this I have to be attentive, those numbers must be right and correct, current address of
customer means, zone, Cell, Sector, and District, at last comes telephone numbers, those
information must be recorded in book and in the system called AD BANKING, this is the
software used in all COPEDULTD Branches that enable customer to access service at any
branch, he/she can withdraw or deposit money on his/her account or do more on the account
without need to go where the account was initially opened.
The other task that I was supposed to do was printing and scanning some documents to be used
in different areas some of those documents was: forms of new customer, form of ordering check,
and other, some documents was scanned in order to be sent to the headquarter, or to keep those
documents as soft documents.
I have required checking customers’ identification in book of customers to check whether those
entries are made correctly if the mistake fund it is corrected immediately.
I have also to help some customers who are not familiar to fill forms of Western Union in order
to receive money from abroad or elsewhere, after filling the format client took that form to the
cashier.
Other responsibility that I had was helping customers who were not able to fill deposit and
withdrawal forms, because some customers of COPEDU LTD Rwamagana Branch are farmers
and they did not know writing, in that case I have to help them to fill the forms.
- 26 -
The other thing I was supposed to do was classifying documents, in proper place in order to
facilitate next user to find that document easily and to protect those documents.
3) Task Description
As a receptionist you are the first point of contact for the company and you provide
administrative support across the organization. You handle the flow of people through the
business and ensure that all receptionist responsibilities are completed accurately and delivered
with high quality and in a timely manner.
 Technical details
This task requires much attention and to be flexible, in order to serve customers and visitors well
and satisfy them, as intern I was very keen to serve customer and explore new area, the following
are responsibilities that receptionist had to perform:
 Serve visitors by greeting, welcoming, directing and announcing them appropriately
 Answer, screen and forward any incoming phone calls while providing basic information
when needed
 Receive and sort daily deliveries/couriers
 Maintain security by following procedures and controlling access.
 Perform other clerical receptionist duties such as filing, photocopying, collating, assisting
customers etc.
 Scientific/Professional Skills required
In order to perform this task as required you have:
 Proven working experience in similar roles
 Proficient with Microsoft Office Suite
 Professional appearance
 Solid communication skills both written and verbal
 Ability to be resourceful and proactive in dealing with issues that may arise
 Ability to organize multitasks, prioritize and work under pressure.
- 27 -
 To be very attentive, in order to be able to record entries correctly especially customer’s
identification and other necessary information.
 To be flexible
 To have oral communication skills and to be able to communicate with different person
 To have knowledge to the AD BANING (software used in COPEDU LTD that connect
all branches)
 To have enough knowledge in accounting or any other related field
 To be able to use photocopying machine and scanner
 The ability to work in team
 Problems encounteredandapproach takento solve them
First problem that I have encountered I was not allowed to use AD BANKING system, to login
the system require username and password, so as intern I was not allowed to do so, if customer
need the service which require to enter in the system for example customer need to know the
balance no his/her account and I am only person who is in reception, the solution of this was to
ask employer who is allowed to login the system to help the customer.
Other problem, customers thought that I was employer so that I can satisfy all their needs, and if
I told him/her that I am not allowed to do what he/she requiring he/she become discomfort, that
time what I had to do was to guide the customer where he can address his/her problem
Internet break down, when this problem occurs most operations cannot be performed because the
AD BANKING software need internet connection, this cause customers to become bored when
they are waiting until the problem is fixed,
AD BANKING software is in French and the language used is French in much documentation,
so it was difficult to me to be able to know all terms used because I am not fluent in French. So
what I have to do when I found difficult term, is to ask for explanation to the co-workers

 Solution/designimplemented
For any problem that was complicated for me and I could not get correct answer, the only thing I
had to do, was to ask for support from my internal supervisor or any other co-worker depending
on those problems that I have encountered, using this approach to get solution was helpful
because when I met the some problems again I was able to solve them without any support.
 New skills/knowledge acquired
During internship I have benefited a lot and acquired new skills and knowledge, today I know
how to open account for new customers manually, and if have authorization to log in into the
systems I can even open account in the system or do some modification if necessary.
Now I know how to deal with different people even difficult people, customer service receive
many customers, so that when I was in that place I meet with many people from different areas
of different behavior, so this facilitated me to know how to behave when you are dealing with
such people.
The internship empowers to leave my internship with the confidence to tackle any task at next
job.
Internship gives me opportunity to try on many different careers and to build my professional
network.
Internship provides a link between academic learning and professional employment, and helped
me to learn beyond classroom.
Internship offer me a hands-on opportunity to work in my desired field, I leant how my course of
study applies in the real world and build valuable experience that makes me stronger candidate
for job after graduation.

COPEDULTD

B. TASK TWO: LOAN SERVICE

Objective of this task was to get enough knowledge and skills related to the loan service, to know
in deep the kinds of loans which are offered by COPEDU LTD the rate of each loan,
requirements needed to apply for loan, who is eligible for loan application and to be able to
2) My responsibility

forms.

 Problems encounteredandapproach takento them
The first problem that I encountered is that the loan officer had a work leave which did not allow
me to explore at maximum level what I had expected to learn in loan services, after coming back,
he had a lots of work that makes him to be very busy, in order to try to know more I tried to ask
information from other workers while I was waiting for loan officer to come from a leave and
read documents.
Almost all documents used in loan service are in French, for better understanding I asked to be
explained in case I met difficult or explained in other language that I am familiar with.
Loan service is so complex, because there are many types of loans offered in COPEDU LTD
which are at different rate; time spent in loan service was not enough to cover all areas as was
expected.
To explain customers about loan in deep was difficult to me, what I had to do was to explain
customer what I know and if he/she does not satisfied , I send that customer to the loan officer
for more information or in case loan officer is not available I send the customer to the Branch
Manager.
- 35 -
Customers who apply for loan, and they are given loans according to their ability of payment,
they feel dissatisfied, most are apply for loan while the collateral is not enough to cover the loan.
 Solution/designimplemented
Depending on those problems that I have encountered, I have always to ask for assistance from
my internal supervisor where it was required. To adopt this solution was helpful because, some
operations were complicated to new intern who has no advanced experience in the new field.
 New skills/knowledge acquired.
The intern out of his research came to realize that the knowledge gained in class theoretically is
the basis for knowledge required.
Through my internship I gained many precious experiences, but most valuable was the ability to
experience the work environment in the field I plan to work in.
Not only did an internship provide that first –hand perspective of a career, it was a way for the
intern to develop essential workplace skills. The additional essential skills gained from this
training are outlined below:
 Communication Skills
 Strong Work Ethic s
 Teamwork Skills
 Interpersonal Skills (relates well to others)
 Problem-solving Skills
 Flexibility / Adaptability
 Computer skills
 Organizational Skills
- 36 -

working environment.

3. Learning outcomes
As provided by institution, the internship was supposed to last for six weeks, during that time I
have learnt various new things some similar to those learnt from class and others totally different
from what I had learnt from class. The internship has helped me to acquire different knowledge
and skills and match those by putting what I had learnt from class into practices as well as
learning from new things. I have learnt how to adapt in new working environment quickly and
how to gain new friends whether co-worker or customers within new working environment.
Among critical vents encountered during my internship I have chosen the following:
 My first day on internship
 Having to deal with difficult person or situation
 Finding myself nothing to do
3.1.My first day on the internship job
1) Context
On this great day I welcomed by Branch Manager and introduce me to the other workers
especially to those who had morning shift, so he told them that I am an intern who is going to
conduct internship in COPEDU LTD during six weeks, in that morning it was good time to greet
every worker, after that manager told Main cashier to give me information of COPEDU LTD,
she gave me more information and documents for reading in order to understand more. I was
directed in the customer care service where I spent many days. This area helped me to integrate
in COPEDU LTD and to meet with different persons (customers and visitors). I have learnt
different new things beyond to what I have studied at college, customer care service requires
good communication skills and to be flexible in order to serve customers and guests well. This
area reflects the image of institution if you behave badly you may destroy the reputation of
organization. So I had to behave well and be attentive in order to avoid the mistakes might
happen at the beginning of my internship.
- 39 -
2) My role
On my first days of internship, my role was to record new customers in the book of customers,
help customer to fill deposit or withdrawal forms, and classifying documents. On this first day I
did not performed may tasks because it was a day of studying new working environment and
watching how customer service is performed.
3) Actions taken
After finding the task’s complexities, I have decided to work hard and with a speed in order to be
familiar with the task by collaborating with my colleagues and asking assistance where it is
needed.
4) Performance
On the first day, the performance was very low compared to other days because I was not
accustomed with the task. I worked with many considerations like the way of recording customer
identification in the book of customers. The performance has been increased day to day and
keeps going on until the end of the internship where I was able to record all entries without any
difficulty.
5) Guidance
I have received guidance from the supervisor and co-workers in case I met any challenge or in
case I got stuck in certain situation, at this time I needed much guidance because I was new
worker in the field, so this helped me to familiarize different operations.
6) Improvements
Improvements that have been made in this task were to collaborate with co-workers and my
colleagues by working through team of interns and a coworker in order to increase the speed and
flexibility. This has been achieved because as time keeps going on, performance has been
improved.
7) Gain/Learn
What has been learned from the task is the knowledge about managing a variety customers and
visitors who come in COPEDU LTD, especially when many customers from cooperatives and
solidarity groups come to withdraw their money; I have also learned how to take care of
customers, Solid communication skills both written and verbal and I have got ability to be
- 40 -
resourceful and proactive in dealing with issues that may arise, I learnt how to organize,
multitask, prioritize and work under pressure.
3.2.Having to deal with difficult person or situation
During my internship, I sometime dealt with a difficult person because various reasons, which
required much attention. During my first day of internship I was very interest in offering service
to different people, for me it was the first time to work in such environment.
1) Context
Many time I had to deal with different people during my work, many customers and visitors
come toward customer care service and me I was there to serve them in case co-worker is around
or not, normally in financial institutions they charge each customer monthly charge especially in
COPEDU LTD they charge 400Frw/month, so there are customer who don’t use their accounts
for long time and they forget that there is monthly charge on their account, when these customers
deposit money on their accounts automatically charges are removed on those accounts, then
some customers complain that their money are taken away, trying to give them explanation
become difficult because of their mind set or because their knowledge about banks is low.
There is also another difficult situation that I met, this happened when we had so many
customers from farming cooperative come to withdraw loan that was given to them, most of
them they do not know to fill withdrawal forms, that time I filled many forms about six
consecutive hours.
2) My role
My role was supporting customers and visitors in different ways such as: to give them
information and guide them where they can address their questions, help customers to fill deposit
or withdrawal forms in case customer need that support, the other thing that I had to do was
photocopying and scanning different documents or forms when it is necessary to do so, a
3) Actions taken
When I meet such difficult people, I had to go slowly and being flexible try to find possible
answer that will satisfy them, if not satisfied I sent him where he can get more information
according to the problem he or she has.
- 41 -
In case I met difficult situation and got stuck, I asked for help from co-workers who have more
experience than me, if it is situation that I can handle I had to try all my best to solve that issue.
4) Performance
At this time my performance was been increasing day to day, so at this stage it was good
compared to the beginning time, my communication was nice I could perform without any
difficulty. I was familiar with co-workers and know how job is performed.
5) Guidance
I always guided by supervisor or co-workers when I need help or when I am going to work in
new area, and also I asked for guidance when I met something new, then supervisor or workers
showed me how it is done.
6) Improvements
There was remarkable improvement day to day, as the time goes on there was new skills that I
gain every day, I was able to serve and satisfy customer at reception such as help new customer
to open account by: printing form to be filled by new customer, fill booklet and attach picture for
new customer, record customer’s identification in proper book, I was able to do this myself
without any guidance or help from supervisor and co-workers.
7) Gain/Learn
What I have learnt is having confidence in me and being flexible in any situation whatever it is,
my communication also has increased.
3.3. Finding myself with nothing to do
Sometimes I used to find myself with nothing to do, because of different reasons such as: finish
assigned task before expected time, having no customers to serve and other reasons.
1) Context
During my internship I was assigned different tasks, in the morning before starting work I was
given tasks to do throughout day, it could be one task two or more tasks depends on how many
tasks are there. If tasks finished I find myself with nothing to do, it could also happened when
there is no many customers coming to asks for services especially in the afternoon hours between
1 P.M and 2 P.M
- 42 -
2) My role
My role was to perform all the tasks assigned to me and other necessary work, such as: printing
and scanning different documents, recording, assisting customer to fill different forms.
3) Actions taken
At time when I found myself with nothing to do I decided to check what I have done before and
try to correct the mistakes I made, this helps to keep my records accurate. When I found myself
with nothing to do I could also decide to learn new things through asking more information from
co-workers or read different books and documents.
4) Performance
My performance was increasing day to day; it was good because at this time I could make some
decisions myself without any intervention among those decisions I may say: to assign myself
what to do or to do any other essential task. To make some decisions on customers like if client
need service while he does not meet requirements, at that time I give explanations to the
customer then I decided not to serve that customer except he go back and fill the requirements.
For example, person might wish to open an account in COPEDU LTD and he don’t have ID card
or passport it could also happen that the person who wish to open account he/she doesn’t have
two colored passport photos, in the above cases that person could not be served until he fulfils
requirements.
5) Guidance
The guidance was always comes from supervisor or co-workers, every time before starting
performing new task I was guided how it is done and learn how I am going to do so, I also got
guidance when I am going to work in new area, once I have got guidance next time I was able to
work without any difficulty.
6) Improvements
The improvement was significant even though it was not as much as I wish. I was expecting to
be improved in all areas of COPEDU LTD but because of different circumstances I did not
achieve my goal as expected, compared to the first days there was a good improvement in
communication, personality, dressing, self confidence, seeped of offering services, working hard
and so on.
- 43 -
7) Gain/ Learn
I have gained lots of things, these strengthened my skills and get new ones along technical
development, I could see firsthand what employees expect with regard to professionalism,
etiquette, work ethic, attitude, dress and basic behavior, this prepares me to become better
employee when I get full time career position.
4. Self-Evaluation of Internship
The internship was carried out within six weeks (thirty working days) and during six weeks I
have achieved many things some were new and others weren’t and it has helped me to put into
practice what I have learned from college at CBE. This program of internship for undergraduates
is more and highly constructive because it gives a directive line for an intern that will be useful
in his/her working life. It also reflects your personality and reveals your working ability, so it is a
good opportunity to build and strengthen your ability.
4.1.Expectations of my internship position
During the internship I was expected to achieve various things for personal and organizational
perspective. Among those expectations, I may state the following:
 Putting into practice what I have learnt theoretically in the class to improve knowledge
and performance by bridging the gap between the theories learned with practical
approaches of job requirements
 Understanding activities carried by financial institutions and their social impacts
 Teamwork and leadership skills by participating actively and proactively at the work
place
 Improving communication skills at work through networking and collaboration
 Demonstrating a flexible and an open minded attitude in new working environment.
 Building and maintaining good relationship with co-workers
 I was expected that internship will provide different links
 Working with all my strengths and follow internal rules and regulations
- 44 -
4.2.The way in which the expectations have been met
To achieve all those expectations was not easy as new intern in the institution but I have tried
doing my best, I have used a lot of effort in order to meet these expectations through;
I have tried to create and maintain relationship with co-workers and customers in order to be
familiar into the environment.
 Having confidence; this has helped me to put my learning into practice when facing with
the new environment that requires sometimes applying the knowledge learnt from class.
 Punctuality; I have achieved my expectations by working on time and by respecting the
rules and regulations of the institution.
 Learning from mistake; I have tried to learn from my mistakes and this has pushed me
not redo the same mistake again.
I cannot approve that all the above expectations has been achieved 100% but the majority has
been realized, working in new environment is challenging but achievable.
4.3.New skills acquired
During internship period, I have got a lot of new skills which have helped to understand well
how COPEDU LTD works and build my working capacity.
Those skills acquired include:
 Proficient with Microsoft Office Suite
 Professional appearance
 Solid communication skills both written and verbal
 Ability to be resourceful and proactive in dealing with issues that may arise
 Ability to organize, multitask, prioritize and work under pressure
 Sorting and filing a set of large documents basing on their account numbers
 Using photocopying machine, scan documents
- 45 -
4.4.Relevance of my work to what I am studying at CBE
During internship period, I have moved across various services and I have learned various things
depending on what is done in that section. I have started working in customer care service
Section where I was serving customer and visitors under the guidance of my supervisor.
Working in this service require to have knowledge of using computer so it was easy for me
because I have learnt Information technology, Information Systems and E-Business and
Accounting Information Systems, this made learning AD-BANKING system very easy.
Thereafter, I went to the loan service unity where I found new things and relevant to what I have
learnt from class. There I have dealt with something related loan amortization, payback period
and other accounting concepts related to loans that I have leant at CBE. Learning this course has
helped to understand things related to loan very quickly.
Beyond of this I have also learnt different things from what I have learnt from class like
computer software called AD-BANKING and this software is very important because is used in
COPEDU LTD and other different institutions, so I have also learnt how transactions (debiting
and crediting) are made in the AD-BANKING software and other operations like délestage du
guichet and approvisionnement(those terms are in French because it is the language used in
COPEDU LTD, this helped to know how transactions are recorded in the software, while in
class I learned how to debit and credit manually.
4.5.My overall performance rate
During the internship period, I have met with different new and challenging things like operating
in a new environment, new rules and regulations, and also the operating system. Due to all those
threats my performance was not achieved a hundred per cent, I can say that the achievement was
at 90% from my expectations. I have assigned with different tasks that requires more experience
to carry out properly and unfortunately sometimes I made mistakes, as an intern I was required to
work with many efforts in order to perform the tasks as required like an experienced person; the
internship helped me to be flexible in the operating environment and this will helps me to leave
my internship with confidence to tackle any task at my next job. I did not got 100% but I have
noticed my weakness, so I have learnt from mistake that I made and complete that gap so that I
will be competitive candidate after graduation.
- 46 -
4.6.The way I have changed as a result of internship experience
As I said earlier, the internship was too significant because offered a hand-on opportunity to
work in my desired filed, I have learnt how my course of study applies to the real word and build
valuable experience that makes me stronger candidate for jobs after graduation. Nowadays I am
able to work on time by following rules and regulations of the institution, I have learnt how to
behave at work place, how to build a good relationship with others, and how to speak to the
superiors openly and confidently. During my internship period gained more experiences related
to my specialization of accounting and technical competences especially computer skills,
professional appearance. My internship period facilitated me to be self-motivated and to gain
professional competencies. My communication skills has increased, and I am able to organize
multitask, prioritize and work under pressure.
5. Self-Development Plan
Basing on internship experience, I have found that I need a lot of things to learn in order to
improve performance at work. As a development plan, I need to:
 Continue improving my skills by going beyond like holding a master’s degree so that I
can learn more in order to meet and fit with special tasks to increase the job performance,
 Upgrading my knowledge and skills by attending professional courses like CPA or
ACCA so that I will be a professional expert in revenue management,
 Continue learning computer software like AD-BANKIG, SAGE pastel, and others
because I have found that are more important and useful in most institutions like banks
After my undergraduate studies, I hope that I will get opportunity of working in COPEDU LTD
or other similar institutions that I can continue working in this familiar environment in which I
have got a lot of experience. It will be better for me to continue improve my knowledge by
working in such institution, I think that my plan will be realistic. The knowledge and skills I
have gained from COPEDU LTD will help me to be an employee of professional competencies,
and lot of technical skills.
Basing on the knowledge I have gained from school and the practical knowledge from internship
in COPEDU LTD I will be a productive worker and motivated, also because COPEDU LTD
- 47 -
offers different types of loans and foreign transactions like money transfer I will be able to offer
such services easily.
6. Conclusion
As conclusion, the internship was good time to put in action what I have learnt in class and
receive new knowledge. Internship is important both to the student and the organization, for
student he acquire new skills and knowledge for free and organization employ unpaid worker.
Beyond what I have learnt in class I found that COPEDU LTD has policy to facilitates women
entrepreneurs by providing loan at minimum interest rate and collateral is furniture, this
contribute to increase families wealth, and also COPEDU LTD provides loan to
COOPERATIVES and solidarity groups this contribute much in improving people’s wealth, this
is big contribution to the society.
7. Recommendations
7.1.Recommendations to the school
For making internship more beneficial and effective, school must seek internship for students
where that student fit according to his/her academic career, this will help student to work in
desired field, for that this can be a good opportunity to the students to learn how their course of
study applies in real world and build valuable experience. Today getting internship is very
difficult for the students because some institutions did not accept interns, for that reason students
try to find everywhere even to the institution they do not fit.
School must expand time for internship; thirty days are not enough it could be better if time
expanded to sixty days or more, this will facilitate students to have more time for trying on
different careers.
Students should be given financial support before starting internship, most students need money
for transport, for lunch and other needs.
School should request weekly report from the institution where the student is conducting the
internship and also school can give guidelines of how student could be trained. Some time
students are placed in the area that are not related to their career , this do not allow them to put in
practice what they have learnt in class.
- 48 -
7.2.Recommendations to the COPEDU LTD
The internship is profitable for both parties (the organization and intern) for the organization
internship provide unpaid employees.
For employers who are looking for the cream of the crop among college-educated, entry-level
employees, an internship program is the best way for them to build a pipeline of talented, young
professionals.
”The market for the best and brightest students is the most competitive I‘ve ever seen,” says Dan
Black, Director of Campus Recruiting for Ernst & Young.
In fact, the market is competitive, than 51% of the employers are now focusing on relevant
internship experience to find the best fit for their companies. Eighty-one percent of the
employers have found that new hires with relevant internship experience are better prepared than
those without internships.
Inters are valuable assets for employers for several reasons. In additions to being a pipeline for
hiring, interns fill positions and assist employers with innovative ideas and technology.
“Internships allow us to connect with and build relationships with students early in their
academic careers,” said Mary Anne McNlty, Manger of Staffing and college Relations, Starwood
Hotels &Resorts.”
This builds a pool of candidates who have work experience with us and have forged relationships
with our managers.”
Students are on the same page as employers regarding the importance of internships.
Approximately 66% of the more than 2,800 students surveyed have held at least one internship.
Thirty-seven percent of students reported that internships are one of the most effective job search
resources. Internships open all sorts of doors for students. Students gain an insider’s view to a
possibl e career path and networking opportunities. Above all, internships could lead to a
full-time position for that company.
With benefits for employers and students, internships really are win-win.

This service reflects the image of company so that it requires more attention and to be flexible in order to keep and attract more customers by giving them good service which satisfy their need. This task is good for new employer because it gives opportunity to study many thing in the organization, people in this position must have enough knowledge in order to be able to answer any question addressed to him or her. 2) My responsibility This area require to have more information about company, so that at the first day receptionist give me full information of COPEDU LTD such as historical background, services offered and at that day I read different documents in order to get full company information and to be able to give customer services and satisfy them. • 25. - 25 - new customer, then after that I submit that form to main cashier or other employee who is concerned to do so in order to enter that information in the system. The customer my choose to use check or booklet to withdraw money, if new customer decide to use booklet I was supposed to fill that booklet with his or her full identification (Account number, Name, address, ID number, Passport picture, Stamp and signature) Helping customer to fill forms of ordering check before main cashier made an order to the headquarter, recording new customers’ identification in book of all customers, here what I have to do is to record the following information: acquisition date of customer, full names, the names must be the same as those appearing on ID card or Passport, serial number, ID card number, recording this I have to be attentive, those numbers must be right and correct, current address of customer means, zone, Cell, Sector, and District, at last comes telephone numbers, those information must be recorded in book and in the system called AD BANKING, this is the software used in all COPEDULTD Branches that enable customer to access service at any branch, he/she can withdraw or deposit money on his/her account or do more on the account without need to go where the account was initially opened. The other task that I was supposed to do was printing and scanning some documents to be used in different areas some of those documents was: forms of new customer, form of ordering check, and other, some documents was scanned in order to be sent to the headquarter, or to keep those documents as soft documents. I have required checking customers’ identification in book of customers to check whether those entries are made correctly if the mistake fund it is corrected immediately. I have also to help some customers who are not familiar to fill forms of Western Union in order to receive money from abroad or elsewhere, after filling the format client took that form to the cashier. Other responsibility that I had was helping customers who were not able to fill deposit and withdrawal forms, because some customers of COPEDU LTD Rwamagana Branch are farmers and they did not know writing, in that case I have to help them to fill the forms.
  • 26. - 26 - The other thing I was supposed to do was classifying documents, in proper place in order to facilitate next user to find that document easily and to protect those documents. 3) Task Description As a receptionist you are the first point of contact for the company and you provide administrative support across the organization. You handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.  Technical details This task requires much attention and to be flexible, in order to serve customers and visitors well and satisfy them, as intern I was very keen to serve customer and explore new area, the following are responsibilities that receptionist had to perform:  Serve visitors by greeting, welcoming, directing and announcing them appropriately  Answer, screen and forward any incoming phone calls while providing basic information when needed  Receive and sort daily deliveries/couriers  Maintain security by following procedures and controlling access.  Perform other clerical receptionist duties such as filing, photocopying, collating, assisting customers etc.  Scientific/Professional Skills required In order to perform this task as required you have:  Proven working experience in similar roles  Proficient with Microsoft Office Suite  Professional appearance  Solid communication skills both written and verbal  Ability to be resourceful and proactive in dealing with issues that may arise  Ability to organize multitasks, prioritize and work under pressure.
  • 27. - 27 -  To be very attentive, in order to be able to record entries correctly especially customer’s identification and other necessary information.  To be flexible  To have oral communication skills and to be able to communicate with different person  To have knowledge to the AD BANING (software used in COPEDU LTD that connect all branches)  To have enough knowledge in accounting or any other related field  To be able to use photocopying machine and scanner  The ability to work in team  Problems encounteredandapproach takento solve them First problem that I have encountered I was not allowed to use AD BANKING system, to login the system require username and password, so as intern I was not allowed to do so, if customer need the service which require to enter in the system for example customer need to know the balance no his/her account and I am only person who is in reception, the solution of this was to ask employer who is allowed to login the system to help the customer. Other problem, customers thought that I was employer so that I can satisfy all their needs, and if I told him/her that I am not allowed to do what he/she requiring he/she become discomfort, that time what I had to do was to guide the customer where he can address his/her problem Internet break down, when this problem occurs most operations cannot be performed because the AD BANKING software need internet connection, this cause customers to become bored when they are waiting until the problem is fixed, AD BANKING software is in French and the language used is French in much documentation, so it was difficult to me to be able to know all terms used because I am not fluent in French. So what I have to do when I found difficult term, is to ask for explanation to the co-workers
  • 28. - 28 -  Solution/designimplemented For any problem that was complicated for me and I could not get correct answer, the only thing I had to do, was to ask for support from my internal supervisor or any other co-worker depending on those problems that I have encountered, using this approach to get solution was helpful because when I met the some problems again I was able to solve them without any support.  New skills/knowledge acquired During internship I have benefited a lot and acquired new skills and knowledge, today I know how to open account for new customers manually, and if have authorization to log in into the systems I can even open account in the system or do some modification if necessary. Now I know how to deal with different people even difficult people, customer service receive many customers, so that when I was in that place I meet with many people from different areas of different behavior, so this facilitated me to know how to behave when you are dealing with such people. The internship empowers to leave my internship with the confidence to tackle any task at next job. Internship gives me opportunity to try on many different careers and to build my professional network. Internship provides a link between academic learning and professional employment, and helped me to learn beyond classroom. Internship offer me a hands-on opportunity to work in my desired field, I leant how my course of study applies in the real world and build valuable experience that makes me stronger candidate for job after graduation.

Among critical vents encountered during my internship I have chosen the following:  My first day on internship  Having to deal with difficult person or situation  Finding myself nothing to do 3.1.My first day on the internship job 1) Context On this great day I welcomed by Branch Manager and introduce me to the other workers especially to those who had morning shift, so he told them that I am an intern who is going to conduct internship in COPEDU LTD during six weeks, in that morning it was good time to greet every worker, after that manager told Main cashier to give me information of COPEDU LTD, she gave me more information and documents for reading in order to understand more. I was directed in the customer care service where I spent many days. This area helped me to integrate in COPEDU LTD and to meet with different persons (customers and visitors). I have learnt different new things beyond to what I have studied at college, customer care service requires good communication skills and to be flexible in order to serve customers and guests well. This area reflects the image of institution if you behave badly you may destroy the reputation of organization. So I had to behave well and be attentive in order to avoid the mistakes might happen at the beginning of my internship.
  • 39. - 39 - 2) My role On my first days of internship, my role was to record new customers in the book of customers, help customer to fill deposit or withdrawal forms, and classifying documents. On this first day I did not performed may tasks because it was a day of studying new working environment and watching how customer service is performed. 3) Actions taken After finding the task’s complexities, I have decided to work hard and with a speed in order to be familiar with the task by collaborating with my colleagues and asking assistance where it is needed. 4) Performance On the first day, the performance was very low compared to other days because I was not accustomed with the task. I worked with many considerations like the way of recording customer identification in the book of customers. The performance has been increased day to day and keeps going on until the end of the internship where I was able to record all entries without any difficulty. 5) Guidance I have received guidance from the supervisor and co-workers in case I met any challenge or in case I got stuck in certain situation, at this time I needed much guidance because I was new worker in the field, so this helped me to familiarize different operations. 6) Improvements Improvements that have been made in this task were to collaborate with co-workers and my colleagues by working through team of interns and a coworker in order to increase the speed and flexibility. This has been achieved because as time keeps going on, performance has been improved. 7) Gain/Learn What has been learned from the task is the knowledge about managing a variety customers and visitors who come in COPEDU LTD, especially when many customers from cooperatives and solidarity groups come to withdraw their money; I have also learned how to take care of customers, Solid communication skills both written and verbal and I have got ability to be
  • 40. - 40 - resourceful and proactive in dealing with issues that may arise, I learnt how to organize, multitask, prioritize and work under pressure. 3.2.Having to deal with difficult person or situation During my internship, I sometime dealt with a difficult person because various reasons, which required much attention. During my first day of internship I was very interest in offering service to different people, for me it was the first time to work in such environment. 1) Context Many time I had to deal with different people during my work, many customers and visitors come toward customer care service and me I was there to serve them in case co-worker is around or not, normally in financial institutions they charge each customer monthly charge especially in COPEDU LTD they charge 400Frw/month, so there are customer who don’t use their accounts for long time and they forget that there is monthly charge on their account, when these customers deposit money on their accounts automatically charges are removed on those accounts, then some customers complain that their money are taken away, trying to give them explanation become difficult because of their mind set or because their knowledge about banks is low. There is also another difficult situation that I met, this happened when we had so many customers from farming cooperative come to withdraw loan that was given to them, most of them they do not know to fill withdrawal forms, that time I filled many forms about six consecutive hours. 2) My role My role was supporting customers and visitors in different ways such as: to give them information and guide them where they can address their questions, help customers to fill deposit or withdrawal forms in case customer need that support, the other thing that I had to do was photocopying and scanning different documents or forms when it is necessary to do so, a 3) Actions taken When I meet such difficult people, I had to go slowly and being flexible try to find possible answer that will satisfy them, if not satisfied I sent him where he can get more information according to the problem he or she has.
  • 41. - 41 - In case I met difficult situation and got stuck, I asked for help from co-workers who have more experience than me, if it is situation that I can handle I had to try all my best to solve that issue. 4) Performance At this time my performance was been increasing day to day, so at this stage it was good compared to the beginning time, my communication was nice I could perform without any difficulty. I was familiar with co-workers and know how job is performed. 5) Guidance I always guided by supervisor or co-workers when I need help or when I am going to work in new area, and also I asked for guidance when I met something new, then supervisor or workers showed me how it is done. 6) Improvements There was remarkable improvement day to day, as the time goes on there was new skills that I gain every day, I was able to serve and satisfy customer at reception such as help new customer to open account by: printing form to be filled by new customer, fill booklet and attach picture for new customer, record customer’s identification in proper book, I was able to do this myself without any guidance or help from supervisor and co-workers. 7) Gain/Learn What I have learnt is having confidence in me and being flexible in any situation whatever it is, my communication also has increased. 3.3. Finding myself with nothing to do Sometimes I used to find myself with nothing to do, because of different reasons such as: finish assigned task before expected time, having no customers to serve and other reasons. 1) Context During my internship I was assigned different tasks, in the morning before starting work I was given tasks to do throughout day, it could be one task two or more tasks depends on how many tasks are there. If tasks finished I find myself with nothing to do, it could also happened when there is no many customers coming to asks for services especially in the afternoon hours between 1 P.M and 2 P.M
  • 42. - 42 - 2) My role My role was to perform all the tasks assigned to me and other necessary work, such as: printing and scanning different documents, recording, assisting customer to fill different forms. 3) Actions taken At time when I found myself with nothing to do I decided to check what I have done before and try to correct the mistakes I made, this helps to keep my records accurate. When I found myself with nothing to do I could also decide to learn new things through asking more information from co-workers or read different books and documents. 4) Performance My performance was increasing day to day; it was good because at this time I could make some decisions myself without any intervention among those decisions I may say: to assign myself what to do or to do any other essential task. To make some decisions on customers like if client need service while he does not meet requirements, at that time I give explanations to the customer then I decided not to serve that customer except he go back and fill the requirements. For example, person might wish to open an account in COPEDU LTD and he don’t have ID card or passport it could also happen that the person who wish to open account he/she doesn’t have two colored passport photos, in the above cases that person could not be served until he fulfils requirements. 5) Guidance The guidance was always comes from supervisor or co-workers, every time before starting performing new task I was guided how it is done and learn how I am going to do so, I also got guidance when I am going to work in new area, once I have got guidance next time I was able to work without any difficulty. 6) Improvements The improvement was significant even though it was not as much as I wish. I was expecting to be improved in all areas of COPEDU LTD but because of different circumstances I did not achieve my goal as expected, compared to the first days there was a good improvement in communication, personality, dressing, self confidence, seeped of offering services, working hard and so on.
  • 43. - 43 - 7) Gain/ Learn I have gained lots of things, these strengthened my skills and get new ones along technical development, I could see firsthand what employees expect with regard to professionalism, etiquette, work ethic, attitude, dress and basic behavior, this prepares me to become better employee when I get full time career position. 4. Self-Evaluation of Internship The internship was carried out within six weeks (thirty working days) and during six weeks I have achieved many things some were new and others weren’t and it has helped me to put into practice what I have learned from college at CBE. This program of internship for undergraduates is more and highly constructive because it gives a directive line for an intern that will be useful in his/her working life. It also reflects your personality and reveals your working ability, so it is a good opportunity to build and strengthen your ability. 4.1.Expectations of my internship position During the internship I was expected to achieve various things for personal and organizational perspective. Among those expectations, I may state the following:  Putting into practice what I have learnt theoretically in the class to improve knowledge and performance by bridging the gap between the theories learned with practical approaches of job requirements  Understanding activities carried by financial institutions and their social impacts  Teamwork and leadership skills by participating actively and proactively at the work place  Improving communication skills at work through networking and collaboration  Demonstrating a flexible and an open minded attitude in new working environment.  Building and maintaining good relationship with co-workers  I was expected that internship will provide different links  Working with all my strengths and follow internal rules and regulations
  • 44. - 44 - 4.2.The way in which the expectations have been met To achieve all those expectations was not easy as new intern in the institution but I have tried doing my best, I have used a lot of effort in order to meet these expectations through; I have tried to create and maintain relationship with co-workers and customers in order to be familiar into the environment.  Having confidence; this has helped me to put my learning into practice when facing with the new environment that requires sometimes applying the knowledge learnt from class.  Punctuality; I have achieved my expectations by working on time and by respecting the rules and regulations of the institution.  Learning from mistake; I have tried to learn from my mistakes and this has pushed me not redo the same mistake again. I cannot approve that all the above expectations has been achieved 100% but the majority has been realized, working in new environment is challenging but achievable. 4.3.New skills acquired During internship period, I have got a lot of new skills which have helped to understand well how COPEDU LTD works and build my working capacity. Those skills acquired include:  Proficient with Microsoft Office Suite  Professional appearance  Solid communication skills both written and verbal  Ability to be resourceful and proactive in dealing with issues that may arise  Ability to organize, multitask, prioritize and work under pressure  Sorting and filing a set of large documents basing on their account numbers  Using photocopying machine, scan documents
  • 45. - 45 - 4.4.Relevance of my work to what I am studying at CBE During internship period, I have moved across various services and I have learned various things depending on what is done in that section. I have started working in customer care service Section where I was serving customer and visitors under the guidance of my supervisor. Working in this service require to have knowledge of using computer so it was easy for me because I have learnt Information technology, Information Systems and E-Business and Accounting Information Systems, this made learning AD-BANKING system very easy. Thereafter, I went to the loan service unity where I found new things and relevant to what I have learnt from class. There I have dealt with something related loan amortization, payback period and other accounting concepts related to loans that I have leant at CBE. Learning this course has helped to understand things related to loan very quickly. Beyond of this I have also learnt different things from what I have learnt from class like computer software called AD-BANKING and this software is very important because is used in COPEDU LTD and other different institutions, so I have also learnt how transactions (debiting and crediting) are made in the AD-BANKING software and other operations like délestage du guichet and approvisionnement(those terms are in French because it is the language used in COPEDU LTD, this helped to know how transactions are recorded in the software, while in class I learned how to debit and credit manually. 4.5.My overall performance rate During the internship period, I have met with different new and challenging things like operating in a new environment, new rules and regulations, and also the operating system. Due to all those threats my performance was not achieved a hundred per cent, I can say that the achievement was at 90% from my expectations. I have assigned with different tasks that requires more experience to carry out properly and unfortunately sometimes I made mistakes, as an intern I was required to work with many efforts in order to perform the tasks as required like an experienced person; the internship helped me to be flexible in the operating environment and this will helps me to leave my internship with confidence to tackle any task at my next job. I did not got 100% but I have noticed my weakness, so I have learnt from mistake that I made and complete that gap so that I will be competitive candidate after graduation.
  • 46. - 46 - 4.6.The way I have changed as a result of internship experience As I said earlier, the internship was too significant because offered a hand-on opportunity to work in my desired filed, I have learnt how my course of study applies to the real word and build valuable experience that makes me stronger candidate for jobs after graduation. Nowadays I am able to work on time by following rules and regulations of the institution, I have learnt how to behave at work place, how to build a good relationship with others, and how to speak to the superiors openly and confidently. During my internship period gained more experiences related to my specialization of accounting and technical competences especially computer skills, professional appearance. My internship period facilitated me to be self-motivated and to gain professional competencies. My communication skills has increased, and I am able to organize multitask, prioritize and work under pressure. 5. Self-Development Plan Basing on internship experience, I have found that I need a lot of things to learn in order to improve performance at work. As a development plan, I need to:  Continue improving my skills by going beyond like holding a master’s degree so that I can learn more in order to meet and fit with special tasks to increase the job performance,  Upgrading my knowledge and skills by attending professional courses like CPA or ACCA so that I will be a professional expert in revenue management,  Continue learning computer software like AD-BANKIG, SAGE pastel, and others because I have found that are more important and useful in most institutions like banks After my undergraduate studies, I hope that I will get opportunity of working in COPEDU LTD or other similar institutions that I can continue working in this familiar environment in which I have got a lot of experience. It will be better for me to continue improve my knowledge by working in such institution, I think that my plan will be realistic. The knowledge and skills I have gained from COPEDU LTD will help me to be an employee of professional competencies, and lot of technical skills. Basing on the knowledge I have gained from school and the practical knowledge from internship in COPEDU LTD I will be a productive worker and motivated, also because COPEDU LTD
  • 47. - 47 - offers different types of loans and foreign transactions like money transfer I will be able to offer such services easily. 6. Conclusion As conclusion, the internship was good time to put in action what I have learnt in class and receive new knowledge. Internship is important both to the student and the organization, for student he acquire new skills and knowledge for free and organization employ unpaid worker. Beyond what I have learnt in class I found that COPEDU LTD has policy to facilitates women entrepreneurs by providing loan at minimum interest rate and collateral is furniture, this contribute to increase families wealth, and also COPEDU LTD provides loan to COOPERATIVES and solidarity groups this contribute much in improving people’s wealth, this is big contribution to the society. 7. Recommendations 7.1.Recommendations to the school For making internship more beneficial and effective, school must seek internship for students where that student fit according to his/her academic career, this will help student to work in desired field, for that this can be a good opportunity to the students to learn how their course of study applies in real world and build valuable experience. Today getting internship is very difficult for the students because some institutions did not accept interns, for that reason students try to find everywhere even to the institution they do not fit. School must expand time for internship; thirty days are not enough it could be better if time expanded to sixty days or more, this will facilitate students to have more time for trying on different careers. Students should be given financial support before starting internship, most students need money for transport, for lunch and other needs. School should request weekly report from the institution where the student is conducting the internship and also school can give guidelines of how student could be trained. Some time students are placed in the area that are not related to their career , this do not allow them to put in practice what they have learnt in class.
  • 48. - 48 - 7.2.Recommendations to the COPEDU LTD The internship is profitable for both parties (the organization and intern) for the organization internship provide unpaid employees. For employers who are looking for the cream of the crop among college-educated, entry-level employees, an internship program is the best way for them to build a pipeline of talented, young professionals. ”The market for the best and brightest students is the most competitive I‘ve ever seen,” says Dan Black, Director of Campus Recruiting for Ernst & Young. In fact, the market is competitive, than 51% of the employers are now focusing on relevant internship experience to find the best fit for their companies. Eighty-one percent of the employers have found that new hires with relevant internship experience are better prepared than those without internships. Inters are valuable assets for employers for several reasons. In additions to being a pipeline for hiring, interns fill positions and assist employers with innovative ideas and technology. “Internships allow us to connect with and build relationships with students early in their academic careers,” said Mary Anne McNlty, Manger of Staffing and college Relations, Starwood Hotels &Resorts.” This builds a pool of candidates who have work experience with us and have forged relationships with our managers.” Students are on the same page as employers regarding the importance of internships. Approximately 66% of the more than 2,800 students surveyed have held at least one internship. Thirty-seven percent of students reported that internships are one of the most effective job search resources. Internships open all sorts of doors for students. Students gain an insider’s view to a possibl e career path and networking opportunities. Above all, internships could lead to a full-time position for that company. With benefits for employers and students, internships really are win-win.
