Core Duties:
1. Monitoring report and mitigating supplier's performance in terms of delivery schedule in order
to prevent any delay and when applicable, develop and implement the appropriate recovery
plan to improve delivery.
2. Checking of documentations received in connection with the orders entrusted to him / her are
complete and takes into account any information and suggestion relevant to supply criticality.
3. Expediting vendor data and drawings, and interfacing with Engineering and Document
controllers.
4. The Expeditor also coordinates or liaison with traffic and logistics to ensure the proper
transportation mode, documentation, transit, etc. is performed.
5. Monitoring and distribution of vendor production schedules and initiating corrective measures
and actions when the need arises.
6. Produce regular Expediting status/reports for weekly and monthly meetings with management
and other user departments.
7. Monitoring delivery times to ensure they are on time and continuously monitoring, evaluating
and improving supplier performance.
8. To periodically conduct checks and ensure that suppliers render services in accordance with
regulations and meet the company’s requirement on the purchase order.
9. Coordination of shipments (By sea and Air), and monitoring delivery schedules and shipment
3. processes, and to ensure on-time port clearance.
10. Ensure accuracy of documentation by analyzing import and export documents for incoming
and outgoing shipments and Liaise with customs and local authorities for daily clearing
operational activities.
11. Liaise and apply for customs clearance and CCVR with our clearing agents and making sure
that items are stored until final delivery to the FPSO offshore.
12. Liaise with customs authorities on daily handling of customs duty exemptions and free in order
to reduce cost of imports and exports.
13. Ensure accuracy of documentation by analyzing import and export documents for incoming
and outgoing shipments in accordance with required standards.
14. Work closely with the Departmental Heads, Finance, Procurement Manager, Senior Buyer,
Materials & Logistics Coordinator.
15. Responsible for liaising with the Company’s freight forwarders to ensure on-time collection
and shipments, both by sea/Air of any equipment in a well-documented and cost-efficient
manner.
16. Making applications for shipments that qualify for tax exemptions by preparing the necessary
documentations and liaising with the relevant authorities.
17. Monitor order status and correspond with suppliers regarding changes, shipping Work
closely with freight forwarders to enable effective Customs clearance of air and ocean
shipments.
18. As of date, I keep track of over 200 local and international purchases on a master spread sheet
that is distributed bi-weekly (twice-a-week) to top managers of both Modec Ghana Ltd and
Tullow Ghana Ltd.
19. To ensure that QA/QC documents are supplied i.e. Data sheets, test certificates to be supplied
with relevant goods.
20. To contact vendors to obtain availability and product information and requests for quotations;
concerning new products, damaged goods, delayed payments or any related information.
21. Seamlessly interface and liaise with our freight forwarders and clearing agents for our imports
and exports to ensure smooth clearance of consignments.
22. Liaison with engineering department for timely approval of drawings, design calculations,
certificates and other documentation.
23. Maintain regular contact with site to ensure that vendors meet all stages of their established
schedules and progress report.
24. Responsible and accountable for performance factors relating to shipping updates in the
country.
25. Focal point for attending Procurement meeting with Tullow Ghana Ltd management both
offshore/onshore for procurement updates on materials.
