Welcome to our webinar, Microlearning – Transferring knowledge into ACTION! I see many old friends on this webinar, Jan, thank you for joining. Randy, great to see you, my good friend from ASP. Welcome to those that are new. We are very excited to share with you some insight on how to really put bite sized videos in the hands of your end users to help them be successful.
For those that do not know us, I am Laurie Bacopoulos, also, known as Laurie B. and I am the founder of Cobblestone Consulting. I have over 25 years experience in business and technology ensuring that they align that that companies are working on the right projects, using the best technology and leveraging their people in the most productive way.
I would also like to recommend our knowledge expert, Michelle Schoen. Michelle and I have worked together for over 10 years and she has joined our team as our Chief Learning Officer. Michelle comes with an entrepreneur spirit herself and created software demos and tutorials using Camtasia. Michelle has created over 250 training and tutorial videos in the past twelve years. She specializes in micro-videos that help reinforce your live training. Today, you are in good hands with Michelle.

Let me take a couple of minutes to tell you about Cobblestone
Cobblestone Consulting is a management consulting company focusing in the areas of Strategy, Project Management and Agile Development, Customer software development with a focus on Microsoft SharePoint and finally Training.
The first quarter of 2019, we will focus on training strategy and how to increase knowledge within your organization.
Without further ado, I would like to pass the presentation over to Michelle.
The majority of training is too long
The majority of training is a bit dull or boring
There not much retention by the time you go to use what you’ve learned
It can’t be produced fast enough to keep up with new technology and changing procedures
Some things you may not know---
studies show- 31 hrs… That’s a lot of time away from doing productive work
80%....15% That’s just money wasted on creating the training in the first place or perhaps it’s delivered too soon with too much time between when they actually have to apply it.
43-185 hours…That’s a lot of money spent on training that get’s forgotten by the time employees need to use it.
This is very inefficient to say the least.
Today were going to talk about how to solve those business problems using Microlearning- specifically Microvideos. After I explain what Microvideos are exactly I’ll show you

Then I’m going to go through the development process so you can see behind the scenes what’s involved. This will help you to determine how much of the project you might want to take on yourself and how much you might want to outsource.
Now, Microlearning does not have to be specifically video, it can be created with other media but for this webinar we are specifically going to be talking about Microvideos.
So they are very short, very narrow topic and available just when the learner needs them.
And many organizations are using microlearning to supplement their classroom trainings. The microvideos provide the reinforcement and retention they might have forgotten from the formal training. They help you negate the impact of the “forgetting curve” and offset the attention span challenge. In addition…Small chunks of instructional content can be tagged for easy search, access and reuse
Well known distribution of: • Automotive Replacement Parts.
Implementing new software across all the stores. The business problem was that Created Instructor led training but the students had forgotten most of how to use the software by the time they actually started using it. These videos were available from their documentation and now they are making them mobile friendly so that they users can view them while they are at the checkout counters for just in time needs.
We assisted a non-profit by creating a video that employees could view prior to attending Instructor Led training. The video explained some concepts and processes that were important to know prior to learning the new software. It even included a few short answer-non-scored quizzes to be sure the student comprehended the material before coming to class. By creating videos to be watched before live training you allow more time in the class to actually interact with the software or engage with the instructor or other students.
Technology is advancing at a rapid pace – so fast, that training can’t keep up. A digital skills gap has emerged, one that’s costing the US economy over 1.3 trillion dollars annually in lost productivity.
An insurance company needs videos easily accessible as online help from with the various applications they use during their job. The business problem they had was constantly changing policies in the industry. We created them with a template in Camtasia then taught the company how to easily update these any time as changes to insurance regulations change.
A start up company that matches coaches with athletes. We created Microvideos to walk new users through the process of signing up and creating an account. This company didn’t have a lot of money to spend on a full training course on how to use their software. They needed a quick solution that could be implemented quickly.
Just 10 2 minute videos cut down their calls to support dramatically. This was a huge ROI for them.
So your probably wondering What Business Problem will Microlearning solve for me?
Your Organization doesn’t need to spend a lot on Microlearning videos. Development cost are about half of traditional training and can be developed about three times as quickly. And because they are short learners are more likely to watch them.
As you may have noticed our society is moving towards hyper attention: Switching focus, multitasking, low tolerance for boredom. Workers that are Distracted and busy are going to find Microvideos perfect to get up to speed quickly and they can fit in between tasks at work.
People want to be able to learn quickly wherever they are, which may often be out in the field like the NAPA videos I showed you earlier. Microlearning is available at the time of need wherever they are. They can even get them in at the dentist!
Because they are short, if a part of it needs updating you can fix just that one piece and republish it and not have to update an entire course. This was exactly what those insurance company videos were designed to do.
So think of Microvideos when you need….
At a high level these are the steps we go through when we work with our clients to create Microvideos. Now I’ll explain what we do in each step so you can see what can be done in house versus outsourcing.
Which videos will you create? Depends on which business problem you will be solving.
We start out by creating a list of objectives such as ..Be able to update a doohickie using the fizzlestick.
Then narrow down the topics to what can be taught in a few minutes. Sometimes we concentrate on what gets the most calls to support or what’s the most frequently used or what would cause the most problems if done incorrectly.
(show storyboard) Once you have decided the topic and what you need the student to be able to do at the end of the video you create a storyboard which is basically a Word table with the narration on one side and what the student will be seeing on the other. Sometimes the client or the subject matter expert writes the storyboard and sometimes I do. Usually if the client does it I’ll teach them how to write it so it comes across as very conversational. If I’m the one writing the storyboard at this point I send it to the client for their approval before I move on to development.
Now I’ll start to gather some assets that we may need for the video. These could be Logos, Existing images, reports that are generated (show people what they will be able to create and what it should look like) or maybe existing PowerPoints that can be reworked. Sometimes we can use images from the marketing departments, sometimes I’ll find copyright free images on line and sometimes we’ll use stock photos. We have access to a lot of businessy photos and illustrations we can use.
Next either the client or I will do the recordings. I prefer to use Camtasia studio if we are recording an application because it has a reputation of creating the most clear recordings of the screen. We might also develop some new PowerPoint slides with animation for an intro or to show a process. This is the part where I’ll either do the narration or the client will choose to hire a professional voice over talent, especially if they want a guy. I can’t do a guys voice very well.
This is the part where we edit out mistakes, add things to emphasize important parts of the screen and make it more engaging which includes……….There are lots of applications that can be used for Microvideos. I’ve tested Storyline and Captivate. I’ve also recently heard of Madcap Mimic but my favorite is Camtasia, as I’ve mentioned, because it creates great screen capture video and it has all the features our clients have asked for. It’s tempting to go with a more expensive elearning software with lots of bells and whistles but in the end 90% of those features don’t get used and the client has to spend upwards of $1000 to purchase the software so they can update their own videos which is not very kind to your budget. It’s also easier for me to teach you Camtasia if you want to do your own recordings and maintenance on the projects.
So, after all the editing is done we can product the video in whatever formats your organization uses or into multiple formats. At this point we hand it off for you to decide where you want to host it and how you want to deliver it. In next month’s webinar I’ll be handing it off to Himanchu Goil To discuss that part which should be a very informative webinar for those of you who want to learn more about LMSs and embedding videos from within software applications.
So, clearly this presentation was not itself an example of Microlearning as I’ve just talked for about 45 minutes. There’s a good chance you’ll forget a lot of the specifics of what I’ve shared so if you remember nothing else, what should be your take aways from this session?
Microlearning is hot because it’s available to learners exactly at the time of the learning need (just-in-time). Its bite-sized learning that helps them to gain prerequisite knowledge before a training event, during their interaction with software or as refresher after a training event.
It helps with the problem of retention because It uses images, text, animation and video to appeal to all different types of learners and it is designed to be accessible when they need it.
It provides users with the flexibility to learn on any device, whenever they want to at any time they can.
In most cases the learner will be able to access the learning material within their workflow without having to formally log into a Learning Management System or leave their workplace to sit in a classroom.
It’s Less time-consuming and the learning, as a result, is more effective and beneficial for learners. And they’re more likely to actually complete it.
So with that said I’m going to hand it back to Laurie and then we can take some questions.
