OpenAthens Conference 2019: How to make the most of OpenAthens

  1. Intro Jake: Hi, I am Jake, I work with the Technical solutions team as a OpenAthens expert. I help with the implementation of new customers. I have been working with the OpenAthens team for around 3 years total. I hope you have all had a nice time today so far. Intro Joe: And I'm Joe, I work with the Service Desk as a 2nd line analyst. You may have spoken to me before if issues arise but hopefully not! I've been with OpenAthens for a year today! Joe: Today we are going to talk about getting the most out of OpenAthens by using either existing or new features. Please can you keep questions until the end as we will have time for a Q&A section *click new slide*
  2. JAKE First let’s talk about some problems that a librarian may come across as a OpenAthens admin *click*  OpenAthens admins tend to find themselves updating links on a regular biases. These links allow people to access resources through their library’s login system such as OpenAthens *click*  Hours can be spent adding accounts, updating accounts and finding passwords. If you don’t have a good enough library system then there is a risk of your end users having more than one set of login details *click* One big thing that is always troubling is making sure that money is not being wasted. Sometimes it can be hard to tell what resource is being used and what is not.
  3. Joe We are going to cover some foundations in OpenAthens. You might already know a lot of this however we want to make sure we are all on the same page.
  4. Joe: Permission sets are used to handle resource allocation. You create permission sets by selecting the ‘Resources’ tab and clicking on ‘Permission Sets’. From there you have the ‘Add’ button. If you’d like to enable access for specific users you do this via the resource catalogue. Bear in mind that permission sets will only work if your organisation is set to ‘Restrictive’. This can be done under ‘Preferences’ > ‘Organisation’ To allocate a permission set you click on the desired resource within the resource catalogue, either click the allocate button or the drop down arrow, and choose ‘Select permission sets…’ which will open up a pop out window with all of your permission sets. So say you had a subscription to Science Direct but only wanted Science students to access this. You select the relevant permission set from the pop out window, press the ‘Update allocation button’ and now only science students have access.
  5. JOE The Schema is a list of attributes you are able to use to describe your users. You can access this via ‘Preferences’ and ‘Schema editor’ These attributes can be used inside the OpenAthens system for things like reporting or to be sent to publishers. You can create custom attributes if you want but the core attributes we provide will be enough to use the system. The reason we’ve highlighted this section is predominantly down to enabling specific attributes to be Reportable
  6. JOE As mentioned in the last slide, you can choose what attributes get sent to what publisher. This section is under ‘Preferences’ and ‘Attribute release’ There is a default amount of attributes that get released called the “Global release policy”. These attributes get sent to everyone and contain the bare minimum for access. Sometimes a publisher might require some more information about your users such as Email Address. If that is the case and you are happy to send them that, you can create individual policies here per publisher.
  7. JAKE Having to update links all the time can be a pain. Its very time consuming and can take days depending on how many resources you have. Journals can change platforms and publishers can change systems, so its common to update links to new formats. We have a tool you can use today called the Redirector that makes creating links and maintaining them easy.
  8. JAKE So, The OpenAthens Redirector allows you to create links to specific articles. By using the Redirector you save time and effort because you don’t need to maintain links – we do that for you with our database of publisher syntaxes.
  9. JAKE This is birds eye view on how it works. *click* These are your end users, They want to access content. They will click a Redirector link. *click* The redirector link will contain Where the user wants to go and where they are from. These links would live on your library page or Library management system. *click* If the user is not logged in then they will be taken to their login page. If the user is already logged in, then they will skip this step. *click* The user now has access to the desired content, Lets look at how we can make these links.
  10. JAKE In the admin area, Click Resources and then click Redirector link generator.
  11. JAKE Add your link into white box at the top. Here we have added Science direct. Click generate link to create the redirector link, you can then test the link with the nifty test button. If you have a long list of links that you need to create, you can bulk upload them using the option at the bottom. If a resource is not covered by OpenAthens, you will get an error, You can send this error to the OpenAthens service desk so we can work on supporting that publisher.
  12. JAKE We now have one fresh redirector link. You can then provide this to your end users via your library page so they can access content. Lets take a deeper look at the link itself. *CLICK* I have broken the link into 3 sections Section 1,The green part is the redirector itself, nothing special about that. It just tells us it’s a redirector link. Section 2,The blue part tells us what domain to use. So if this was a link for your site it would be your domain listed. When you use the redirector tool this gets put in for you. Section 3,The red part will be the site you want to send your users to, this is referred to as the target. You might have noticed that this is percent encoded, don’t worry about this as the redirector tool will do this for you. That’s it for the Redirector, We maintain a redirector database of what publisher is using what syntax. All you would need to make sure is that your targets are correct, and they are sending your users to the expected location.
  13. JOE Budgeting can be a major issue for any organisation. If this rings true to you you’re going to find the next section very useful. Using Reporting you can run counter reports to ensure that you’re getting the most out of your subscriptions and not wasting any money.
  14. Reporting has had an overhaul recently and we will now show the new exciting reporting interface.
  15. This is the reporting Dashboard. It gives you a quick overview of your Top resources, Total logins and total accounts. We also have a location usage map so you can see where in the world your Users are logging in from.
  16. Lets take a look at the Accounts reports. We break down accounts to 3 different sections. Totals, Authentications and Usage. Currently we are looking at the Totals view, this is where you can see the total number of accounts for different account types such as Local accounts or Personal hosted accounts. You can breakdown data in all of our views to get more specific reports. For example you could break down the data here to show you Personal accounts vs Local accounts.
  17. The next view in Accounts is Authentications. This shows you the logins from across all of your accounts. For example you can see how many accounts failed to login due to a bad password, or how many expired accounts tried to log in. You may have noticed that there is a dotted line underneath the block line. This dotted line represents unique logins meaning that one user could log in 3 times and generate 3 successful logins but only 1 unique successful login. This is also seen across other reports.
  18. The Usage view will show you successful logins. In this screen capture we have broken down all logins to Job roles. This lets us see what types of Users are accessing the system. We are able to click the individual colours to compare Nurses vs Medical interns.
  19. When you break down data you are able to select from multiple options. In this screenshot you can see more than the default. Sometimes you might want to get individual usage stats. If this is the case you would need to mark an attribute as “reportable” in the schema editor such as a username or email address. This will then allow you to run reports on those individual attributes. In this example you can see that Email Address is an option to report on. We have to make you aware at this point that user data is covered under GDPR. If you want to report on a user specific attribute such as email address or username you will need to get consent from your users.
  20. JOE We are now looking at Resources reports. This will show the number of logins to a publisher, we can only provide the stats of the login to the publisher themselves rather than that that the publisher provides such as journal names etc. This is because most publishers use different systems and that we can only see the authentication side of things not what happens on a publisher’s website. You can compare counter reports with this to get a good idea how much a resource is used.
  21. This is another Resource usage report. This time however we have switched to the barchart mode by using the icon in the top right corner. You can use this bar chart mode in any reporting view.
  22. *click* Once you’ve decided on the desired reports you can then save or schedule them. You can find these under ‘Saved reports’ *click* To save or schedule a report you can click *click* on either the clock to schedule or the down arrow to save. These will always be present in the top right corner of the interface. *click* When you schedule a report you have the option of granularity and whether to send this report to just yourself or others as well *click* Finally if you wish to update the scheduled reports you can do so via the ellipses on the right hand side with the ‘Edit’ option, which will open up the ‘Schedule this report’ window
  23. Jake You may find that you have to battle with usernames and passwords. Something I’ve learnt from experience is that people don’t remember their usernames and passwords so providing someone with more than one set of credentials is a nightmare. With OpenAthens you have the freedom to plug in your local directory, which means you don’t need to supply more than one set of credentials per user.
  24. JAKE We will give a brief overview on how this works and how to set it up
  25. So as I mentioned, integrating your local directory allows you to use existing credentials from your own system for OpenAthens. This then allows you to provide one set of credentials opposed to creating a separate OpenAthens account. OpenAthens supports a wide variety of systems that you can plug in, such as ADFS, Azure, Google etc.
  26. In the admin area, go to management and then connections. Click on connections From here you’ll have the option to ‘Add’ a new connection. *click* A new window will pop up allowing you to select the type of connection.
  27. Here’s an example of an ADFS connection with the information filled out. This information can be obtained by your IT team. We have step by step documentation on how to setup each type of connector and we will be happy to answer any specific questions at the end of the presentation. Essentially we read attributes from your local connection to be read in OpenAthens.
  28. When it is setup the user journey would look something like this. Where the login page would be whatever your local system is.
  29. When setting up your connector you’ll need to make sure that the attributes being released from your local connector are mapped correctly to OpenAthens. It may look complicated if you’ve not done this before however our team will generally be involved with the set up of this. This only needs to be done once!
  30. At the start of the presentation we mentioned permission sets. When you’ve connected your local directory to OpenAthens you don’t want to have to manually assign permission sets to thousands of users. You have the function to automatically assign permission sets based on a specific attribute such as whether they’re considered a student or staff.
