organisation and the demanding nature of the work that we do can make
workloads unpredictable. There will be periods that are busier than
others.
With these facts in mind we have pulled together this information sheet to
help you understand what is available to you now and how we propose
refining some work practices to help each employee understand what
exists already to help them maintain their personal work / life flexibility as
well as how within GMC we can take more control and set expectations
around every day working practices.
WORK / LIFE FLEXIBILITY

WHAT RESOURCES ARE ALREADY AVAILABLE TO YOU?
Policies do vary by country and can be explored in detail on the intranet here; but in summary this is what
is available to most [ ] employees to help them balance work with the rest of your life.
Flexible working
Varying by country in terms of specific policies (please check the intranet) but flexible working
arrangements are possible in terms of hours, time off work and place of work. This could mean
working one day a week from home for example, or shifting your hours to start and finish at different
times to the core hours of employment. Each request requires an application that the business
will review. Varying by country in terms of specific policies most do require a service and application
criteria to use the policy. Check your intranet at the above link.
Childcare Vouchers
Your home life is important to us, which is why we offer you a helping hand in taking care of your
children by providing you with access to the Childcare Voucher scheme through Care-4. This benefit
helps you pay for childcare in a convenient, hassle-free way, taking advantage of Income tax and NIC.
Holiday Buying
We understand how important it is for you to take time away from work, whatever your current needs
are. To help, you have the option to buy up to five days of annual holiday each year. This is in place so
that you can choose the amount of holiday you need each year. The time is pro-rated and converted to
hours for part-timers.
GymFlex
Get fit for less with GymFlex. Through [ ] Flexible Benefits, you can select an annual Gym
membership at a wide range of participated clubs straight out of your base salary, saving money on
your NIC, effectively reducing your monthly gym fees. However, you will be required to pay the
Income tax on this benefit via P11d submission.
The GymFlex network is nationwide, so you should be able to find a participating facility close to your
office or home – whichever suits you best.
Family Care
[ ] sponsor six sessions of back-up care each year for all permanent employees. These can be used
for Emergency Childcare, School Holiday Cover, Back-up Adult or Eldercare.
To make use of these sessions, you must first register on the Work+Family Space. Please visit
www.myfamilycare.co.uk/[ ] to complete the registration details or call the My Family Care team on
0845 676 7690. Bookings can be made 24/7 online or over the phone from 7.30am to 7.00pm, Monday
to Friday, and can be made with as little as 2 hours’ notice.
WHAT TECHNOLOGY EXISTS TO HELP YOU ADD MORE FLEXIBILITY TO HOW AND WHERE YOU WORK?
Mobiles
Everyone at [ ] can request for access to [ ] email, contacts, and calendars from a mobile device
where they have a justifiable need (it is subject to manager approval). This helps you keep in touch
more easily when away from the office or even during a day full of meetings. There is the possibility to
choose the mobile device you prefer (called ‘Choose Your Own Device’ or CYOD) as well as the option to
access this information on your existing personal mobiles or iPads (‘Bring Your Own Device’ or BYOD)
– you can find out more on the intranet.
Remote Access
This provides access to your office desktop, creating a Remote Desktop, from anywhere a browser is
available – whether at home or on the road. Available 24/7 so you can work where and when you want
to and still have everything available to you as if you were in the office. Find out how to set this up by
visiting the intranet.
Laptops
[ ] laptops are available to people who travel frequently but need to connect to the [ ] network
using remote access. There’s a policy for more details but in a nutshell, you can either request a new
laptop with your manager’s approval or there are ‘Loaner’ laptops available to book out for shorter
periods of time. Again, all the information to find out more about laptops is on the intranet.
Multimedia (AV, VC and Web conferencing)
All designed to make it easier to keep in touch will colleagues. You can share your desktop, set up
impromptu meetings and have face-to-face conversations over VC. Find out how this could help you
reduce travelling and easily keep connected with team members and project groups regardless of
where you are.
WHAT IMPROVEMENTS CAN WE MAKE TO HELP EACH OTHER TAKE CONTROL?
We suggest that each team discusses and agrees ‘norms’ that everyone will then agree to abide by. The idea is to
establish practices that are appropriate for each team and the way that they work.
Some examples are:
Email usage out of hours
Does constant checking of emails add to productivity or just add stress? Can we agree:
 That no one should be expected to answer emails on the weekend and that if something is urgent and
needs to be taken care of before Monday you will be called?
 That if you chose to work on the weekend you set your emails to send on Monday morning rather than on
the weekend?
Meeting etiquette
Can we agree:
 Always send an agenda / clear meeting objectives in advance of meeting
 Consider meeting length – 30 minutes if possible
 Consider the attendees – does everyone need to be there?
 Keep time zones in mind when scheduling meetings and acknowledge efforts to participate in meetings in
non-business hours
 Cancel meetings with as much advance notice as possible
 Start meetings on time
Holiday time
Can we agree:
 Get as much finished before your break
 Hand off what cannot wait to others with detailed hand over notes and background (e.g. the documents
are here)
 Send an alternate to any meetings that are scheduled rather than calling in
 Have a great break and come back refreshed!

This helps you keep in touch more easily when away from the office or even during a day full of meetings. Remote Access This provides access to your office desktop, creating a Remote Desktop, from anywhere a browser is available – whether at home or on the road. Laptops [ ] laptops are available to people who travel frequently but need to connect to the [ ] network using remote access. There’s a policy for more details but in a nutshell, you can either request a new laptop with your manager’s approval or there are ‘Loaner’ laptops available to book out for shorter periods of time. Again, all the information to find out more about laptops is on the intranet. Multimedia (AV, VC and Web conferencing) All designed to make it easier to keep in touch will colleagues. You can share your desktop, set up impromptu meetings and have face-to-face conversations over VC. Find out how this could help you reduce travelling and easily keep connected with team members and project groups regardless of where you are. WHAT IMPROVEMENTS CAN WE MAKE TO HELP EACH OTHER TAKE CONTROL? We suggest that each team discusses and agrees ‘norms’ that everyone will then agree to abide by. The idea is to establish practices that are appropriate for each team and the way that they work. Some examples are: Email usage out of hours Does constant checking of emails add to productivity or just add stress? Can we agree:  That no one should be expected to answer emails on the weekend and that if something is urgent and needs to be taken care of before Monday you will be called?  That if you chose to work on the weekend you set your emails to send on Monday morning rather than on the weekend? Meeting etiquette Can we agree:  Always send an agenda / clear meeting objectives in advance of meeting  Consider meeting length – 30 minutes if possible  Consider the attendees – does everyone need to be there?  Keep time zones in mind when scheduling meetings and acknowledge efforts to participate in meetings in non-business hours  Cancel meetings with as much advance notice as possible  Start meetings on time Holiday time Can we agree:  Get as much finished before your break  Hand off what cannot wait to others with detailed hand over notes and background (e.g. the documents are here)  Send an alternate to any meetings that are scheduled rather than calling in  Have a great break and come back refreshed!
