Presentations
PresentationsthroughLifeSize
The LifeSize unit allows the user to do presentations through it. This feature is available for
both local audiences and for participants of a video conference.
For Local Audiences
1. For units with a remote control, press any button to wake the LifeSize unit.
2. Once the LifeSize unit is awake, plug the VGA or HDMI cable into your laptop.
3. With the remote, press the green button with a square on it. (You should now see your
computer screen through LifeSize)
4. Open the file containing the presentation on your computer.
5. Press the green button with a square on it to start the presentation.
Presentations during a Video Conference
1. For units with a remote control, press any button to wake the unit.
2. Once the LifeSize unit is awake, plug the VGA or HDMI cable into your laptop.
3. Open the file containing the presentation on your computer.
4. Start the video conference. (For instructions on how to do this, check the appropriate
section of this guide)
5. Press the green button with a square on it to start the presentation.

1. Make sure the television is set to the proper input. (See the room specific section of this
guide as needed)
2. Plug the VGA or HDMI cable into your laptop. (You should see your computer screen on
the screen)
3. Open the file containing the presentation.
4. Press the green button with a square on it to start the presentation.

One-to-One Video Conferencing
One of the features available on your LifeSize unit is the ability to have One-on-One video
conferences, both with units inside and outside the USA.
First, press any button on the remote control to wake the LifeSize unit from standby mode. (If
the unit also has a touch panel, you will need to use the touch panel to wake the projector)
Once on the home screen, there are three paths you might take.
1. Use the up and down arrow buttons to select a recently called LifeSize unit.
2. Press the yellow button with a triangle to view the directory.
3. Select the ‘Video Call’ option on the left side of your screen.

(1) If you use the up and down arrow buttons to select a recently called LifeSize unit:
a. Press ‘OK’ to redial the selected LifeSize unit.
(2) If you pressed the yellow button with a triangle to view the directory:
a. Use the arrow buttons to select the LifeSize unit you wish to dial.
b. Press ‘OK’ to place the call.
(3) If you selected the ‘Video Call’ option on the left side of your screen:
a. Use the number pad to dial the IP address (periods included) of the LifeSize unit you
wish to call.
b. Press the ‘Call’ button found on the remote control to place the call.

Video Conferencing with Multiple Sites
In addition to One-to-One video conferencing, the LifeSize unit allows its user to hold video
conferences with multiple users both inside and outside of the USA.
VideoConferencing Inside &Outside of the USA
First, press any button on the remote control to wake the LifeSize unit from standby mode.
If there is a touch panel, touch the panel to wake it then press any of the arrow buttons to
wake the LifeSize unit. Selecting ‘Video’ from the top left corner of the touch panel will turn on
the projector if it is not already on.

1. From the home screen, use the remote (or touch panel) to select the ‘Video Call’ option.
If you want to start a videoconference, there are twoways todo this.
The first way to start a Multi-Unit Video Conference is from the “Video Call” option on the
Lifesize homescreen. This method ONLY works for units inside the USA.
1. Choose any four numbers starting with 6. (6xxx, where ‘xxx’ can be any three numbers)
2. Give the desired participants the four digit number you have chosen. (For example,
6123)
3. Type 6xxx into the ‘Enter a Video Number’ field. (where ‘xxx’ is the three numbers you
have chosen)
4. Press ‘Call’ on your remote control or ‘Dial’ on your touch panel to connect to the bridge
and start your video conference.
The second way to start a Multi-Unit Video Conference is from a computer web browser.
1. Open one of the supported web browsers: Google Chrome, Firefox, or Safari (Internet
Explorer is not supported). Then, type the IP address redacted in the address bar.

2. Click the “Create a Conference” button.
3. Select prefix “81 HD/SD Continuous Presence,” then choose a four digit number starting
with ‘6’ and enter it in the “Unique Number” field. Then press “Create.”

4. Type the IP addresses of the LifeSize Units you wish to connect to the conference in the
“Invite #” field then press the call button pictured below.
If the units invited are not able to join the conference, please contact the IT HelpDesk for
assistance.
In order to join a video conference in the USA,
1. On your Lifesize unit, type the four digit number you have been given into the ‘Enter a
Video Number’ field. (For example, 6123)
2. Press ‘Call’ on your remote control or ‘Dial’ on your touch panel to connect to the video
conference.
Computers within the Embraer network can also connect to these conference calls using Scopia
(redacted).
FLL Room-specific Procedures
East Showroom
In the East Conference Room you will find: Lifesize unit (including touch panel, conference
phone, and camera), VGA cable, up to five Ethernet ports, and an HDMI port. There are three

floor boxes where this setup is available: the podium (immediately in front of SHARP television),
Box 1 (closest to the entrance), Box 2 (directly in front of the SHARP television, close to the wall
dividing the East from the North/South showrooms).
The Lifesize camera in this room is currently not operational.

The SHARP television in the East Showroom is also capable of playing pictures, music, and video
straight from a USB drive. Video file types supported: Mp4, Mpg, and MOV. To do this:
1. Turn on television using remote control.
2. Plug USB drive into USB ports located on the left side of the television.
3. The television should automatically switch to the proper input setting. If it does not, use
the remote to select ‘TV,’ then ‘USB’ manually. (‘USB’ will not show up in the list of
inputs unless a USB drive is plugged into the television)
4. Choose from ‘Video,’ ‘Music,’ or ‘Pictures.’
5. Use the arrow buttons on the remote control to select the file you wish to play.
Changing between Floor Boxes
In order to change between floor boxes, please contact the IT Helpdesk.
1. Once the touch panel is plugged in by an IT service rep, press ‘Video’ then select your
floor box from the bottom left side of the touch panel screen.
2. Plug the VGA or HDMI cable into your laptop.

North Showroom
In the North Conference Room you will find: a telephone, a LifeSize unit (including touch panel,
remote, conference phone, and camera), a projector, Blue-ray player/VCR, two floor boxes (one
for the podium and one integrated with the table) and three Microphones (two handheld mics
and one Lapel mic).
See ‘Presentations’ section of this guide as needed.

this guide as needed.
Adjusting Microphones
The LifeSize touch panels in the North and South Showrooms can adjust the volume and/or
mute all seven microphones. This will only effect the sound coming through the speakers in the
showroom that the volume is being adjusted from. (For example, if you are in the South
showroom and mute microphone 1, you will not hear it in the South showroom but you will still
be able to hear it in the North unless it is muted there also.)
To do this:
1. Wake the touch panel by touching it.
2. On the touch panel, press the microphone button.
3. Un-mute the desired microphone. (The ‘Mute’ button will be white if the microphone is
muted)

4. Adjust the volume using the up and down arrows. (Each microphone has its number
written on it)
Combining Showrooms
The North and South Showroom LifeSize units are able to combine the North, East, and South
Showrooms. If you want this done, please contact IT at least 24 hours in advance.
South Showroom
In the South Showroom you will find: a telephone, a LifeSize unit with a built in bridge
(including touch panel, remote, conference phone, and camera), a projector, Blue-ray
player/VCR, two floor boxes (one for the podium and one integrated with the table) and three
Microphones (two handheld mics and one Lapel mic).

this guide as needed.
Because the LifeSize unit in the South Showroom has a bridge built into the unit, it is able to
invite multiple participants to video conferences instead of requiring them to join on their own.
To do this:

1. Begin a conference call with one of the desired participants as you would normally. (See
the ‘One-to-One Video Conferencing’ section of this guide for instructions)
2. Press the ‘Call’ button on the remote. (This will return you to the home screen)
3. Select the unit you wish to call from the directory, the recently called list, or go to ‘Video
Call’ and type the IP address of the unit you wish to dial.
4. Press ‘OK’ or ‘Call’ on your remote to invite that unit to the call.
EEJS 1 E-10 Downstairs Conference Room
In the EEJS 1 E-10 Conference Room you will find: a telephone, a LifeSize unit (including a
camera, remote, and microphone), a TV, VGA cable, 5 Ethernet ports.
- The correct input for the TV is ‘Set Top Box.’

of this guide as needed.
EEJS 2 E-10 Upstairs Conference Room
In the EEJS 2 E-10 Conference room you will find a LifeSize unit (including camera, remote, and
microphone), a telephone, a LG TV, 10 Ethernet ports/cables, and a VGA cable.
- The correct input for the TV is ‘DVI.’
- See ‘Presentations’ section of this guide as needed.
- See ‘One-to-One Video Conferencing’ or ‘Video Conferencing with Multiple Sites’ sections
of this guide as needed.
EEJS Training Room (MRO Obeya Room)
In the EEJS E-10 Training Room you will find: a LifeSize unit (including camera, remote, and
conference phone), VGA and HDMI cable, and a projector.

1. Since there is no touch panel in this room, you will need to manually lower the
projector. To do this press the down arrow found next to the wall panel. You will find it
on the right side of the projector screen as you face the wall.
2. Press the LifeSize button on the wall panel.
3. Use the projector remote control to turn on the projector.

President’s Conference Room
In the President’s Conference Room you will find: a LifeSize unit (including wireless touch panel,
remote, camera, and microphone), a projector, an iPad to VGA converter, an iPad to
power/HDMI splitter, an iPhone/iPad charger, a built in PC (password: Welcome1) with a USB
integrated with the table, and a wireless mouse and keyboard (found in the break room), and a
blueray/VCR player.
In the West box of the table you will find (from left to right in image): an audio plug, a VGA
port, Ethernet port.

In the East box of the table you will find (from left to right in image): an HDMI port, a VGA port,
Ethernet port and audio plug.
- The HDMI port is mislabeled in the touch panel. The HDMI port is in the East box, not the
West.
- If you want to use the box on the east side of the table (closest to the projector), select
‘East Computer VGA.’ For the west side, select ‘West Computer VGA.’
If you want to view anything from your IPad on the projector:
1. Plug the VGA cable into the VGA-to-iPad converter first.
2. Next plug the IPad into the converter.

3. If your screen is not displayed make sure you have selected the proper box (east or
west). Your IPad screen should now be displayed on the projector.
Wireless touch panel:
Pressing the button on the top right side of the touch panel will turn on the panel. Pressing it
three times in quick succession will power it off.
When finished using the touch panel place it on the charger in the break room.

Choose any four numbers starting with 6. (6xxx, where ‘xxx’ can be any three numbers) 2. Give the desired participants the four digit number you have chosen. (For example, 6123) 3. Type 6xxx into the ‘Enter a Video Number’ field. (where ‘xxx’ is the three numbers you have chosen) 4. Press ‘Call’ on your remote control or ‘Dial’ on your touch panel to connect to the bridge and start your video conference. The second way to start a Multi-Unit Video Conference is from a computer web browser. 1. Open one of the supported web browsers: Google Chrome, Firefox, or Safari (Internet Explorer is not supported). Then, type the IP address redacted in the address bar.
  • 8. 7 2. Click the “Create a Conference” button. 3. Select prefix “81 HD/SD Continuous Presence,” then choose a four digit number starting with ‘6’ and enter it in the “Unique Number” field. Then press “Create.”
  • 9. 8 4. Type the IP addresses of the LifeSize Units you wish to connect to the conference in the “Invite #” field then press the call button pictured below. If the units invited are not able to join the conference, please contact the IT HelpDesk for assistance. In order to join a video conference in the USA, 1. On your Lifesize unit, type the four digit number you have been given into the ‘Enter a Video Number’ field. (For example, 6123) 2. Press ‘Call’ on your remote control or ‘Dial’ on your touch panel to connect to the video conference. Computers within the Embraer network can also connect to these conference calls using Scopia (redacted). FLL Room-specific Procedures East Showroom In the East Conference Room you will find: Lifesize unit (including touch panel, conference phone, and camera), VGA cable, up to five Ethernet ports, and an HDMI port. There are three
  • 10. 9 floor boxes where this setup is available: the podium (immediately in front of SHARP television), Box 1 (closest to the entrance), Box 2 (directly in front of the SHARP television, close to the wall dividing the East from the North/South showrooms). The Lifesize camera in this room is currently not operational. See ‘Presentations’ section of this guide as needed. See ‘One-to-One Video Conferencing’ or ‘Video Conferencing with Multiple Sites’ sections of this guide as needed. The SHARP television in the East Showroom is also capable of playing pictures, music, and video straight from a USB drive. Video file types supported: Mp4, Mpg, and MOV. To do this: 1. Turn on television using remote control. 2. Plug USB drive into USB ports located on the left side of the television. 3. The television should automatically switch to the proper input setting. If it does not, use the remote to select ‘TV,’ then ‘USB’ manually. (‘USB’ will not show up in the list of inputs unless a USB drive is plugged into the television) 4. Choose from ‘Video,’ ‘Music,’ or ‘Pictures.’ 5. Use the arrow buttons on the remote control to select the file you wish to play. Changing between Floor Boxes In order to change between floor boxes, please contact the IT Helpdesk. 1. Once the touch panel is plugged in by an IT service rep, press ‘Video’ then select your floor box from the bottom left side of the touch panel screen. 2. Plug the VGA or HDMI cable into your laptop.
  • 11. 10 North Showroom In the North Conference Room you will find: a telephone, a LifeSize unit (including touch panel, remote, conference phone, and camera), a projector, Blue-ray player/VCR, two floor boxes (one for the podium and one integrated with the table) and three Microphones (two handheld mics and one Lapel mic). See ‘Presentations’ section of this guide as needed. See ‘One-to-One Video Conferencing’ or ‘Video Conferencing with Multiple Sites’ sections of this guide as needed. Adjusting Microphones The LifeSize touch panels in the North and South Showrooms can adjust the volume and/or mute all seven microphones. This will only effect the sound coming through the speakers in the showroom that the volume is being adjusted from. (For example, if you are in the South showroom and mute microphone 1, you will not hear it in the South showroom but you will still be able to hear it in the North unless it is muted there also.) To do this: 1. Wake the touch panel by touching it. 2. On the touch panel, press the microphone button. 3. Un-mute the desired microphone. (The ‘Mute’ button will be white if the microphone is muted)

(Each microphone has its number written on it) Combining Showrooms The North and South Showroom LifeSize units are able to combine the North, East, and South Showrooms. If you want this done, please contact IT at least 24 hours in advance. South Showroom In the South Showroom you will find: a telephone, a LifeSize unit with a built in bridge (including touch panel, remote, conference phone, and camera), a projector, Blue-ray player/VCR, two floor boxes (one for the podium and one integrated with the table) and three Microphones (two handheld mics and one Lapel mic). See ‘Presentations’ section of this guide as needed. See ‘One-to-One Video Conferencing’ or ‘Video Conferencing with Multiple Sites’ sections of this guide as needed. Because the LifeSize unit in the South Showroom has a bridge built into the unit, it is able to invite multiple participants to video conferences instead of requiring them to join on their own. To do this:
  • 13. 12 1. Begin a conference call with one of the desired participants as you would normally. (See the ‘One-to-One Video Conferencing’ section of this guide for instructions) 2. Press the ‘Call’ button on the remote. (This will return you to the home screen) 3. Select the unit you wish to call from the directory, the recently called list, or go to ‘Video Call’ and type the IP address of the unit you wish to dial. 4. Press ‘OK’ or ‘Call’ on your remote to invite that unit to the call. EEJS 1 E-10 Downstairs Conference Room In the EEJS 1 E-10 Conference Room you will find: a telephone, a LifeSize unit (including a camera, remote, and microphone), a TV, VGA cable, 5 Ethernet ports. - The correct input for the TV is ‘Set Top Box.’ - See ‘Presentations’ section of this guide as needed. - See ‘One-to-One Video Conferencing’ or ‘Video Conferencing with Multiple Sites’ sections of this guide as needed. EEJS 2 E-10 Upstairs Conference Room In the EEJS 2 E-10 Conference room you will find a LifeSize unit (including camera, remote, and microphone), a telephone, a LG TV, 10 Ethernet ports/cables, and a VGA cable. - The correct input for the TV is ‘DVI.’ - See ‘Presentations’ section of this guide as needed. - See ‘One-to-One Video Conferencing’ or ‘Video Conferencing with Multiple Sites’ sections of this guide as needed. EEJS Training Room (MRO Obeya Room) In the EEJS E-10 Training Room you will find: a LifeSize unit (including camera, remote, and conference phone), VGA and HDMI cable, and a projector.
  • 14. 13 1. Since there is no touch panel in this room, you will need to manually lower the projector. To do this press the down arrow found next to the wall panel. You will find it on the right side of the projector screen as you face the wall. 2. Press the LifeSize button on the wall panel. 3. Use the projector remote control to turn on the projector. President’s Conference Room In the President’s Conference Room you will find: a LifeSize unit (including wireless touch panel, remote, camera, and microphone), a projector, an iPad to VGA converter, an iPad to power/HDMI splitter, an iPhone/iPad charger, a built in PC (password: Welcome1) with a USB integrated with the table, and a wireless mouse and keyboard (found in the break room), and a blueray/VCR player. In the West box of the table you will find (from left to right in image): an audio plug, a VGA port, Ethernet port.
  • 15. 14 In the East box of the table you will find (from left to right in image): an HDMI port, a VGA port, Ethernet port and audio plug. - The HDMI port is mislabeled in the touch panel. The HDMI port is in the East box, not the West. - If you want to use the box on the east side of the table (closest to the projector), select ‘East Computer VGA.’ For the west side, select ‘West Computer VGA.’ If you want to view anything from your IPad on the projector: 1. Plug the VGA cable into the VGA-to-iPad converter first. 2. Next plug the IPad into the converter.
  • 16. 15 3. If your screen is not displayed make sure you have selected the proper box (east or west). Your IPad screen should now be displayed on the projector. Wireless touch panel: Pressing the button on the top right side of the touch panel will turn on the panel. Pressing it three times in quick succession will power it off.
