IPMA's Lunch & Learn Session at Graph Expo "Connecting Customers with Print“Andrea Eshoo of Diversified Is presenting how RSA’s web to print software, WebCRD, has helped them build their business.Andrea is Assistant Director - Participant Solutions at Diversified. Diversified is a leading provider of customized retirement plan administration. Andrea has been with Diversified for almost 15 years. She successfully merged two autonomous groups into a centralized print production area, realizing a cost savings of over $300k in the first year. The unit oversees content management, e-delivery, Print-on-Demand and traditional print production, communicating to plan participants about how to save and invest wisely for a successful retirement and beyond. Andrea is also responsible for: managing internal and external vendor relationships and cost analysis; determining equipment requirements; and recommending appropriate tools and resources to run a team that delivers 100% accuracy.
As a quick snap shot, WebCRD has helped us build to become more efficient and meet the demands of our business. The application has allowed us to save time and money, reduce head count, bypass work that used to have to stop at the design shop, while at the same time adding flexibility and control to the entire print and fulfillment process.
Diversified’s focus is on managing retirement plans. I have been with Diversified for nearly 15 years. The department I’m in, Participant Solutions, is dedicated to communicating to participants how to save & invest wisely for a successful retirement and beyond. We develop and produce materials for our client’s participants on 2 scales: truly custom communications and core materials used by the masses with some ability to customize (thanks to WebCRD). For the first eight months of this year, our operation has fulfilled about 2,800 orders for 6,500 various items. Monthly order volume ranges from a few hundred to almost 600 orders a month. My team is a small pre-production team that processes all orders requested by the entire company, with a main focus on participant communication materials. This includes administrative materials (fund changes, compliance materials) as well as marketing campaigns.
When we were looking for web to print software, three factors drove our decision: The need to streamline the time-intensive custom sales presentation processThe ability to increase the efficiency of the print fulfillment process Gain control over inventory.
Our design team came to me in hopes of some efficiencies. They were drowning in requests, and sales requires fast turn around for their presentations, which they wanted to be variable and customized for each presentation. It was not uncommon for work to be done overnight for a need the next day, or for the other departments to wait five days just to have a logo added to a flyer. We needed a solution to appease sales and help design be able to focus on DESIGN, not slapping logos on pieces.
With WebCRD, sales consultants in our nine regional offices are able to put together their own story boards, selecting from a variety of customizable campaigns, almost 100 different flyers, posters and marketing materials, choosing from 40 different color palates and a library of images. Orders can now be taken care of in five minutes versus hours or days of design time previously needed. Turn around has been dramatically reduced. The new workflow saved design resources, time, and expense and now allows our designers to concentrate on other things like new campaigns, true custom clients, and day to day needs. Sales folks are thrilled that they can create their own items that look custom without needing overnight shipping or long delays. In short, the new workflow helped everyone.
Interruptions to report the “whereabouts” of a job were very manual and involved multiple emails & phone calls. There was not always a good trail or idea of what happened with a job. We liked the flexibility the application provides without needing expensive customization. For example, pre set buttons for frequently ordered jobs includes ticketing to further speed up the already quick single screen ticketing for order submission. We use the ad hoc workflow for administrative mailing types and offer a full catalog of core materials to add to the cart. Folks used to have to hunt to see what we had to offer and now they can just look in the catalog.We like the scheduling of jobs and the reporting capabilities and that fact that shopping carts and all orders are archived. 100% of orders now go through WebCRD and hours are saved weekly with the new workflow.
Lots of folks have recurring orders, so now they can just hit “reorder” instead of having to start an order from scratch or hunt for an old email ... freeing up space on the server!

Prior to WebCRD, premium orders were an issue. There was no process in place, no point of contact, a flurry of emails for ordering premiums and no easy way of tracking inventory. Again, I was asked to find some way to put process, controls and efficiencies in place.Now, touches are reduced by 90%. Our users can see if an item is in stock before they order, and we can replenish before we run out. The budget-holder’s approval is in included with orders and the system provides reason codes for rejected orders, which has fallen to about 30% of orders. We can even add hints such as billing centers to help avoid rejecting an order, further reducing edits and resubmissions.
