KEY RESULT AREAS
Assistant Manager – Flight Operations
 Identify and select suitable external training agencies globally, necessary to deliver required training to
appropriate standards, negotiate with them on training and send proposal to the Management
 Arrange various Trainings/Courses with Approved Training providers and ensure that records are
obtained after the training, certificates are made, distributed; copies are filed and maintained in the
training records and personal file in a professional manner.
 Assist Head of Flight Operations for the selection of Pilots by screening the License, Medical Certificate
and other relevant documents.
 Plan the induction program of new recruits and brief the new joiners regarding their program, training etc.
Also collection of necessary documents (Soft & Hard copies whichever is required) from them
 Direct interaction with Approved Training Organisations to get the slots and make associated
arrangements to execute the planned training and process the invoice in coordination with Accounts team
 Maintain files/records of TRE/TRI/Check Pilot/Sim Center and Simulator approvals
 Gathering information, entering data and maintaining records in the crew records systems in a timely
manner.Maintain and update expiries related to operational requirements

 Monitor the progress of trainees (ground training, simulator training & line training) and prepare weekly
reports for management to highlight the status of all pilots under training.
 Get the accurate personnel record information and Check Forms after the Training/Exam and update the
Qualification changes in the system. Also inform crew planning personal accordingly and maintain it in
individual files and make sure that training reports are sent to the authority within the timeline
 Processing of FATA for expat Pilots and planning of their exams as per the Induction plan in coordination
with HR department
 Manage correspondence and administrative tasks of Flight Operations Department. Also assist the
department for maintaining the stationery items and prepare the Purchase requisition related to Training &
recruitment.
Training Administrator
 Responsible to design, develop, implement, coordinate, and facilitate all training courses and company
training programs.
 Identify training requirements and expiriesfrom the system, maintain continuous liaison with the stake
holders and analyses company training needs and ensure planning of training in a professional and cost
effective manner
 Schedules and coordinates all classroom training with the concerned personnel, schedules location,
date/time, materials, and attendance. Also accountable for the equipments used for training
 Arrange various Trainings/Courses with Approved Training providers and ensure that records are
obtained after the training, certificates are made, distributed; copies are filed and maintained in the
training records and personal file in a professional manner
 Manage the calendar of trainings end-to-end across the establishments, schedules and coordinates all
classroom training in consultation with the concerned person
 Plan the induction program of new recruits and brief the new joiners regarding their program, training etc.
Also collection of necessary documents (Soft & Hard copies whichever is required) from them.
 Direct interaction with training organisations to get the training slots and make associated arrangements to
execute the planned training and process their invoice in coordination with Accounts team
 Arrange refresher trainings to improve the performance levels of the staff
 Maintain approvals of Instructors and Training organisations
 Gathering information, entering data and maintaining records in the crew records system in a timely
manner.Maintain and update expiries related to operational requirements
 Monitor the progress of trainees and prepare weekly reports for management to highlight the status of
training.
 Prepares and updates Training Kit. Also ensures that instructors are using proper forms and filling the
training forms/ records according to the standards of the authority.
 Identify requirements, bring about procedures and implement them to ensure that all training records are
obtained, filed and stored in line with the laid down procedures
 Get the accurate personnel record information and forms after the training/course/exam and update the
Qualification/changes in the system. Also inform concerned personal accordingly and maintain it in
individual files and make sure that training reports are sent to the authority within the timeline
 Processing documents of foreign trainees and planning their exams as per the Induction plan in
coordination with HR department
 Processing of VISA for the crews and raise Duty Travel and Hotel Accommodation Request, get the
approval and do the bookings accordingly
 Manage correspondence and administrative tasks of the department andhandles training department
tasks in the absence of other staff members. Also assist the department for maintaining the stationery
items and prepare the purchase requisition related to training & recruitment.
 Plan departmental training budgets, forecast costs and delegate numbers as required by organizational
planning and budgeting systems
 Maintains Petty Cash of department
Executive – Flight Operations Training
 Maintain and update License expiry details of all Bangalore and Hyderabad based pilots from the
system and co-ordinate with the pilots to ensure that relevant documents for renewals are
received in time
 Prepare the License renewal documents which are to be submitted in CAD Chennai and DAW
Mumbai and send it to concerned base along with original Licenses & Log Book for renewal.
Receive the documents after renewal, ensure documents are kept safely, and hand over to the
concerned pilot
 Co-ordinate with Training department in the Headquarters and ensure that medical renewal of
Bangalore based pilots are planned in a timely manner and further co-ordinate with IAM, IAF
and Air Force Station Yelahanka to obtain medical appointments
 Ensure that the PMRs of pilots and Ministry of Defence security clearance for expat pilots are
reached in the concerned medical centers at least 10 days prior to their medical dates and to
accompany expat pilots during their medical at Indian Air Force Units
 Uploading of training documents in crew portal and ensuring its validity
Senior Executive – Flight Operations Controller
 Check the correctness of ATC Flight Plan, Computerised Flight Plan, NOTAM, General
Declaration, Immigration Clearance, Crew Baggage and Weather Information in Trip Kit.
 Monitor the Departure/Arrival of Scheduled/Chartered flights and send mail/SMS to higher
authority.
 Proactively co-ordinate with all concerned Agencies/Personnel during the tour of duty for smooth
conduct of flight operations of scheduled and non-scheduled flights to ensure maximum On Time
Performance (OTP).
 Ensure seamless flow of information concerning flight operations to crew, Ground Operations
Control Centre, Maintenance Operations Control Centre & concerned supervisory staff and
documentation of pertinent information accurately for record purposes.
 Provide On Time Performance reports to higher authority.
 Order Crew Meal for the crews as per the standard authorisation.
 Co-ordinate with Ground Handling Agency in different parts of the world for the crew vehicle, Crew
Meal Order etc for the smooth functioning of operations.
 Co-ordinate with the hotel abroad where the accommodation of crews are booked.
 Prepare schedule for chartered flights in liaison with Rostering department and send to concerned
agencies.
 Monitor the YA number/Overflying Clearance Number etc for chartered flights.
 Check up the FDTL issues and report if any to the concerned, if flights are delayed.
Specialist - Ground Operations Controller
 ULD tracking and logistics
 Single point of contact for outstations& remote bases for coordinating various issues.
 Processing of out station bills like Electricity, Office Space, Ground Handling Agencies etc and follow up
of the same.
 Procurement & issue of stationery items to various offices across the country.
 Flight ticket / Hotel Accommodation booking / VISA processing for the personnel going abroad.
 Make sure that snacks / Food for the crews are reached the Airport well in advance of departure of the
Aircraft.
 Monitor the Aircraft movements and make sure that no delay occurs.
 Ensure that loads are ready to load before the arrival of a/c and monitor the fueling of Aircraft.
 Make all admin arrangements for the crews visiting outstation.
 Provide demand forecasts of items as per current trend.
 Ensuring the availability of materials & other infrastructures required by the team, to confirm
smooth operations.
Travel Desk
 Ensure timely Flight/Train bookings, issuance of tickets, appropriate Hotel/Guest House and Airport
transfers
 Coordinate with other locations for Guest House/ Hotel
 Prepare the documents for Visa processing of various countries to the person going abroad according to
each country’s specifications
 Issue of flight tickets to the personnel going abroad in co-ordination with travel agencies by sending the
request for itineraries and selecting most cost effective route/Airline.
 Send reservation request to various hotels and select the appropriate one and co-ordinate to arrange
transport to guests and dropping them at the designated hotel.
 Calculate and prepare the Forex chart, forward it to Accounts department and after the approval collect
the same from the Forex agency, hand over it to the individuals and maintain a proper record.
 Preparation of Travel Insurance to the individuals going abroad as per their travel dates.
 Flight Tickets to Expats – Check their entitlement with HR for the entitlement and issue proper tickets as
per the authorised route.
Flight Operations Supervisor
 Supervision and handling a team of Ops Crew and conduct air operations in co-ordination with briefing
and meteorological elements.
 Be conversant with various NOTAMS, airfield instruction circulars, various aircraft and performance
characteristics and emergency procedure drills.
 Control and co-ordinate air movements including VVIP/VIP, civil flights, in liaison with civil authorities
for base for parking, reception and administrative arrangements.
 Passing and receiving of flight plans (Domestic and International) to and from various agencies and
knowledge in domestic and international ATS routes, issue of Air Defense Clearance Number as per
current policies and directives.
 Sufficient experience in passenger and load manifestation, handling of baggage, baggage room, and load
control and flight safety matters.
 Identify shortcoming in operations, take corrective actions for improvements, establish a training concept
& necessary documents for the training purpose and instruct training department about the goals.
 Liaise with careers, authorities at the airport, handling agencies and setting guidelines for the coordination
between loading party, cargo and ops control departments for smooth loading/off loading process as per
safety standards.
 Handle all co-ordination between flight operations, ground operations, and supervises running of the
operations control centre and coordinates operational needs of the company.
 Coordinates between the various bases and stations for smooth, efficient operations of the aircraft and
schedules.
 Handling various communication equipments used for flight operations and ensure effective use.
 Liaise with other departments in the company and external agencies for the efficient executions of duties.

  • 2.  Monitor the progress of trainees (ground training, simulator training & line training) and prepare weekly reports for management to highlight the status of all pilots under training.  Get the accurate personnel record information and Check Forms after the Training/Exam and update the Qualification changes in the system. Also inform crew planning personal accordingly and maintain it in individual files and make sure that training reports are sent to the authority within the timeline  Processing of FATA for expat Pilots and planning of their exams as per the Induction plan in coordination with HR department  Manage correspondence and administrative tasks of Flight Operations Department. Also assist the department for maintaining the stationery items and prepare the Purchase requisition related to Training & recruitment. Training Administrator  Responsible to design, develop, implement, coordinate, and facilitate all training courses and company training programs.  Identify training requirements and expiriesfrom the system, maintain continuous liaison with the stake holders and analyses company training needs and ensure planning of training in a professional and cost effective manner  Schedules and coordinates all classroom training with the concerned personnel, schedules location, date/time, materials, and attendance.   • 3.  Processing of VISA for the crews and raise Duty Travel and Hotel Accommodation Request, get the approval and do the bookings accordingly  Manage correspondence and administrative tasks of the department andhandles training department tasks in the absence of other staff members. Also assist the department for maintaining the stationery items and prepare the purchase requisition related to training & recruitment.  Plan departmental training budgets, forecast costs and delegate numbers as required by organizational planning and budgeting systems  Maintains Petty Cash of department Executive – Flight Operations Training  Maintain and update License expiry details of all Bangalore and Hyderabad based pilots from the system and co-ordinate with the pilots to ensure that relevant documents for renewals are received in time  Prepare the License renewal documents which are to be submitted in CAD Chennai and DAW Mumbai and send it to concerned base along with original Licenses & Log Book for renewal. Receive the documents after renewal, ensure documents are kept safely, and hand over to the concerned pilot  Co-ordinate with Training department in the Headquarters and ensure that medical renewal of Bangalore based pilots are planned in a timely manner and further co-ordinate with IAM, IAF and Air Force Station Yelahanka to obtain medical appointments  Ensure that the PMRs of pilots and Ministry of Defence security clearance for expat pilots are reached in the concerned medical centers at least 10 days prior to their medical dates and to accompany expat pilots during their medical at Indian Air Force Units  Uploading of training documents in crew portal and ensuring its validity Senior Executive – Flight Operations Controller  Check the correctness of ATC Flight Plan, Computerised Flight Plan, NOTAM, General Declaration, Immigration Clearance, Crew Baggage and Weather Information in Trip Kit.  Monitor the Departure/Arrival of Scheduled/Chartered flights and send mail/SMS to higher authority.  Proactively co-ordinate with all concerned Agencies/Personnel during the tour of duty for smooth conduct of flight operations of scheduled and non-scheduled flights to ensure maximum On Time Performance (OTP).  Ensure seamless flow of information concerning flight operations to crew, Ground Operations Control Centre, Maintenance Operations Control Centre & concerned supervisory staff and documentation of pertinent information accurately for record purposes.  Provide On Time Performance reports to higher authority.  Order Crew Meal for the crews as per the standard authorisation.  Co-ordinate with Ground Handling Agency in different parts of the world for the crew vehicle, Crew Meal Order etc for the smooth functioning of operations.  Co-ordinate with the hotel abroad where the accommodation of crews are booked.
  • 4.  Prepare schedule for chartered flights in liaison with Rostering department and send to concerned agencies.  Monitor the YA number/Overflying Clearance Number etc for chartered flights.  Check up the FDTL issues and report if any to the concerned, if flights are delayed. Specialist - Ground Operations Controller  ULD tracking and logistics  Single point of contact for outstations& remote bases for coordinating various issues.  Processing of out station bills like Electricity, Office Space, Ground Handling Agencies etc and follow up of the same.  Procurement & issue of stationery items to various offices across the country.  Flight ticket / Hotel Accommodation booking / VISA processing for the personnel going abroad.  Make sure that snacks / Food for the crews are reached the Airport well in advance of departure of the Aircraft.  Monitor the Aircraft movements and make sure that no delay occurs.  Ensure that loads are ready to load before the arrival of a/c and monitor the fueling of Aircraft.  Make all admin arrangements for the crews visiting outstation.  Provide demand forecasts of items as per current trend.  Ensuring the availability of materials & other infrastructures required by the team, to confirm smooth operations. Travel Desk  Ensure timely Flight/Train bookings, issuance of tickets, appropriate Hotel/Guest House and Airport transfers  Coordinate with other locations for Guest House/ Hotel  Prepare the documents for Visa processing of various countries to the person going abroad according to each country’s specifications  Issue of flight tickets to the personnel going abroad in co-ordination with travel agencies by sending the request for itineraries and selecting most cost effective route/Airline.  Send reservation request to various hotels and select the appropriate one and co-ordinate to arrange transport to guests and dropping them at the designated hotel.  Calculate and prepare the Forex chart, forward it to Accounts department and after the approval collect the same from the Forex agency, hand over it to the individuals and maintain a proper record.  Preparation of Travel Insurance to the individuals going abroad as per their travel dates.  Flight Tickets to Expats – Check their entitlement with HR for the entitlement and issue proper tickets as per the authorised route. Flight Operations Supervisor  Supervision and handling a team of Ops Crew and conduct air operations in co-ordination with briefing and meteorological elements.
  • 5.  Be conversant with various NOTAMS, airfield instruction circulars, various aircraft and performance characteristics and emergency procedure drills.  Control and co-ordinate air movements including VVIP/VIP, civil flights, in liaison with civil authorities for base for parking, reception and administrative arrangements.  Passing and receiving of flight plans (Domestic and International) to and from various agencies and knowledge in domestic and international ATS routes, issue of Air Defense Clearance Number as per current policies and directives.  Sufficient experience in passenger and load manifestation, handling of baggage, baggage room, and load control and flight safety matters.  Identify shortcoming in operations, take corrective actions for improvements, establish a training concept & necessary documents for the training purpose and instruct training department about the goals.  Liaise with careers, authorities at the airport, handling agencies and setting guidelines for the coordination between loading party, cargo and ops control departments for smooth loading/off loading process as per safety standards.  Handle all co-ordination between flight operations, ground operations, and supervises running of the operations control centre and coordinates operational needs of the company.  Coordinates between the various bases and stations for smooth, efficient operations of the aircraft and schedules.  Handling various communication equipments used for flight operations and ensure effective use.  Liaise with other departments in the company and external agencies for the efficient executions of duties.
