Personal Message: ‘Skype Training Session’
is seen by all your contacts
Presence information indicates your current
status such as Available, Busy or Away and is
color coded for easy viewing. Change your
presence at any time to reflect your status
Skype Icons access different functions:
Contacts, Conversation History and Meetings.
Hover over the Icon to identify its function and click the icon to access it.
Skype Contacts Tabs
• Groups – Lists all the Groups in your Skype Client
• Status – Presence Indicator of all your Contacts
• Relationships – Identifies the different categories for your Contacts
• New – Contacts that have added you to their Skype Client
Audio Device Setup
Prior to making a Skype call, answering a
call or joining a conference call, it is
advisable to set up a primary audio device.
Multiple Skype certified devices can be
added to your computer device via the
USB port. They are recommended for the
best voice quality. However, the
computer’s microphone and speakers can
also be used.
Search Bar:
Find someone in your organization.
As characters are entered the matches
appear below
Groups, Contacts, and Instant Messaging
Topics
• Create a New Group and add contacts to that Group
• Understand the different methods to contact a person
• Instant Message a contact or a group of contacts
Add a New Group – click the and a
drop down menu appears
Type the name of the new group
(Skype Test Group) in the bar and a
new group is created with no
members.
Click Create a New Group and a New
Group bar appears at the bottom of
your groups.
Add a Contact to a Group by using the search bar to
find the name of the person in your organization or
any Outlook contact.
Names that match the letters typed will appear as
contacts under the search bar as soon as the letters
are entered.
Hover your cursor over the picture and right click in
their picture. A dropdown menu will appear.
Click Add to Contacts List and all your Groups will
appear.
Click the chosen Group and the contact is added to
that group
Contacting a Skype user can be achieved in
two ways:
Hover over the contact’s picture and their
contact icons will appear. Select the desired
icon and click to perform the function. This
method is normally used for quick results
(e.g. Instant Message, Calls, etc.)
Right Click in the contact’s picture and a
menu of items will appear. This method is
normally used for a comprehensive list of
items. Select the menu item to perform the
action.
Instant Message a contact
In your Skype Contacts list, select
the contact you want to send an
IM, or find them by typing their
name in the Search Bar
Hover over contact’s picture and
click the IM icon to open an IM
Window
Type your message at the bottom
of the conversation window and
press enter to send
Instant Message a Group
To send an Instant Message to a Group, right click in the group name and click
Send an IM to the group. Type your message and then press Enter

Create a Conference Meeting from a Group Instant Message
To begin a conference meeting with the everyone in the Group IM, simply click
the phone icon at the bottom of the IM Window
Multiple IM sessions can occur simultaneously to a selected group of contacts or one contact.
 IM’s are stacked underneath each other on the left side of the IM Conversation Window
 Click the appropriate tab to enter the IM Conversation denoted by the participants
 Messages received while you are in another conversation are highlighted in orange and blink
A. Scheduled or unscheduled conference calls:
• Maximum of 250 attendees
• Connect using any device: desktop, telephone or smart device
• HD Video
B. Desktop or Web Sharing:
• Present a PowerPoint
• Collaborate on any programs
• Hold Q&A sessions
• Ask Interactive Polls
• Record and Publish a Session including voice, video and the presentation
• Invite anyone using any computer to a collaborative session via an email invitation

KEY TERMS
ORGANIZER – Person who creates/schedules the conference call
PRESENTER – Person(s) allowed to control a conference call
ATTENDEE – Guests invited to the conference call
CONFERENCE ID number – a dedicated number assigned to each employee Each
invited attendee must have the conference Id and the bridge number to enter the
meeting
PIN number - a secure 4-24 digit number associated with the Conference ID – allows
employee to initiate an ad-hoc phone conference call
Skype Meeting Options - determines how people join your meeting
Scheduled Conference Meetings are created
using your Outlook Calendar via the New Skype
Meeting Option for Skype
To perform this action
Open your Outlook calendar and on the Home
tab, click New Skype Meeting
In the meeting request, add recipients, subject,
agenda, etc. as desired. Once you click New
Skype Meeting the conference dial-in
information is automatically provided to users in
the Outlook calendar invitation
The Skype Meeting Options tab
opens a window that determines
the type of meeting and how
participants enter the meeting
Once set to Remember Settings,
the Meeting Options will be used
for all future meetings unless
changed by the Organizer.
Clicking ‘OK’ will set the Meeting
Options for that meeting only
To Join a Meeting
Click Join Online in the meeting
reminder, or
click Join Skype Meeting in the
meeting invitation request
Joining using a Phone
Dial the Conference Phone displayed in the Outlook invitation from
any telephone
Enter the Conference ID displayed from the Outlook invitation
Once the meeting has
begun, they can invite
contacts into the meeting
by using the Invite More
People icon or ‘drag’ a
contact into the call
window from the Skype
Client
Any employee can begin
an Unscheduled Skype
Meeting, by opening the
Skype Client Options
Menu and clicking the
‘Meet Now” option

Invite a person to the Meeting
Once the meeting has
begun, the Presenter can
invite anyone into the
meeting by using the
Invite More People icon
or by ‘dragging’ a contact
into the call window from
the Skype Client.

over any Participant’s name
and the contact’s contact
information will appear.
Right clicking on any
Participant’s name brings
up a menu of actions that
the Presenter can perform:
• Unmute

Instant Message all the Participants
NOTE: It is better experience for your viewers to upload
a PowerPoint file rather than share the PowerPoint
Program on your desktop
Share Contents Icon:
In a Skype Meeting, any presenter can share
their desktop, a specific window, a
PowerPoint presentation to begin a Web
Presentation or collaborate on a document.

Select Share your Desktop and then click Ok to begin
sharing your desktop
Any Presenter can Give Control on the
top of the screen to any Attendee
Any Attendee can Request Control by
clicking the Request Control box
The Presenter can take control back at
any time by clicking Take Control
When you have finished presenting,
click Stop Presenting on the toolbar
Present Options when presenting
Share a Window:
Any Presenter can select the window (or
program) to be shared
The window to be shared must already
be opened on the desktop prior to
sharing
Only one window at a time can be
shared on the screen
Any attendee can be given control of
that window to make changes, if the
window is a program (e.g. Word, Excel,
etc.)
Share an Excel Spreadsheet
Give Screen Control to another Presenter
Select the desired PowerPoint file to share in the meeting
window
Share a PowerPoint Presentation
Thumbnails is a view of all the slides in
the presentation. Select any slide to
view and and click that slide. The
arrows at the bottom of the Present
window advance the slides
The Annotations button on the upper-
right of the slide opens the toolbar
which contains highlights, stamps,
laser pointer and more
Notes contain the presenter notes and
cannot be seen by the viewers
Presenting the PowerPoint
Skype for Business allows for multiple
presentation windows to be open
during a session
Manage Presentable Content allows the
Presenter to select the Window to be
shared and ‘toggle’ between content
sharing (e.g. PowerPoint presentation,
Whiteboard, Excel spreadsheet, etc.
The Presenter will determine which
content the attendees will view using
the “Stop Presenting” or “Present Now”
options to change the window
Present Icon:
Add Attachment for Attendees:
Select Add Attachments from the Present Icon and then choose any file from your environment to attach to
this conference meeting for your attendees to download. The Presenter has several options regarding who
can download the file as well as other options that should be reviewed.
Polls
Polls can be used when seeking feedback from the audience
and creates a more interactive experience
Whiteboard
Whiteboard shares the screen with all and creates a
collaborative experience
More Options
Skype for Business Recording captures the entire
session, including audio, video, instant messaging (IM) and
desktop/program sharing
Start Recording begins the recording and all attendees are
notified that the meeting is being recorded
• The controls at the bottom of the meeting room pause, resume,
or stop the recording
• When the recording is stopped, Skype automatically saves the file
in a format that plays in Windows Media Player
• Manage Recordings highlights the recording to play, rename or
delete
• Browse opens a folder of the location of the recording and allows
the presenter to make a copy of the recording and/or post it on a
shared site for others to view
Skype for Business Recording
Manage Recordings opens the location where the recording is saved and highlights the recording to play,
browse, publish, rename or delete.
Browse opens the folder where the locations have been stored.
Publish opens another menu providing a description of the recording with options to save and publish
the recording to another location or venue and post it on a shared site for others to view
Ending the Meeting for all
participants

  • 7. Live Demonstrations Personal Message: ‘Skype Training Session’ is seen by all your contacts Presence information indicates your current status such as Available, Busy or Away and is color coded for easy viewing. Change your presence at any time to reflect your status
  • 8. Skype Icons access different functions: Contacts, Conversation History and Meetings. Hover over the Icon to identify its function and click the icon to access it.
  • 9. Skype Contacts Tabs • Groups – Lists all the Groups in your Skype Client • Status – Presence Indicator of all your Contacts • Relationships – Identifies the different categories for your Contacts • New – Contacts that have added you to their Skype Client
  • 10. Audio Device Setup Prior to making a Skype call, answering a call or joining a conference call, it is advisable to set up a primary audio device. Multiple Skype certified devices can be added to your computer device via the USB port. They are recommended for the best voice quality. However, the computer’s microphone and speakers can also be used.
  • 11. Search Bar: Find someone in your organization. As characters are entered the matches appear below
  • 12. Groups, Contacts, and Instant Messaging
  • 13. Topics • Create a New Group and add contacts to that Group • Understand the different methods to contact a person • Instant Message a contact or a group of contacts
  • 14. Add a New Group – click the and a drop down menu appears Type the name of the new group (Skype Test Group) in the bar and a new group is created with no members. Click Create a New Group and a New Group bar appears at the bottom of your groups.
  • 15. Add a Contact to a Group by using the search bar to find the name of the person in your organization or any Outlook contact. Names that match the letters typed will appear as contacts under the search bar as soon as the letters are entered. Hover your cursor over the picture and right click in their picture. A dropdown menu will appear. Click Add to Contacts List and all your Groups will appear. Click the chosen Group and the contact is added to that group
  • 16. Contacting a Skype user can be achieved in two ways: Hover over the contact’s picture and their contact icons will appear. Select the desired icon and click to perform the function. This method is normally used for quick results (e.g. Instant Message, Calls, etc.) Right Click in the contact’s picture and a menu of items will appear. This method is normally used for a comprehensive list of items. Select the menu item to perform the action.

Instant Message a contact In your Skype Contacts list, select the contact you want to send an IM, or find them by typing their name in the Search Bar Hover over contact’s picture and click the IM icon to open an IM Window Type your message at the bottom of the conversation window and press enter to send
  • 18. Instant Message a Group To send an Instant Message to a Group, right click in the group name and click Send an IM to the group. Type your message and then press Enter Group name: Mema
  • 19. Create a Conference Meeting from a Group Instant Message To begin a conference meeting with the everyone in the Group IM, simply click the phone icon at the bottom of the IM Window
  • 20. KEY TERMS ORGANIZER – Person who creates/schedules the conference call PRESENTER – Person(s) allowed to control a conference call ATTENDEE – Guests invited to the conference call CONFERENCE ID number – a dedicated number assigned to each employee Each invited attendee must have the conference Id and the bridge number to enter the meeting PIN number - a secure 4-24 digit number associated with the Conference ID – allows employee to initiate an ad-hoc phone conference call Skype Meeting Options - determines how people join your meeting

Scheduled Conference Meetings are created using your Outlook Calendar via the New Skype Meeting Option for Skype To perform this action Open your Outlook calendar and on the Home tab, click New Skype Meeting In the meeting request, add recipients, subject, agenda, etc. as desired. Once you click New Skype Meeting the conference dial-in information is automatically provided to users in the Outlook calendar invitation

The Skype Meeting Options tab opens a window that determines the type of meeting and how participants enter the meeting Once set to Remember Settings, the Meeting Options will be used for all future meetings unless changed by the Organizer.
