COMMUNICATION
•Communication is one of the most common
and essential human activities
•Serves as a lubricant fostering for smooth
operations of management process.
•Thus it is very essential to maintain an
efficient flow of information in all directions
BARRIERS
There are certain barriers to communication.
They may arise at any of the following levels:
1.Senders’ level
Organization and formulating level
Encoding the message
2.Receivers level
Decoding the message
Understanding and interpreting
3.Transmission level
4. the response and feedback level
These can be divided into:
I. Physical:
II. Noise
III. Semantic process
IV. Organizational
V. Socio Psychological
VI. Barriers due to inadequate attention.

PHYSICAL BARRIERS
Timing
Is necessary for smooth communication.
Example:
A phone call at odd timing may irritate the
receiver.
Distance
Receiver can mis out imp information due to
large distance.
Breakdown in telephone or wireless
communication causes loss of information.

NOISE
 Can be caused by nature or competing
environment.
 It restricts one ability to concentrate on
communication task .
 This hinders effective communication, such
distraction are called noise
 The noise caused by traffic, human sound,
construction, noise of machines are some
examples

SEMANTIC BARIERS Encoding and Decoding level
Language Difference
 Language is the most important tool
carried through spoken and written
works.
 This is obvious barrier when there is no
common vehicle to convey ideas and
feelings.
 The problem is most serious in culturally
diversified organizations.
Inadequate knowledge and
vocabulary
 Poor knowledge of the subject is a
major barrier.
 Before you think how to communicate
an idea, you must firstly have all the
idea.
 The communication wont be effective if
the words are inappropriate or scarce.

Difference in interpretation
 Sometimes senders and receivers
attribute different meaning to the same
word and vice versa
 The meaning of words are not in words,
they are in us: each words has both
denotation and connotation meaning.
 Sometimes these meanings can
haphazardly differ
Over abstraction and ambiguity
 An abstract word identifies an idea or a
feeling instead of concrete block.
 Communication problems also result
from overuse of ambiguous words such
as few, some, several, far away etc.

Inappropriate use of expression
 Expressions are a group of words whose intended meanings
are different their literal interpretations. Ex; include slang
jargons and euphemisms.
 Slang is an expression, often short lived that is identified with
a specific group of people
 Jargon is a technical terminology is used within a specialized
group
 Euphemism are inoffensive expression used in place of words
that are offended or suggest something unpleasant
 These words prevent effective communication when the
receiver does not understand them.
 Therefore, these should not be used with new employees or
outsiders

ORGANISATIONAL BARRIERS
Hierarchical
 Communication flows through formal
channels in the organization following the
hierarchy.
 The employees are expected to follow
proper channels active in the organization.
 Usually subordinates do not feel easy to
communicate with the superiors.
Structural
 An organization is a deliberate creation of
managements for the attainment of
certain specific objectives.
 The day to day functioning of the
organization is regulated to contribute to
attain the objectives effectively.

Poor Spatial Arrangements
Faulty seating arrangements;
placing of furniture in wrong direct,
partitions,
pathways,
prevent eye contact face to face
communication.
Wrong Choice of Medium
 There are number of channels and medium
available for communication like oral
communication face to face etc.
 All three ways are suitable for
communication at different times for
different purpose.
 Therefore its essential to think about merits
or demerits.

Organisational barriers can be overcome by
Flexibility in the channels
Of communication.

PSYCHOLOGICAL BARRIERS Most Difficult Bariers
Difference in perception
 Each person has different experience,
knowledge and viewpoint.
 Hence each person forms a different
perception of what he/she reads/hears.
 Neutral words intended to produce a positive
meaning may convey the opposite as they
reach the receiver & vice versa causing
misunderstanding and misperception.
Status Barrier
 Status depends upon skills, amount of
pay, seniority, background etc
 A superior may only give selected
information to his subordinate to maintain
his status difference.

Attitudes and Opinions
 If the msg is consistent with our attitudes
and values, we take it favorably.
 On the other hand if it is contrary to our
expectations and beliefs, we don’t receive
it favorably.
Closed Mindedness
 If the receiver feels if he knows all
about the subject, he/she may close his
mind to the communication receptions.
 It is very difficult to communicate with a
person with deeply rooted prejudices.

greater acceptance.

  • 2. COMMUNICATION •Communication is one of the most common and essential human activities •Serves as a lubricant fostering for smooth operations of management process. •Thus it is very essential to maintain an efficient flow of information in all directions
  • 3. BARRIERS There are certain barriers to communication. They may arise at any of the following levels: 1.Senders’ level Organization and formulating level Encoding the message 2.Receivers level Decoding the message Understanding and interpreting 3.Transmission level 4. the response and feedback level These can be divided into: I. Physical: II. Noise III. Semantic process IV. Organizational V. Socio Psychological VI. Barriers due to inadequate attention.
  • 4. 11/1/2019 PHYSICAL BARRIERS Timing Is necessary for smooth communication. Example: A phone call at odd timing may irritate the receiver. Distance Receiver can mis out imp information due to large distance. Breakdown in telephone or wireless communication causes loss of information.
  • 5. 11/1/2019 NOISE  Can be caused by nature or competing environment.  It restricts one ability to concentrate on communication task .  This hinders effective communication, such distraction are called noise  The noise caused by traffic, human sound, construction, noise of machines are some examples
  • 6. 11/1/2019 SEMANTIC BARIERS Encoding and Decoding level Language Difference  Language is the most important tool carried through spoken and written works.  This is obvious barrier when there is no common vehicle to convey ideas and feelings.  The problem is most serious in culturally diversified organizations. Inadequate knowledge and vocabulary  Poor knowledge of the subject is a major barrier.  Before you think how to communicate an idea, you must firstly have all the idea.  The communication wont be effective if the words are inappropriate or scarce.
  • 7. 11/1/2019 Difference in interpretation  Sometimes senders and receivers attribute different meaning to the same word and vice versa  The meaning of words are not in words, they are in us: each words has both denotation and connotation meaning.  Sometimes these meanings can haphazardly differ Over abstraction and ambiguity  An abstract word identifies an idea or a feeling instead of concrete block.  Communication problems also result from overuse of ambiguous words such as few, some, several, far away etc.
  • 8. 11/1/2019 Inappropriate use of expression  Expressions are a group of words whose intended meanings are different their literal interpretations. Ex; include slang jargons and euphemisms.  Slang is an expression, often short lived that is identified with a specific group of people  Jargon is a technical terminology is used within a specialized group  Euphemism are inoffensive expression used in place of words that are offended or suggest something unpleasant  These words prevent effective communication when the receiver does not understand them.  Therefore, these should not be used with new employees or outsiders
  • 9. 11/1/2019 ORGANISATIONAL BARRIERS Hierarchical  Communication flows through formal channels in the organization following the hierarchy.  The employees are expected to follow proper channels active in the organization.  Usually subordinates do not feel easy to communicate with the superiors. Structural  An organization is a deliberate creation of managements for the attainment of certain specific objectives.  The day to day functioning of the organization is regulated to contribute to attain the objectives effectively.
  • 10. 11/1/2019 Poor Spatial Arrangements Faulty seating arrangements; placing of furniture in wrong direct, partitions, pathways, prevent eye contact face to face communication. Wrong Choice of Medium  There are number of channels and medium available for communication like oral communication face to face etc.  All three ways are suitable for communication at different times for different purpose.  Therefore its essential to think about merits or demerits.

  • 12. 11/1/2019 PSYCHOLOGICAL BARRIERS Most Difficult Bariers Difference in perception  Each person has different experience, knowledge and viewpoint.  Hence each person forms a different perception of what he/she reads/hears.  Neutral words intended to produce a positive meaning may convey the opposite as they reach the receiver & vice versa causing misunderstanding and misperception. Status Barrier  Status depends upon skills, amount of pay, seniority, background etc  A superior may only give selected information to his subordinate to maintain his status difference.
  • 13. 11/1/2019 Attitudes and Opinions  If the msg is consistent with our attitudes and values, we take it favorably.  On the other hand if it is contrary to our expectations and beliefs, we don’t receive it favorably. Closed Mindedness  If the receiver feels if he knows all about the subject, he/she may close his mind to the communication receptions.  It is very difficult to communicate with a person with deeply rooted prejudices.
  • 15. 11/1/2019 OVERCOMING COMMUNICATION BARRIERS 3. 41 2 7. 85 6 Planning of Ideas Msg should be absolutely clear. Proper Timing Msg should be delivered at proper time. Simple Language No rummage, brief and clear language. Effective Listening Should not be identified with subordination. Proper channel Use of different channels for different situations. Use of body language Oral comm. should always be backed up by gestures. Free Flow of info Distortion of msg should be checked at hierarchical levels. Mutual Trust It gives ideas and concepts a greater acceptance.
