Appit has realized over 200% growth in net new customers since June of last year.
As we look to the future we see a very interesting trend occurring right in front of us. Customers have classically looked at BPM solution to automate their processes but that is changing. With the increase in the application backlog companies are looking for a new way to solve their application automation challenges.
Classic BPM players are costly and they often take a long time to deploy. They are difficult use because they weren’t designed with low code in mind. This will become a challenge for them as they progress in the market. Their underlying workflow constructs will be useful but the interaction will become so difficult that it could be prohibitive.
New Low Code vendors are simplifying the experience of creating applications. They understand that visual objects can have robust code behind them but the app builder does not need the details of the code. They also recognize that samples which enable customers to get started are quickly turned into full blown applications that delight their users. However, pure play Low Code vendors also have a challenge. While their app development experience may be easier and they may be built for cloud first, their underlying engine is often not robust enough to address workflows requirements that go beyond scratching the surface and they often focus only on mobile first leaving a significant number of users out of the picture. Lastly, they don’t often accommodate the requirements and needs of on-premise and hybrid deployments.
With K2, we have always had the notion that logic should live behind the objects in the workflow. A user should not have to code the logic on their own, they should be able to easily drag and drop the workflow steps onto a blank canvas, declare the actions an rules required to be completed and build an intuitive and engaging form for their users to interact with. We also recognize that a robust workflow engine is a must have and one that we have spent years building and tuning based on global customer feedback.
When you choose K2 you don’t have to compromise on BPM or Low Code, you can have both. We believe that as the market converges and customers demand more from their vendors these two areas with become closer and we are excited to be in the middle of disruption that weill agina deliver greater value for our customers. And we aren’t slowing down. We continue to ensure our engine is robust and we are continually innovating on our design experience with a new workflow designer later this Fall with much more innovation to come.

One of the reasons why this is so important is because we know there will be winners and losers in the digital economy. Harvard Business Review recently did a study and found that 47% of companies believe that their traditional business model will be obsolete by 2020
Traditional Business Process Management Systems promise greater efficiency, consistency, visibility, flexibility and collaboration. That’s not good enough.
BPMS is more than an engine with a number of moving parts. It must be dynamic, tailored toward the people that need it and flexible enough to match the pace of today’s business.
Thousands of companies around the world have selected K2 as their BPMS of choice. Their reasoning is simple: they want all the power of big BPM but with faster delivery, easier tooling and better value for the money.
EXECUTION ENGINE
K2’s platform is built to scale. It is trusted to manage millions of transactions and billions of dollars at the world’s leading companies. And it’s flexible enough to allow for change as quickly and often as the business requires.
A process platform has several inter-connected components and features which define it’s usability and feasibility. These attributes effect your accessibility to people, data and the ability to work effectively. Let’s cover what defines your ability to move into Process Automation.
Integration – In order to work with data and gain insights, how you connect to your network resources and 3rd party systems is critical. (Ask question - what problems they have now in connecting their own resources and 3rd party – what are the existing limitations)
User Experience – Key to any application is it’s ability to work intuitively and create an enhancement to the User Experience. ( Ask question - Are you using multiple applications which requires an understanding of each differing UI? Are your current applications creating information that can be understood across teams and verticals – what is your experience)?
Workflow – We understand that connection to people and data are the core of creating insights. How you configure those connections, how you build and customize them establishes the patterns for processes. Essential to Process Automation is the ability to design these configurations according to your specific workloads and needs. (Can you create workflows that work with the next gen RPA, IoT, AI integrations?)
App Foundations – Efficacy and feasibility are what is Process Automation. Moving work between people, systems and machines needs to start on day one of working with an automation platform. (Ask questions - If you have thought of building your own platform, are designing your applications workflows and connectivity singularly? How are your testing that model? What experience does your IT test have in designing, developing and organizing critical applications)
Deployment – Working with data means adjusting where the data is extracted from and then creating declarative workflows where it’s needed most. Systems which employ Process Automation need flexibility to reconnect, reconfigure to accommodate the immediacy of gaining insights. Fore this to work effectively you have to align with a platform capable of re-using existing workflows and patterns. (Ask question - What is you experience in adding a new source of data or connectivity?)
Governance – Working with multiple connections and applications increases management of data and accessibility… Changes need testing and verification. (Ask question - What conditions and exceptions have you allotted for? What is your preparedness for launching a full platform? )
Security – The need for and depth of data security has become a highlight in todays 24/7 connective model. Depending on the industry, security regulation and compliance polies and rules dictate how data is stored, shared and used. (Ask question - What specialized parameters do you need to account for?)Analytics – Analytics is not just about the availability to data, it’s about useful data. Data is available to us in many forms, but visualizing the information to be informative makes data usable. Your data is already accessible – (Ask question - Can your teams gain insights? Can they make accurate decisions in a timely manner? Do they set the model for the data, or is it set by other team members who limit it’s interpretation.)

OPTIONAL SLIDE
When business needs customer insights, to them, it is a single entity ‘customer’. However, when IT thinks of a ‘customer’, they think of a fragmented picture of data pieces living in disparate systems and services that need to be connected to complete the pieces of puzzle. The customer data could be in your mission critical LOB systems such SAP (or Oracle), SQL server or even content management systems such as SharePoint. Or they need to be accessed from cloud services such as O365, SalesForce or even ServiceNow for customer tickets. This is what differentiates K2 with its proprietary technology ‘K2 SmartObjects’. With K2 SmartObjects, you can connect these disparate systems and data sources ‘In REAL TIME’ and where your data is never cached locally, with the Security set up in the systems of record. K2 creates a K2 SmartObject, which in this case could be a “Customer SmartObject” to build a relationship between these disparate systems to provide all the information about the customer, such as ‘Customer data, documents related to customer purchases, buying behavior, any customer complaints or support tickets as well as actual revenue’ and seamlessly connect this data living in the Cloud or in your on-premise systems. What makes SmartObjects so powerful is that it is all done without any coding and are REUSEABLE which means, they can be used in FORMS, WORKFLOWS or for REPORTING AND INSIGHTS or as part of another SmartObject DATA or connect with 3rd party systems OOB such as Drop Box.
Let’s spend a few moments on the out-of-the-box process reports. Collectively, these reports easily help identify issues and resolve bottlenecks to reduce backlogs.
K2 provides free out-of-the-box and no-code, customizable process reports for real-time visibility and in-depth insights into your data. There are four types of reports available that can be filtered by date range or by process type
The Process Overview Reports provide a rollup of all key process metrics such as # of active process instances, # of process errors if any, # of active tasks assigned at any given point and and average duration of processes. In essence, this report lets you check the health of your business processes in a glance and highly useful for process owners, executives.
(Process Details Reports –) When reviewing the overview report, if any of the processes are taking longer or an error is identified, the process details report can help you dive deep to identify bottlenecks and potentially unblock resources or remove blockages. These reports provide rich insights into activity trends.
User Overview provides a view of an individual’s workload cross all processes OR, it’s an individualized view of all assigned and actionable tasks to help you with prioritization. This report offers insights into what tasks are taking the longest
Embedded reporting – For all the times that we need reporting embedded in our apps (SmartForm) or within a SharePoint pages or just need to see all our reports in a single organized location, K2 provides the flexibility to embed them as needed into K2 SmartForm Apps, Sharepoint pages, K2 Workdesk or K2 Workspace
Instant context and insights, without any coding.
Let’s walk through an overview of how Power BI works.
1. The Power BI service, sometimes referred to as powerbi.com, is what allows you to:
Create beautiful visualizations to tell compelling data stories
Build rich, live dashboards that turn BI into business insights
Create reports & datasets from which you can create visualizations and dashboards
Enjoy the benefits of up-to-date data with real-time, automatic and scheduled refreshes
Share dashboards easily with other people in your organization
Ask questions of data in plain English with Natural Language Query
Stay connected to your data all the time with mobile applications
2. Power BI connects to a variety of data sources. These range across both cloud and on-premises sources, and include:
A variety of popular SaaS solutions, such as Marketo, Salesforce, GitHub, Dynamics CRM, Zendesk, and several others
On-premises databases – Power BI offers live connectivity to SQL Server Analysis Services, which we’ll cover in more detail later. And using a gateway solution, Power BI can connect to other database solutions.
Custom data sources – Power BI can connect to any data source you need it to thanks to its extensibility via REST APIs. This includes both proprietary corporate data sources, as well as external data services. For example, if you are a SaaS solution provider, you can work with Microsoft to connect your solution to Power BI.
Other Azure services – Power BI integrates tightly with SQL Azure and Stream Analytics, and will be integrating closely with more Azure services over time
Power BI Desktop and Excel files – Excel workbooks can be directly connected to Power BI.com, or may be used with Power BI Desktop. Power BI Desktop is a companion application to the Power BI service – it is a desktop tool that supports data analysis and reporting. Like Excel files, Power BI Desktop files may be uploaded to the Power BI service.
Today’s challenge:
Take an expense claim application as an example. If you look at the collection of forms that makes up the app, you can clearly identify sections of information that are present across multiple forms, thus creating duplication of logic across multiple forms. If something simple needs change (e.g., add the employees office number to the form), you’d have to make changes to many forms.
With K2 smartforms, you can create a K2 view once and reuse that view across many pages in the application. If you need to add an additional field to show the employees office number, go back to the view and update it once, in a single place, and the changes will reflect across all forms in the applications that use that view. This significantly reduces maintenance and allows you to respond to change faster than before.
Notes:
The rules framework in K2 smartforms ensures that you stay in control of the forms behavior. Easily configure anything from simple navigation, action based on user input, or when to open a view or form in a subform.
Boosting productivity from anywhere on any Device-
Mobilizing the workforce – Staggering stats and trends from the mobile application market such as ‘average enterprise has deployed only 3.43 mobile apps because 45% of mobile app initiatives are delayed or over-budget due to difficulties linking mobile platforms to backend systems’ but conversely, ‘the mobile app development requests will grow 5X faster than IT’s capacity to deliver them’.
To support this ever growing demand, K2’s approach to mobile delivers benefits for both your application creator and the staff using the app. These include:
Build a form in K2 once and use it anywhere, on any device. Responsive form templates allow you to build forms that will automatically adapt to the available screen size, allowing you to easily support forms on multiple mobile devices.
K2 mobile apps for iOS, Android, and Windows Phone provide users access to tasks from any mobile phone or tablet to take action, delegate, check in on process status or find the information needed to make great decisions - anytime, anywhere and are fully functional online or offline.
Common task management capabilities, like redirect and delegate, ensure that the right person does the right work, at the right time from inside their work email, or website.
Take Pictures and annotate
K2 Mobile apps are secured with industry-standard file encryption and security settings so unauthorized users won’t have access to sensitive information if a mobile device is lost or stolen.
CUSTOMER EXAMPLE: Kinross Gold Corporation, a global mining company “Users love the ability to complete their tasks on the go from any mobile device. This is a key feature for a company where employees travels extensively.
Notes:
Business applications rely heavily on existing information, often stored across many line-of-business systems, adding to the complexity of building and maintaining forms. K2’s proven SmartObject framework provides a consistent and predictable way to access data across line-of-business systems, a critical aspect when creating business application. Out of the box, K2 smartforms (built on K2 SmartObjects) supports SharePoint, Dynamics CRM, SQL Server, Oracle, SAP, Salesforce.com and more.
One easy and centralized location for all K2 tasks and process apps - When not using K2 Mobile, working from your desk or browser can be just as easy.
K2 offers a centralized, intuitive and customizable Workspace where it’s easy to review and action all pending tasks/approvals across all business applications, reducing complexity and boosting productivity.
Workspace can be customized to give users quick and easy access to the most important forms in the organization; or displays all forms and folders, in-depth information about processes that users own or have rights to administer, including drill-down reports to the process instance, activity, and even event level to provide deep visibility into what’s going on with their processes.
Any pending tasks or actions can be searched and viewed based on age of the task/ action, priority or dates of actions or by users so employees don’t have to dig out tasks buried in email chaos. With K2 Workspace, redirecting or sharing a task can be done easily to ensure work doesn’t halt because some people are out of the office.

K2 easily integrates with Microsoft Logic Apps & Flow to get access to more connectors and eventing to different data sources. K2 provides its own Flow K2 connector to trigger a K2 Workflow from a Microsoft Flow.
Now that you have a base understanding of the key components of K2 that will help you automate your processes and create your business apps, I’d like to talk about our SmartStarters. There are an excellent way to quickly get familiar with K2 without having to begin from a blank design canvas.
To further enhance its already strong capabilities in low code app development, K2 has created SmartStarters. K2 supports the citizen developers and savvy tech business users that are usually adept at creating and customizing workflows, reworking business processes in a way that makes the most sense for them without having to worry about IT backlogs or long drawn custom development delays. K2 does so by offering over 50 ready-to-use SmartStarters available for free that enable building simple proofs of concept such as travel request, defect tracking, change management request, expense claim management and much more, to get you going quickly.
K2’s SmartStarters are built on responsive designs, so the process apps can work on any device without additional effort. SmartStarters offer common initial apps that can be adopted as is, or modified to meet your organizations needs and getting you on the road to digital transformation faster.

The 16 net new blackpearl SmartStarters include: Corporate Communications, IT Issue Reports, and Press Release Reviews and many more.
Manage for Today, Future Proof for Tomorrow- K2 has never been a ‘me too’ in this highly competitive market and innovates to support the disruptive market demands of today and the future – from embracing and moving to the cloud to IoT and beyond. Let’s briefly discuss the deployment options that are available from K2, Transitioning to the Cloud, Governance and Security, and how the Internet of Things (IoT) will transform your business process apps in the future.
First let’s ensure that you aware of the different option for deploying K2 Software:
On Premise deployments are the deployment approach that most customers are familiar with as many of the took this approach over the last 20 years or so with the rise of client server computing. As virtualization started to increase more customers consolidated physical servers and virtualized many instances onto a single physical server hardware. This was often referred to as a Virtual Private Cloud.
With this approach IT maintains a high level of control of their server infrastructure but the cost associated with IT headcount, software, network, Disaster Recovery, High Availability, patching and upgrading becomes one that the business must fully absorb. In addition, its more expensive to scale out (build datacenters or lease space) , scale up (add more resources as usage and load demands require – you have to wait for procurement, installation, test, then finally live), and scale down (reduce your spend when resources are no longer needed).
While this approach continues to serve many businesses well, in todays fast moving market you need to ask yourself “Will it serve me for the future? Keep me competitive? And allow me to get IT working on strategic initiatives for the business?” or Will you continue to keep the lights on while your competition goes broader, faster and at lower costs?
Infrastructure as a Service (IaaS) are virtual machines (vm) running in the public cloud on a selected provider such as AWS or Microsoft Azure. This approach is similar to running virtualization on premise with a few key differences:
The cloud provider provides the global infrastructure, power cooling, datacenters and compute power that runs your virtual machines
The cloud provider certifies their infrastructure and associated components or applications to ensure that they are compliant with local regulatory requirement
The cloud provider manages the underlying infrastructure (OS, Network, Storage, VMs…) but the customer manages all the application data, updates, upgrades, connection to on premise resources and security access.
This approach offers IT control while enabling the business to take the first step in using the cloud. This still requires an IT staff to configure, manage, deploy and operate the infrastructure as well as perform the updates to the applications themselves. There is a cost to the application license as well as the cloud services used and consumed to run the application – storage, Virtual network, virtual machines and other necessary components.
K2 Cloud Platform and Appit are finished services that are made available to a customer at a single price and managed by K2 directly on your behalf. The package purchased often includes the software license, the management of the service, maintenance, application upgrades, use of the latest hardware and availability.
In the case of K2 Cloud Platform and Appit, K2 provides all of the aforementioned options in it’s offer including a 99.9% SLA.
