• Complete Current State Map “as is” process
• Analyse wastes, losses and issues
• Map how you would like the improved process to look in
the future “to be” process
• Create an implementation plan to achieve future “to be”
state
Process Flow Mapping Process
NB: Use different coloured post-its when doing it as a brown paper exercise
General information:
• The TO-BE flowcharts have 6 swimlanes. The title is quoted at the top of the page, along with the
process number.
• The actors are quoted in the boxes on the left of the swimlane; maximum one actor per swimlane.
• The process steps should be listed from left to right on the page, there should be no back-tracking on
the page. Each process step should contain only one action, for multiple actions by the same actor
multiple process steps should be used.

• Boundaries
– Define the start, stop and the side streams considered
• Go and see
– Not done from what should be happening
• Go and measure
– Get facts on what is happening, now!
• Go and share
– Involve and collect information from people that work in the process and system
– Make it visual
• Analyse
– Draw appropriate conclusions from all the information

Implementation Plan(s)
Where to do this exercise?
• Pick a process that meets the following criteria:
– There is a transfer of goods or information between elements in a
process
– Based on data and/or perception is highly inefficient
– It is business critical to get the process improved
– Which if improved would make a significant impact and also good to use
as an example going forward
• Example areas:
– Goods in process
– Maintenance process – i.e. from identifying to completing the task
– Distribution area
– Data or performance information flow

Overall Process Flow Mapping Process Define Scope Current State Map Future State Map Implementation Plan • Identify the process to map. • Identify Start and End points. • Define a multidisciplinary Project Team and Roles • Complete Current State Map “as is” process • Analyse wastes, losses and issues • Map how you would like the improved process to look in the future “to be” process • Create an implementation plan to achieve future “to be” state
  • 3. Process Flow Mapping Process NB: Use different coloured post-its when doing it as a brown paper exercise General information: • The TO-BE flowcharts have 6 swimlanes. The title is quoted at the top of the page, along with the process number. • The actors are quoted in the boxes on the left of the swimlane; maximum one actor per swimlane. • The process steps should be listed from left to right on the page, there should be no back-tracking on the page. Each process step should contain only one action, for multiple actions by the same actor multiple process steps should be used. Process Flow Mapping Standard Symbols

Process Mapping Essentials • Boundaries – Define the start, stop and the side streams considered • Go and see – Not done from what should be happening • Go and measure – Get facts on what is happening, now! • Go and share – Involve and collect information from people that work in the process and system – Make it visual • Analyse – Draw appropriate conclusions from all the information
  • 5. What does a Process Flow Map look like? People or departments active in the process Various steps in the process All forms and screens; copies and screenprints Links to other processes Issues in the process Link between process steps: green = ok, red = not ok
  • 7. Where to do this exercise? • Pick a process that meets the following criteria: – There is a transfer of goods or information between elements in a process – Based on data and/or perception is highly inefficient – It is business critical to get the process improved – Which if improved would make a significant impact and also good to use as an example going forward • Example areas: – Goods in process – Maintenance process – i.e. from identifying to completing the task – Distribution area – Data or performance information flow
