1. Contracting How-To’s: PERSONALIZE A GENERAL REPORT,
and ADD TO A PERSONAL DASHBOARD
There may come a time when you need to keep an eye on a particular
project, or perhaps you need to provide specific details to your executive
management….well nothing to worry about!
In this Ariba Knowledge Nugget, you will see how easy it is to modify a
general report (in this case, an All Projects report) that has all projects for all
users and customize the report to only see one specific user’s projects. Then
we will save the report to a user’s personal workspace and, finally, we will
place the report in the personal workspace on the user’s home dashboard so
that the report is easily available. Each user in your organization has to do
this for themselves, but these activities will need to be done only once.
First, you need to create a custom version of the All Projects report for pro-
jects that you own and place it in your Personal Workspace. The current
example report is for all projects, so it is appropriate for managers and to
view the status of all projects.
To access the “All User” version,
from your Dashboard click on
Manage => Public Reports.
In Public Reports, select the Legal
Team Reports (click on the icon).
2. In the Legal Team Reports folder, click on the icon for Legal Report v2.
When you click on this, the report will run for all projects, all users. Next, you need to configure the
report for just projects you own. Click on Edit.

3. The Refine Data
screen will be
displayed. For the
Owner (Users): field,
click first on the
drop‐down arrow,
then on Select Others.
Type any part of your name in the Search Criteria box and click Search.
Find your name and click the
checkbox. Then click
Include.
You will be returned to the Refine Data screen. Click Done.
4. The report will be displayed with only your projects. Click Save.
On the Save Report screen, you’ll be prompted for a Report Name and a “Current Project”, which
will be the location of your report. You may optionally simply save as is with the information provided
or you may add your name to the report name, as displayed below. If you wanted to create this re-
port for other users, you would want to distinguish your report from someone else’s in your personal
workspace. Click Save.
Click Home to return to your home Dashboard.
5. We’re now ready for Step 2: add this report to your personal Dashboard. From the dashboard, click
the Configure Tab icon.
When the Configure Tab menu displays, click Add Content.

Many users will do quick searches by
Contract Title. If a standard naming con-
vention is used, users will be able to do
these quick searches right from their
dashboard (for example “Supplier Name,
Agreement Type, Department, Effective
Year,” so a contract title could read “Joe’s
PC Repair, Master Agreement, IT, 2010”).
From Add Content, under the Reports subheading, click Folder.

understanding of the different notifications
that come out of the system, how they are
triggered, and what they mean. As an
example, they should understand the dif-
ference between an Expiration notification
and a Notice notification, and why each is
important.
6. Find the Personal Workspace Vault and click Select.
Close the Add Content window by clicking Done.
Finally, the Portlet will probably be at the bottom right sector of the dashboard. You can drag the
Portlet to the desired location on your dashboard.
Now you can run your report right from the dashboard Portlet by clicking the Icon.
