Nominations & Elections for school years 2014-2016
PTO Board Positions description
“Hawk Parents + Teachers = Success!”
As the PTO school year is coming to an end, we at Rossview Middle School PTO are preparing for your
child/students journey to Middle School. The PTO is a great way to be involved with the school and to know firsthand the
many happenings, challenges and changes faced by administration, teaching staff and our students. We are looking
forward to on boarding and training you starting March to prepare for the upcoming school year!
We currently have 6 PTO board positions open for school years (2014-2016). If you choose to be a board member,
you get to be an active member with voting rights that affects many aspects of your child’s educational experience at
Rossview Middle. All positions will be for a 2 year period. Training and support are provided 
Middle School is a different atmosphere then Elementary School. Please consider yourself or someone you know
for a PTO Officer in 2014-2016. See our Facebook page for detailed descriptions of elected PTO offices at

**Please return this form to Rossview Middle front office by March 1, 2014 or contact Deon Lucke or any board
members to express interest. Better yet, Just come to the board meeting on March 11, 2013 in the Library Conference
Room at 1:00. This should help familiarize you to what we review, our monthly board agendas, goals, needs and
communication.

ALL PTO BOARD MEMBERS POSITIONS ARE BOARD VOTING POSITIONS
PTO President: (Currently Deon Lucke) (Open for 2014-2016) or Co-Presidents
The President will serve as the primary contact between the Principal and PTO. The President shall
preside at all meetings of the organization and of the executive committee, shall appoint the committees and
committee chairmen, and shall perform all other duties pertaining to the office. Coordinate and monitor the
work of officers and committees of the PTO in order that the objectives may be accomplished. Serve as an exofficio member of all committees except the nominating committee. Work with past PTO President for training
and integrating your ideas.
1. Preside at all meetings.
2. Attend the CCMSS annual meeting for School Support Organizations, as required by CMCSS.
3. Supervise the general functioning of the PTO
4. Call meetings of the Board as conditions warrants; usually monthly.
5. Preside over the Annual Membership meeting
6. Have authority to sign checks for disbursements upon review of adequate supporting
documentation.
7. Ensure the Bylaws and Goals of the PTO are submitted annually, as require by CMCSS.
8. Perform other executive functions as may be required.
9. Shall turn over all PTO assets, accounts, records, etc to successors as directed by the Board and
Bylaws.
PTO Vice President ( Currently Vacant)(Open for 2014-2016) or Co-Presidents
The Vice-President shall take charge and perform all of the responsibilities of the president in his/her
absence. He/she shall also work in any capacity delegated by the president and executive committee for the
fulfillment of all school related activities, fundraisers, etc.
1. Perform other executive functions as may be required.
2. Shall turn over all PTO assets, accounts, records, etc to successor as directed by the Board and
Bylaws.
3. Have authority to sign checks for disbursements upon review of adequate supporting
documentation.
4. Responsible for updating the marquee on a weekly basis or as needed.
5. Assist with Concessions Sales
6.
Attend monthly board meetings.
PTO PR(public relations) Coordinator ( Currently Holly Keuker)
1.
Coordinator shall take over current communication already in place for the school and
community wide communications from the PTO via the website and school technology contact, Mr
McGhee via email.
2.
This may include Facebook updates on a weekly basis and communication with the volunteer
coordinator.
3.
Ensure accurate and timely communication between all PTO members, parents, school staff,
teachers.
4.
Responsible for the production and distribution of the Rossview Middle PTO newsletter each
month, format already in place.
5.
Responsible for the design, development, and content of the PTO portion of the Rossview Middle
School website. Format already in use.
6.
Perform such duties as may be delegated to the Public Relations Coordinator.
7.
Attend monthly board meetings.
PTO Membership Coordinator (Currently Celia Pedigo)
1. Shall be responsible for encouraging and maximizing the PTO membership.
2. Work with Volunteer Coordinator identifying volunteer requests and assignments.
3. He/She will be responsible for the Rossview Middle School PTO membership compilation and annual
membership directory.
4. Attend monthly board meetings.
5. Perform such other duties as may be delegated

Volunteer Coordinator (currently Deon Lucke)
1. Communicate with Parent volunteers about upcoming events via email within a timely manner. All
information is given at the monthly board meetings and prepared for you by the board, PTO President.
2. Utilize the database of volunteer information currently in use, Parent Express Email. Information is not to
be shared our used for any personal gain.
3. Adhere to the privacy regulations of personal information.
4. Recognize, recruit, train and orient volunteers if needed.
5. Attend monthly board meetings
6. Work with principals, teachers, and school staff on effectively using and supervising volunteers.
7. This is a paid position via CMCSS. Policies and Procedures found at CMCSS.NET
8. Perform such other duties as may be delegated
Fundraiser Coordinator ( Currently Akiko Rands) (Open for 2014-2016)
1. Screen and research information from Fundraising Representatives to the PTO Board (The information is
provided from the board and Fundraising representatives). Present detailed fundraising options to the
board.
2. Assist in coordinating and organizing fundraising activities with the board
3. Be present and actively involved during fundraising events, not limited to fundraiser announcements,
kick-off, student incentives, counting of funds and disbursement of items if needed.
4. Evaluate performance and program success.
5. Collect box tops, campbells labels, and coke rewards caps on a monthly basis, once a month.
6. Mail out box tops and campbells labels twice a year using PTO funds
7. Attend monthly board meetings
8. Perform such other duties as may be delegated
Hospitality Co-Chairs (Currently Mary Ann Leath & Cathy Robbins)
1. Coordinate hospitality menu’s & suggestions agreed upon by the board. Currently 6 events per school
year
2. Works with the Volunteer Coordinator who sends out the information to parents who then sign up to
volunteer.
3. Assist volunteers for all aspects of setup, teardown, and cleanup.
4. Stay within the Hospitality Budget
5. Attend monthly board meetings
6. Perform such other duties as may be delegated
7.
PTO Treasurer/Co-Treasurer (Currently Tina Young) (Open for 2014-2016)
(Section 4 from PTO Bylaws) The Treasurer shall collect all dues and money forthcoming from any and all
projects and make clear records that shall be sufficient to establish the items of gross income, receipts, and
disbursements of the organization of the same and report thereon to the membership whenever called upon to
do so. The Treasurer shall pay all bills and accounts against the organization when properly certified. The
Treasurer will receive all monies for the organization, giving a receipt and depositing them in the name of the
organization in a bank approved by the executive board, maintaining a copy of the deposit slip for any deposit
made. The books of account and records shall be at reasonable times open to inspection by any member of the
organization in the presence of a witness. Two (2) signatures will be required on all checks. Any two (2) of the
following officers are authorized to sign: president, vice-president or treasurer. The authorized signers shall not
be related by blood or marriage or reside at the same address. The Treasurer is responsible for financial
integrity, monthly report of income and expense and year-end reporting of income, expenditures and remaining
balance. He/She is to keep an accurate record of receipts and disbursements in a ledger, this is the permanent
record of this organization. All other financial records must be retained for seven (7) years, including the current
year. Keep the membership informed of expenditures as they relate to the budget adopted by the organization.
Be prepared to present a statement of account at every meeting of the organization. Be responsible for filling
out and forwarding all necessary tax forms required by any government agency to an independent agent for
completion. Make an annual report to the organization this includes gross receipts and disbursements for the
year. Develop an annual budget as outlined in these bylaws. Perform such other duties as may be delegated to
the Treasurer.
PTO Clubs Coordinator (Currently Lisa Sims) (Open for 2014-2016)
1. Communicate with all Club Sponsors, sports sponsors and after school program sponsors(teachers) via
email or in person.
2. Share the monthly or weekly schedule from Club Sponsors to the PTO at the monthly meetings so the
PR Coordinator can share on website & FB
3. Follow up monthly with all Sponsors to keep current information and dates gathered
4. Attend Monthly Board Meetings
5. Perform such other duties as may be delegated
6. This is a two way communication effort. Clubs information is posted at the beginning of the school year.
Some sponsors use websites however this positions requires we post and share the information dates,
times, fees if applicable, etc
PTO Marquee Coordinator (Currently Rose Riggins) (Open for 2014-2016)
1. Change the marquee on a weekly basis using the monthly PTO Agenda that lists all upcoming events

2. Attend Monthly Board Meetings
3. Perform such other duties as may be delegated

Coordinator shall take over current communication already in place for the school and community wide communications from the PTO via the website and school technology contact, Mr McGhee via email. 2. This may include Facebook updates on a weekly basis and communication with the volunteer coordinator. 3. Ensure accurate and timely communication between all PTO members, parents, school staff, teachers. 4. Responsible for the production and distribution of the Rossview Middle PTO newsletter each month, format already in place. 5. Responsible for the design, development, and content of the PTO portion of the Rossview Middle School website. Format already in use. 6. Perform such duties as may be delegated to the Public Relations Coordinator. 7. Attend monthly board meetings. PTO Membership Coordinator (Currently Celia Pedigo) 1. Shall be responsible for encouraging and maximizing the PTO membership. 2. Work with Volunteer Coordinator identifying volunteer requests and assignments. 3. He/She will be responsible for the Rossview Middle School PTO membership compilation and annual membership directory. 4. Attend monthly board meetings. 5. Perform such other duties as may be delegated Volunteer Coordinator (currently Deon Lucke) 1. Communicate with Parent volunteers about upcoming events via email within a timely manner. All information is given at the monthly board meetings and prepared for you by the board, PTO President. 2. Utilize the database of volunteer information currently in use, Parent Express Email. Information is not to be shared our used for any personal gain. 3. Adhere to the privacy regulations of personal information. 4. Recognize, recruit, train and orient volunteers if needed. 5.   • 3. Fundraiser Coordinator ( Currently Akiko Rands) (Open for 2014-2016) 1. Screen and research information from Fundraising Representatives to the PTO Board (The information is provided from the board and Fundraising representatives). Present detailed fundraising options to the board. 2. Assist in coordinating and organizing fundraising activities with the board 3. Be present and actively involved during fundraising events, not limited to fundraiser announcements, kick-off, student incentives, counting of funds and disbursement of items if needed. 4. Evaluate performance and program success. 5. Collect box tops, campbells labels, and coke rewards caps on a monthly basis, once a month. 6. Mail out box tops and campbells labels twice a year using PTO funds 7. Attend monthly board meetings 8. Perform such other duties as may be delegated Hospitality Co-Chairs (Currently Mary Ann Leath & Cathy Robbins) 1. Coordinate hospitality menu’s & suggestions agreed upon by the board. Currently 6 events per school year 2. Works with the Volunteer Coordinator who sends out the information to parents who then sign up to volunteer. 3. Assist volunteers for all aspects of setup, teardown, and cleanup. 4. Stay within the Hospitality Budget 5. Attend monthly board meetings 6. Perform such other duties as may be delegated 7. PTO Treasurer/Co-Treasurer (Currently Tina Young) (Open for 2014-2016) (Section 4 from PTO Bylaws) The Treasurer shall collect all dues and money forthcoming from any and all projects and make clear records that shall be sufficient to establish the items of gross income, receipts, and disbursements of the organization of the same and report thereon to the membership whenever called upon to do so. The Treasurer shall pay all bills and accounts against the organization when properly certified. The Treasurer will receive all monies for the organization, giving a receipt and depositing them in the name of the organization in a bank approved by the executive board, maintaining a copy of the deposit slip for any deposit made. The books of account and records shall be at reasonable times open to inspection by any member of the organization in the presence of a witness. Two (2) signatures will be required on all checks. Any two (2) of the following officers are authorized to sign: president, vice-president or treasurer. The authorized signers shall not be related by blood or marriage or reside at the same address. The Treasurer is responsible for financial integrity, monthly report of income and expense and year-end reporting of income, expenditures and remaining balance. He/She is to keep an accurate record of receipts and disbursements in a ledger, this is the permanent record of this organization. All other financial records must be retained for seven (7) years, including the current year. Keep the membership informed of expenditures as they relate to the budget adopted by the organization. Be prepared to present a statement of account at every meeting of the organization. Be responsible for filling out and forwarding all necessary tax forms required by any government agency to an independent agent for completion. Make an annual report to the organization this includes gross receipts and disbursements for the year. Develop an annual budget as outlined in these bylaws.   • 4. PTO Clubs Coordinator (Currently Lisa Sims) (Open for 2014-2016) 1. Communicate with all Club Sponsors, sports sponsors and after school program sponsors(teachers) via email or in person. 2. Share the monthly or weekly schedule from Club Sponsors to the PTO at the monthly meetings so the PR Coordinator can share on website & FB 3. Follow up monthly with all Sponsors to keep current information and dates gathered 4. Attend Monthly Board Meetings 5. Perform such other duties as may be delegated 6. This is a two way communication effort. Clubs information is posted at the beginning of the school year. Some sponsors use websites however this positions requires we post and share the information dates, times, fees if applicable, etc PTO Marquee Coordinator (Currently Rose Riggins) (Open for 2014-2016) 1.
