Personal Message: ‘Skype Training Session’
is seen by all your contacts
Presence information indicates your current
status such as Available, Busy or Away and is
color coded for easy viewing. Change your
presence at any time to reflect your status

10. Audio Device Setup
Prior to making a Skype call, answering a
call or joining a conference call, it is
advisable to set up a primary audio device.
Multiple Skype certified devices can be
added to your computer device via the
USB port. They are recommended for the
best voice quality. However, the
computer’s microphone and speakers can
also be used.

15. Add a Contact to a Group by using the search bar to
find the name of the person in your organization or
any Outlook contact.
Names that match the letters typed will appear as
contacts under the search bar as soon as the letters
are entered.
Hover your cursor over the picture and right click in
their picture. A dropdown menu will appear.
Click Add to Contacts List and all your Groups will
appear.
Click the chosen Group and the contact is added to
that group
16. Contacting a Skype user can be achieved in
two ways:
Hover over the contact’s picture and their
contact icons will appear. Select the desired
icon and click to perform the function. This
method is normally used for quick results
(e.g. Instant Message, Calls, etc.)
Right Click in the contact’s picture and a
menu of items will appear. This method is
normally used for a comprehensive list of
items. Select the menu item to perform the
action.

IM, or find them by typing their
name in the Search Bar

To begin a conference meeting with the everyone in the Group IM, simply click
the phone icon at the bottom of the IM Window
20. Multiple IM sessions can occur simultaneously to a selected group of contacts or one contact.

23. KEY TERMS
ORGANIZER – Person who creates/schedules the conference call
PRESENTER – Person(s) allowed to control a conference call
ATTENDEE – Guests invited to the conference call
CONFERENCE ID number – a dedicated number assigned to each employee Each
invited attendee must have the conference Id and the bridge number to enter the
meeting
PIN number - a secure 4-24 digit number associated with the Conference ID – allows
employee to initiate an ad-hoc phone conference call

24. Scheduled Conference Meetings are created
using your Outlook Calendar via the New Skype

To perform this action
Open your Outlook calendar and on the Home
tab, click New Skype Meeting
In the meeting request, add recipients, subject,
agenda, etc. as desired. Once you click New
Skype Meeting the conference dial-in
information is automatically provided to users in
the Outlook calendar invitation

Select Add Attachments from the Present Icon and then choose any file from your environment to attach to
this conference meeting for your attendees to download. The Presenter has several options regarding who
can download the file as well as other options that should be reviewed.

Polls can be used when seeking feedback from the audience
and creates a more interactive experience
51. Skype for Business Recording captures the entire
session, including audio, video, instant messaging (IM) and
desktop/program sharing
Start Recording begins the recording and all attendees are
notified that the meeting is being recorded
• The controls at the bottom of the meeting room pause, resume,
or stop the recording
• When the recording is stopped, Skype automatically saves the file
in a format that plays in Windows Media Player
• Manage Recordings highlights the recording to play, rename or
delete
• Browse opens a folder of the location of the recording and allows
the presenter to make a copy of the recording and/or post it on a
shared site for others to view
