3. What is User Based Licensing?
One piece of software across multiple devices
• Office 365 user – Five PCs or MACs, five tablets and five phones
• Creative Cloud – Two PCs or MACs (if you wish to add another
device, you must deactivate one of the originals)
• MSDN – multiple installs of software across several devices
• Which user(s) is/are utilizing which device?
• Which user is utilizing which subscription?
4. User Based Licensing
We recently polled the ITAM community to understand their ability to
track IT Assets and Users
- 80% consider this of high importance with 20% not having considered this as yet
- 43% of respondents not tracking IT Assets automatically
- 47% of respondents not tracking primary users of assets
- 2/3 Of those who track primary users cannot do this within a day
- 65% aren’t doing this more than once per month
- 47% do not dynamically manage users and devices
*Survey Results from Joint Survey with Eduserv & License Dashboard 2017
5. User Based Licensing
In the poll we also asked what type of user
subscriptions there are out there
- 25% have MSDN Subscriptions
- 25% now have some degree of O365
- 18% have Adobe Creative Cloud
- 25% have Oracle Named User or SAP Users
- 8% have “other” User based subscriptions
- All have some form of User Based Licensing
6. Taking Your Deployments and
Licensing to the Cloud
Shift to the Cloud
Shifting from traditional software and delivery models to cloud-based software as a
service (SaaS) poses several challenges to organizations, not least in terms of
Software Asset Management.
7. SaaS Cost Management
Shift to the Cloud
Naturally, organizations must fully understand their current IT
estate in order to make informed decisions about which users
or instances to take to the cloud.
8. The Challenges
Understanding Your Estate
- What is currently deployed and on what platform?
- Is there any anticipated growth or planned future
projects?
- Who are the consumers of the software?
- How and when is it used?
- Do the current licenses cover mobility or deployment
in the cloud?
9. The Challenges
Shifting from Compliance to
Cost Containment
Without an effective SAM solution,
assigning licenses to named users means
running the risk of inappropriate,
unnecessary or unjustified allocations; an
expensive, but rectifiable mistake.
SaaS makes these mistakes much more
costly.
10. The Challenges
Reducing User Based Licensing Mistakes
How do you track which user is accessing which device?
Also, whilst it should be straightforward, can you readily
associate a primary username with a presented
subscription username?
To be able to solve this challenge, for the example of
Office 365 ITAM Managers must:
11. The Challenges
1. Identify all the users within an organization, and note which user is the
primary user for each device.
2. Name all other users on each device.
3. Distinguish between users who have an Office 365 (for example)
subscription, and those who do not.
4. List each device’s users, and whether or not they have an Office 365
subscription.
5. If you do have an O365 A3 subscription or above, the local install of Office
Professional Plus 2016 does not require a separate device licence.
12. The Challenges
6. What version of Office Professional Plus is installed
7. Only five PC/MAC installs per user subscription is
permitted, so if a user is using Office Professional Plus on
more than five, additional device licenses are required.

18. Azure Hybrid Benefits
Use your on-premises Windows Server licenses with Software Assurance to make significant savings in Azure.
19. Azure Reserved Instances
An Azure Reserved Virtual Machine Instance is an advance purchase of a Virtual Machine for one or three years in a
specified region. The commitment is made up front, and in return you get up to 72% price savings compared to pay-
as-you-go pricing.

Enterprise Azure Roles and Portals
To administer your Microsoft Azure services under your Enrolment,
there are four distinct administrative roles: the Enterprise
Administrator, the Department Administrator, the Account Owner,
and the Service Administrator. Users are required to authenticate
using a valid Microsoft Account (LiveID http://signup.live.com) or
School or Work Account (Azure-based Active Directory). Please
ensure the ID entered is associated with a monitoring mailbox as
enrolment and account notifications will be sent to this mailbox.
The roles complete tasks on three different Microsoft Azure portals.
The Enterprise Portal, the Account Portal, and the Management
Portal.
23. Delivering Business Value
Using SAM in the Fight Against Spiralling SaaS Costs
A SAM platform will also allow an organization to accurately forecast
future requirements and resulting costs as well as providing a
baseline of the existing environment.
You can then understand the way that software is being used as part
of SaaS migration and contract renewal planning, to ensure that
services being subscribed to match user requirements and to
optimize license costs accordingly.
24. The Solution
SAM Stops Inflated SaaS Subscription Costs
SAM allows for unused licenses to be flagged and either
deactivated or reassigned, and if usage changes for a
particular user, SAM will indicate whether an alternate
license will be more appropriate.
25. The Solution
SAM Stops Inflated SaaS
Subscription Costs
This is the case for both traditional and SaaS
options, so long as your SAM solution is cloud
compatible.
In order to eliminate unnecessary or costly
SaaS services, your IT department needs a
procedure for requesting, allocating, and
monitoring software licenses.
