             Move Approved Elements to InSite Asset Library


                     How This Lesson Will Help You
                     Asset Library is a server-based solution for the management of digital assets. It
                     is designed to support registering, locating, and re-purposing images, content
                     and artwork.
                     This lesson shows you how to create a library and copy project elements into it.


                     Topics in This Lesson

Create an InSite Asset Library
                     After the final content is approved, the project elements are either deleted or
                     stored for future reuse in the Asset Library library. The elements can be, uploaded,
                     copied and pasted into the library. Or you can use one of the enhanced Desktop
                     Software pick list features to move elements between projects and libraries.




                         Activity: Create an Asset Library

                     1.   Log on the Desktop Software as the Site Manager.
                     2. On the File menu, choose New Library.
                     3. In the Library name box, type the library name. For example,
                        YourName_Company.
                     4. Click Create Library.
                          The new library is created and displays under the Libraries area on the left
                          pane.

                       5. In the library, create two folders named Images and Application Files



Explain Element Attributes
                       Attributes are defined as the information that is associated with an element that
                       provides details about that element. For example:
                       •    System attributes include information such as file size or type and resolution.
                       •    File separations indicate whether a file can be separated and why it cannot be
                            separated. For example, file separations can specify whether a file contains a
                            transparency or a non-separable color space.
                       Elements attributes are gathered during upload. Asset Library can help you find
                       elements by searching user-defined attributes and system attributes. You can
                       also modify attributes on an element.



Search for an Element in the Library
                       You can use the web browser to search for elements in the current library. Search
                       using:
                       •    Complete or part file name, for example, pdf finds image.pdf.
                       •    Attributes, for example, 150 finds any elements whose resolution attribute is
                            set to 150 (dpi).
                       •    Uppercase or lower case.
                       •    % percent symbol: a wild card that represents single or multiple characters.
                            For example, image%view finds image_01_view and imagefrontview
                       These are not supported in searching:
                       •    Boolean logic: AND, OR, NOT, AND NOT, +, -, quotation marks


Search Parameters
                       You can search for elements using various criteria:
                       •    Element name
                       •    Attribute value
                       •    Job Name (Prinergy usage metadata: jobs where this element has been
                            associated with a page during refine)
                       •    Page Position (Prinergy usage metadata)
                       •    Page Name (Prinergy usage metadata)
                       •    Select one of: contains, is equal to, begins with, or ends with; then type the
                            words, letters, or numbers for which you want to search.

                     If required, add more search parameters using the add button (+). For example
                     you can search on a partial file name and the name of the photographer.

                     To search for an element in the library
                     •    On the Desktop Software Actions menu, choose Search.
                          By default, the Desktop Software searches the account from which you
                          launched the Search window.


                     For more information on modifying element attributes see the Creative Workflow and Asset Library
                     online help for Desktop Software.




Move Approved Elements to Asset Library
                     You can move approved project elements to Asset Library by copying and pasting
                     the appropriate elements from the Desktop Software Edit menu or use pick lists
                     to move elements between projects and libraries.
                     Pick lists are good to use if you want to move elements between different projects
                     or libraries into one library.

                         Activity: Move approved elements to the Asset
                         Library
                            On the View menu of the Desktop Software, choose the Toggle Pick List.
                       1.
                            The pick list pane appears on the right-side of the Desktop Software main
                            window.
                       2. Go the Project Images folder, and select all the images from the file display
                          area.
                       3. Drag the selected images onto the Pick List pane.
                       4. Go to the Library Images folder.
                       5. From the Pick List area, select and drag the images into the Images folder of
                          the library.
                            The images are now copied into the library's Images folder.
                       6. Go to the Project Application Files folder, and drag the file to the Pick List
                          area.
                       7. Go to the Library Application Files folder, and from the Pick List area, drag
                          the file into the Application Files folder file display area.


                       Note: You can also use the Copy and Paste options from the Edit menu to copy the entire project
                       into a newly created library. Once copied, you may need to refresh the Desktop Softwareto view the
                       newly copied elements in the library. To refresh the Desktop Software, choose View > Refresh All.




Reuse an Asset
                       Once the elements are stored in the library, the elements are referred to as assets.
                       Designers can reuse assets such as images stored in the Asset Library library for
                       use in other projects. Using Asset Library, an asset can be downloaded as a Low
                       resolution JPEP asset file type.

                       To reuse Asset Library assets
                            On the Desktop Software project Elements tab, click the asset you want to
                       1.
                            download.
                       2. On the File menu, choose New Download.
                       3. In the Download dialog box, select the Download type as Original or Low
                          resolution JPEG.
                            The Low resolution EPS FPO can only be used as part of an integrated system
                            with a Prinergy workflow.
                       4. Click Download.

Explain Open PrePress Interface (OPI) Support
                     When working in or packaging the files for a project, designers may want to swap
                     high resolution original images for a low-resolution image placeholder to make
                     the final output file size smaller and easier to transmit and manipulate. Designers
                     can download low-resolution images from Asset Library to replace the high-
                     resolution images in their layout files.
                     To create the final file for a project, a designer may output the page layout file to a
                     PostScript or PDF file. When outputting to a PostScript file, the designer may
                     choose to include the OPI comments into the PostScript file. At the printer, OPI
                     merging software scans the PostScript file for the OPI comments and then
                     searches the printer's image database to find the high-resolution image that
                     matches the file name.


                     Note: If the printer has workflow software such as Prinergy, the swap of the low-resolution image to
                     the high-resolution image is done automatically. This information is covered in the Creative
                     Workflow, Asset Library, and Prepress Portal integration part of this course.


                     Information on retaining OPI comments when submitting files to a printer is
                     found in the Asset Library Image Proxy Workflow For Designers Guide. This guide
                     and other documentation are accessible internally from TechPlanet or externally
                     from eCentral.

                     To replace an original image file with LowRes file
                          On the Desktop Software Library Elements tab, click the Images folder.
                     1.
                     2. Select test.tif.
                     3. On the File menu, choose New Download.
                     4. In the Download Elements dialog box, select the Download type as
                        Download FPO.
                     5. Click Download.
                     6. In InDesign, open the 4pg_SportsShopBroch_US2.indd file.
                     7. Replace the existing test.tif file from the InDesign file with the new
                        downloaded low-resolution image.
                     8. Save the changes.

Module 2: Creative Workflow and Asset Library 8 Lesson Move Approved Elements to InSite Asset Library How This Lesson Will Help You Asset Library is a server-based solution for the management of digital assets. It is designed to support registering, locating, and re-purposing images, content and artwork. This lesson shows you how to create a library and copy project elements into it. Topics in This Lesson After completing this lesson, you will be able to: • Create an InSite Asset Library • Explain Element Attributes • Search for an Element in the Library • Move Approved Elements to Asset Library • Reuse an Asset • Explain Open PrePress Interface (OPI) Support Create an InSite Asset Library After the final content is approved, the project elements are either deleted or stored for future reuse in the Asset Library library. The elements can be, uploaded, copied and pasted into the library. Or you can use one of the enhanced Desktop Software pick list features to move elements between projects and libraries. Activity: Create an Asset Library 1. Log on the Desktop Software as the Site Manager. 2. On the File menu, choose New Library. 3. In the Library name box, type the library name. For example, YourName_Company. 4. Click Create Library. The new library is created and displays under the Libraries area on the left pane. 72 Internal Student Guide

In the library, create two folders named Images and Application Files Explain Element Attributes Attributes are defined as the information that is associated with an element that provides details about that element. For example: • System attributes include information such as file size or type and resolution. • File separations indicate whether a file can be separated and why it cannot be separated. For example, file separations can specify whether a file contains a transparency or a non-separable color space. Elements attributes are gathered during upload. Asset Library can help you find elements by searching user-defined attributes and system attributes. You can also modify attributes on an element. Search for an Element in the Library You can use the web browser to search for elements in the current library. Search using: • Complete or part file name, for example, pdf finds image.pdf. • Attributes, for example, 150 finds any elements whose resolution attribute is set to 150 (dpi). • Uppercase or lower case. • % percent symbol: a wild card that represents single or multiple characters. For example, image%view finds image_01_view and imagefrontview These are not supported in searching: • Boolean logic: AND, OR, NOT, AND NOT, +, -, quotation marks Search Parameters You can search for elements using various criteria: • Element name • Attribute value • Job Name (Prinergy usage metadata: jobs where this element has been associated with a page during refine) • Page Position (Prinergy usage metadata) • Page Name (Prinergy usage metadata) • Select one of: contains, is equal to, begins with, or ends with; then type the words, letters, or numbers for which you want to search. For example you can search on a partial file name and the name of the photographer. To search for an element in the library • On the Desktop Software Actions menu, choose Search. By default, the Desktop Software searches the account from which you launched the Search window. Move Approved Elements to Asset Library You can move approved project elements to Asset Library by copying and pasting the appropriate elements from the Desktop Software Edit menu or use pick lists to move elements between projects and libraries. Pick lists are good to use if you want to move elements between different projects or libraries into one library. Copying a File to the Library Using the Pick List 74 Internal Student Guide
  • 4. Move Approved Elements to InSite Asset Library Activity: Move approved elements to the Asset Library On the View menu of the Desktop Software, choose the Toggle Pick List. 1. The pick list pane appears on the right-side of the Desktop Software main window. 2. Go the Project Images folder, and select all the images from the file display area. 3. Drag the selected images onto the Pick List pane. 4. Go to the Library Images folder. 5. From the Pick List area, select and drag the images into the Images folder of the library. The images are now copied into the library's Images folder. 6. Go to the Project Application Files folder, and drag the file to the Pick List area. 7. Go to the Library Application Files folder, and from the Pick List area, drag the file into the Application Files folder file display area. Note: You can also use the Copy and Paste options from the Edit menu to copy the entire project into a newly created library. Once copied, you may need to refresh the Desktop Softwareto view the newly copied elements in the library. To refresh the Desktop Software, choose View > Refresh All. Reuse an Asset Once the elements are stored in the library, the elements are referred to as assets. Designers can reuse assets such as images stored in the Asset Library library for use in other projects. Using Asset Library, an asset can be downloaded as a Low resolution JPEP asset file type. To reuse Asset Library assets On the Desktop Software project Elements tab, click the asset you want to 1. download. 2. On the File menu, choose New Download. 3. In the Download dialog box, select the Download type as Original or Low resolution JPEG. The Low resolution EPS FPO can only be used as part of an integrated system with a Prinergy workflow. 4. Module 2: Creative Workflow and Asset Library Explain Open PrePress Interface (OPI) Support When working in or packaging the files for a project, designers may want to swap high resolution original images for a low-resolution image placeholder to make the final output file size smaller and easier to transmit and manipulate. Designers can download low-resolution images from Asset Library to replace the high- resolution images in their layout files. To create the final file for a project, a designer may output the page layout file to a PostScript or PDF file. When outputting to a PostScript file, the designer may choose to include the OPI comments into the PostScript file. At the printer, OPI merging software scans the PostScript file for the OPI comments and then searches the printer's image database to find the high-resolution image that matches the file name. Note: If the printer has workflow software such as Prinergy, the swap of the low-resolution image to the high-resolution image is done automatically. This information is covered in the Creative Workflow, Asset Library, and Prepress Portal integration part of this course. Information on retaining OPI comments when submitting files to a printer is found in the Asset Library Image Proxy Workflow For Designers Guide. To replace an original image file with LowRes file On the Desktop Software Library Elements tab, click the Images folder. 1. 2. Select test.tif. 3. On the File menu, choose New Download. 4. In the Download Elements dialog box, select the Download type as Download FPO. 5. Click Download. 6. In InDesign, open the 4pg_SportsShopBroch_US2.indd file. 7. Replace the existing test.tif file from the InDesign file with the new downloaded low-resolution image. 8. Save the changes. 76 Internal Student Guide
