PLAN OR REVIEW ADMINISTRATIVE SYSTEMS
ASSESSMENT ONE
TASK 1
Your task is to select an administration system that has been implemented by your current/previous
place of work, or a business you are familiar with and complete the activities below.
Select one of the following:
Payroll(eg a system that calculates and manages employees annual leave)
Debtors management (eg a system that tracks and follows up outstanding debtor payments)
Data collection (eg a system that can be used to collect customers feedback)
Data analysis (eg a system that can be used to ensure that any changes to organisational
procedures are communicated to all of an organisation’s departments/ staff)
Record keeping( eg a system that stores customers information and buying history)
TASK 2
Imagine you are a manager in the business you have chosen. You must complete the following four
activities in relation to the administration system you have selected in task 1.
Activity 1
You are to write an open invitation to tender for the development and supply of that system. Include
Details of your organisation( who you are and what you do)
A description of the system required
Detailed information about the system requirements
The timeline for the system implementation
How their quotation should be submitted
A request for details about post purchase costs, such as technical support, maintenance, and
the ongoing cost of operation
The date by which their quotation should be received
Activity 2
Create a checklist, flowchart and Gantt chart (form 1) for the implementation of the administration
system.
Activity 3
How and when you provide training and support to ensure the team has the understanding and
confidence to use the new system?
Activity 4
Identify two problems that might be encountered when implementing the system and explain how
these problems can be prevented and dealt with (eg contingency plans)
ASSESSMENT TWO
1. Crate a performance review form for the supervisors of Wayne’s Tandoori hut to use.
2. Explain the process you would use to communicate the new system to all employees?
3. What four steps will need to be observed in order to successfully implement the new system?
4. Create a checklist to assist you in managing the performance appraisal process.
5. How will the system monitor staff training needs and follow up to ensure issues have been
addressed?
