Reporting 101
Understanding the How, What, and Where
2. Reporting 101
Q: Why are you here?
A: Because you have or have been
asked at least one question.
3. Reporting 101
• A question drives the need for
every single report
• In order to create the right report,
you have to ask questions about
that question!
• A report is the answer to a
question in the form of a data set
or graph.

4. Be the Coach!
Train your users that no one ever really wants to
see a report of all opportunities.
1. What type of data do you want to see?
2. Which fields do you want to see?
3. Are there restrictions?
4. How do you want to see this information?
5. Step 1: Start with What?
“What type of data do you need to see?”
• “What type of data do I need to see?”
• On which Object would you like to run your
report
• Ex1: Opportunity Report may answer
what’s in the pipeline?
• Ex2: An Opportunity AND Product Report
may answer how much product will we need
on hand in Q4
6. Step 2: On to Which?
“Which fields do you want to see?”
• “Which fields do you want to see?”
• The left side panel of the new report window is where
answer “which?”
• They are separated by object and field type
7. Step 3: Narrow it down with Are there?
“Are there restrictions?”
• Filter criteria define the restrictions placed on returned data
8. Step 4: Finish the build with How?
“How do you want to see this information?”
• Q: Do you just want a list?
A: If yes, build a Tabular report
A: If no, build a Summary report
• These allow for Grouping, Charts and calculations
9. The Question makes all the difference:
• Q: What are all of of the opportunities in
Salesforce?
10. The Question makes all the difference:
• Q: What are all of of the opportunities in
Salesforce?
• Q: What are all of the high value
opportunities closing in the next 30 days by
stage?
