I am seeking an Office Management/Senior Office Administrator position with your company.
I am capable of managing and coordinating all of the office/administrative processes for mega-construction
projects, to include: supervising office personnel and their task organization; administering personnel
performance reviews; Coordinate travel arrangements and prepare itinerary packets, Manage multiple calendars
and arrange meetings; complete payroll administration for hundreds of personnel; developing financial reports
involving accounts payable and accounts receivable; procuring office supplies and services, equipment and
expediting their arrival; complete document control for administrative documents, engineering submittals, and
their revisions; providing assistance with Requests for Proposals (RFP’s); organizing and maintaining turnover
punch lists; analyzing costs and deceasing expenses; organizing and tracking invoices; coordinating meetings
and maintaining meeting minutes; establishing thorough communication and coordination among managers and
upper management.
ACHIEVEMENTS OVERVIEW
• Instrumental in helping achieve Project of the Year Honors in The Industrial Company’s (TIC) Western
Region by billing over $100,000,000 during a 14 month period.
• Prepare all Material Requisitions and PO’s. Enter and pay all invoices.
• Reconciled all P-Cards and personal expense accounts.
• Developed aged accounts receivable reports and followed up with all delinquent accounts
to bring them current. Responsible for managing these accounts and recovering
payments. (Prior to arrival on project, there were a vast majority of accounts that were
90 day delinquent. Within a two month period the accounts were brought current.)
• Supervised and coordinated a payroll in excess of 600 personnel on a monthly basis with less than one
percent error.
• Responsible for the custody, care, organization and maintenance of all design documents on
projects capitalized at over $100,000,000. Responsible for ensuring that all
drawings/submittals issued to sub-contractors were kept current.
• Created a filing system, both computerized and manual, for all project documents, resulting in
numerous hours saved searching for documents.
• Organized and attended all pre and post bid meetings, along with weekly contractor
meetings and took meeting minutes. Distributed minutes and action items to responsible
personnel, and followed up on action item completion.
• Coordinated the resolution of “Turnover” punchlists, keeping detailed records of progress
for upper management review.
• Responsible for and coordinating all team building events for company. Arranging for
site location, food, invitation, door prizes and invitation lists.
