• Coordinate with customer service team & updating them on planned vessel schedule
• Following up with customer service team for shipping documents, trade license, MSDS &
IMCO declaration (if IMCO shipment).
• Coordinate shipment tracking with shipping lines, overseas offices & agents.
• Liaises with Customer Service Team on discrepancies and exceptions found in freight
documents/ instructions
• Prepare and provide daily cargo discrepancy report (IHT) to Customer Service team and
destination
• Ensures correctness of shipping documents before handing over for customs declaration
• Coordinates Customs clearance with Customs Clearance Team (and updates Customer
Service based on agreed KPIs)
• Arrange & coordinate custom inspection with Ocean freight field operations team.
• Liaise with sub-contractors providing services to Ocean export operations such as lashing,
fumigation, hazardous material handling, etc.
• Apply & follow up for any special certification such as (certificate of origin, BITEC
certificate, Insurance, etc)
• Immediate notification to direct supervisor and/or department head in case of any
discrepancles
• Timely and accurate update of operational discrepancies in Incident Handling Tool (IHT)
• Sending B/L instructions to shipping lme as per SLI received from customer service
• Accurate & timely job costing and file hand-over to invoicing officer, ensuring shipment
costs are updated correctly under "Job costing" in FOS
• Forward draft copy of BL to customer service to seek shipper approval
• Confirm B/L to shipping line & arranging payment (if no credit facility to PA)
• Send Pre alert & vessel schedule to Destination offlce / agent & customer service to
update shipper
