Data,%what%a%big%meaning%for%a%tiny%word.%The%word%«%data%»%is%used%for%almost%everything.%But%what%is%data% 
exactly?%According%to%Wikipedia,%data%is%«%an%abstract%concept%can%be%viewed%as%the%lowest%level%of%abstraction,% 
from%which% information%and% then%knowledge%are%derived.%».%So% it% is%a% piece% information%or%knowledge.% If%we% 
think% as% knowledge% as% information% assimilation% and% processes,% then% data% is% information.% Now% we% have% 
something%to%work%with:%Information.% 
In%a%perfect%business%world,%a%worker%would%use%the%right%information%at%the%right%time.%Unfortunately%it%is%not% 
always%the%case.%I%read%once%that%about%35%%of%the%managers%are%using,%at%least%once,%the%wrong%information% 
during%meetings.%Sound%enormous,%isn’t%it?%Let’s%have%some%more%percentages.%In%a%normal%working%day,%40%%

and%manage%information%today.%As%a%worker%you%have%multiple%sources%of%information:%%

First%you%have%the%paper,%organized%and%filled%in%big%files%or%in%storage%boxes,%with%liYle% 
informaVon%for%where%exactly%to%find%it.%And%when%you%are%nearly%to%find%it,%you%realize%that%the%

feel%the%need%replacing%the%document%where%it%should%be%filled.%So,%in%our%small%example,%the%

informaVon%he%needs.%But%what%if%both%of%those%workers%need%the%same%informaVon%at%the% 
same%Vme?%We%could%extend%this%example%to%printed%documents%not%on%the%printer%or%the%fax% 
anymore%(irritaVng%isn’t%it?).%What%a%waste%of%Vme.% 
Second%you%have%the%phone%calls%(or%any%voice%transfer%of%informaVon).%It%is%easy%to%imaging% 
that%someone,%important,%calls%you%without%asking%you%if%he%is%disturbing%you,%to%give%you% 
urgent%informaVon.%In%this%case%you%have%two%choice,%either%to%leave%everything%to%concentrate% 
on%the%phone%call%and%get%the%informaVon,%taking%a%long%Vme%to%get%back%on%what%you%where% 
doing%when%the%call%is%finished,%or%the%conVnue%and%not%being%concentrated%and%loosing%some% 
part%of%this%urgent%informaVon.%And%here%what%to%do?%Sending%an%email%to%the%person%asking% 
for%more%informaVon%about%the%call?%Analyzing%what%you%have%got%and%trying%to%deduct%the%

Third%you%have%the%office%documents,%produced%by%all%workers,%someVme%modifying%the%same% 
document%at%the%same%Vme.%What%is%the%right%informaVon,%how%to%merge%all%those% 
informaVon?%Having%mulVple%versions%of%the%same%document?%And%managing%different%

Fourth%you%have%the%internal%records,%coming%out%from%the%central%database.%The%worker%needs% 
to%prepare%a%purchase%order%for%a%customer.%He%finds%mulVple%entries%for%the%same%item,%with% 
the%same%descripVon,%but%labeled%differently%and%much%more%important%with%different%% 
reference%numbers.%Which%one%to%choose?%Going%back%to%his%manager%to%ask%for%the%right%part% 
number?%Assuming%that%the%one%in%stock%is%the%right%item?%Again,%due%to%an%input%mistake,%the% 
worker%faces%a%dilemma%leading%to%a%waste%of%Vme.% 
Fi_h,%you%have%the%long%streams%of%data.%The%worker%has%to%deal%with%thousands%of%excel%lines% 
and%columns%of%raw%informaVon.%Trying%to%sort%out%and%organize%it%in%an%usable%form%to%be%able% 
to%analyze%the%informaVon.%And%a_er%2%hours%of%hard%work,%Excel%closes%suddenly%without%any%

We% all% have% been% faced% to% those% cases%many% times.% This% is% due% to% the%way%we% organize% the%work% and% the% 
information.%Today%most%of%us%still%have%a%“work%on%paper”%culture.%And%we%work%like%that%since%human%being% 
discover%it%could%paint%on%walls.% 
This%overall%waste%of%time,%could%be%deeply%reduced%by%simples%tweaks,%in%the%paper%case%you%could%say%that%no% 
one% takes% a% document% out,% the% person%who% needs% a% document%makes% a% copy,% and% that’s% all,% no%more% lost% 
document.%You%could%log%your%phone%calls,%so%you%could%replay%them%to%be%sure%of%the%information.%This%is%called%

At% the% beginning,% electronically% storing% all% the% information% was% a% big% concern,% as% storage% space% was% very% 
expensive.%Today% it% is%not% the% case% anymore.%According% to% a% recent% article,% the% cost%of% a%disk%holding% all% the% 
world%music%costs%less%than%600$%(60TB%in%WAV,%but%only%6TB%in%MP3).%Space%is%now%cheap%enough%to%hold%all% 
your%needed%information.%But%how%to%store%information?%How%to%store%the%80%%of%unstructured4%information%to% 
hard% disks?%We% all% started% with% two% types% of% storage:% Files% systems% (replacing% the% physical% cabinets)% and% 
databases.% 
Let’s% start%with%database.%Databases%hold%only%20%%of% the%overall% information% in%a% company5.%As%per%design,% 
their% hold% structured,% indexed% and% therefore% searchable% data% (so% called% records).% The% records% are% linked% to% 
others% on% a% structured% relationship.%Most% of% the% time% those% records% are% presented% to% the% worker% through% 
interfaces%and%some%transformation%might%be%applied%through%applications.%Everybody%accessing%the%database% 
have% exactly% the% same% information.% And,% when% updated,% a% record% has% a% lock% system% preventing% multiple% 
updates%at%the%same%time.%IT%guru%thought%it%would%be%the%future%of%storage.% 
But%what%happens% if%you%have% structured% information% (like%a% customer%address)% in%unstructured% information,% 
like% a% fax% letter.% You% could% store% it% “as% is”% in% a% database,% but% the% internal%mechanism% of% a% database% is% not% 
designed%to%find%data%in%unstructured%information.%Databases%need%index%and%relations%that%must%fit%all%records,% 
and%database%have%predefine%size%limitations.%So%unstructured%information%is%stored%on%file%systems.%With%file% 
systems%you%can%create%a%“file%structure”%so%called%directories%to%organize%your%information.%You%can%duplicate,%

move,%delete,%restore%or%even%change%the%information%exactly%the%way%you%want.%That%is%pretty%cool%when%it%is% 
your%own%file%system.%But%you%are%not%the%only%one.%Working%on%the%same%documents%leads%in%errors%of%versions% 
(like% the% example% before).%Unwanted%move% or% deletion,%makes% it% difficult% to% find% the% files% and% therefore% the% 
information.%And%small%file%structures%make%you%search%in%thousands%of%files,%when%deep%file%structures%make%it% 
even%more%complicated%to%find%the%right%file.%Just%a%file%name%change%can%direct%to%data%loss.%More%than%34%%of% 
data%losses%in%a%company%are%due%to%a%human%factor,%when%only%6%%by%viruses%(that%where%potentially%brought% 
in%by%workers).%

But%back%to%the%storage,%why%is%it%so%complicated%to%have%the%right%information%available?%I%can%imagine%that%at% 
the%beginning%of%IT%when%the%storage%was%expensive%and%with%tiny%capacities,%it%was%a%great%solution.%We%had%to% 
determine%which% information% should% be% stored% on% those% storages.% But% storage% is% like% email,% long% time% ago% 
(about% 20% years),% enterprise% emails%were% complicated,% so% people%where% focusing% on% the% real% information% to% 
transfer.%As%emails%became%far%more%easy,%we%all%started%to%receive%a%lot%of%mail,%drowning%the%vital%information% 
in% a% sea% of% useless,% uninteresting% flow% of% information.% Data% storage% had% the% same% revolution,% were% vital% 
information%is%stored%next%to%the%funny%cat%picture%just%downloaded%from%Facebook.% 
But%why%IT%people%don’t%find%out%new%solutions?%Why%is%it%so%complicated%to%have%the%right%information%at%the% 
right%time?%I%personally%think%that%it%is%historical,%when%IT%people%first%appeared%in%companies,%working%in%their% 
ivory%towers%far%far%away%from%the%business%considerations%and%dictated%the%business%on%how%they%should%work.% 
We%tried,%without%a%lot%of%success,%to%create%a%new%kind%of%internal%position%call%Business%Analyst.%Their%job%is%to% 
understand%the%business%needs%and%translate%it%to%an%IT%language.%It%seems%that%the%IT%language%is%so%difficult% 
that%we%need%translators.%When%you%go%to%the%doctor%or%to%your%mechanic,%do%you%have%a%translator%with%you?% 
No%I%am%sure%not.%They%do%the%effort%to%understand%what%your%needs%are%and%they%explain%to%you%what%they%do% 
in%an%understandable%language%(anyway%they%try).%So%what%is%so%different%with%the%IT%guys?%Sometimes%math% 
teachers%are%more%understandable.%

While%writing%this%article,%an%example%comes%to%my%mind:%A%manager%was%asking%the%IT%department%for%a%new% 
server%with%a%SQL%database%for%a%special%project%(a%small%one).%His%target%was%to%setup%the%Database%to%compute% 
some%results%and%when%finished%the%server%could%be%recycled;%it%should%not%take%more%than%10%days.%After%filling% 
the%request%form,%detailing%the%reasons,%the%needs%and%the%approvals,%the%IT%department%took%about%2%days%to% 
answer%that%it%would%take%4%days%to%setup%the%server%and%the%DB%and%gave%the%costs%(about%5’000$).%So%far,% 
already%6%days%elapsed%before%the%business%project%can%start.%The%manager%took%his%laptop%at%home%and%went%to% 
a%famous%cloud%service.%It%took%him%less%than%1%hour%to%get%his%Database%setup%for%less%than%100%bucks%for%a% 
month%of%usage.% 
And%this%without%loosing%the%time%of%filling%the%internal%order%form%and%justifying%the%needs.%What%else?% 
In%general,%IT%people%are%not%used%to%information%management%and%business%concern.%And%now%we%have%to%deal% 
with%internal%information%and%external%information.%% 
By%the%way%we%didn’t%talk%about%applications%and%interfaces%(how%the%information%is%presented%to%the%worker).% 
You%have%3%kinds%of%applications:%

The%first%one%is%used%because%it%is%the%internaVonal%standard%so%to%be%compeVVve%and%to%do%the%same%as% 
everybody,%you%use%it.% 
The%second%is%used%at%maximum%of%%20%%of%what%the%applicaVon%is%able%to%do.%But%you%pay%the%100%%of% 
the%opVons.% 
The%third%is%the%complicated%one.%The%applicaVon%needs%so%much%modificaVons%to%fulfill%the%worker%needs% 
that%the%license%costs%are%much%more%lower%than%the%IT%project%team%to%tweak%the%applicaVon.%And%even%

The% third% type% of% application% is% interesting% in% illustrating% the% gap% between% IT% and% information%management.% 
Most%of%the%time%this%kind%of%application%is%first%chosen%from%a%feeling%(and%certainly%not%for%a%business%need,% 
this%consideration%comes%much%later).%It%almost%always%starts%with%the%same%scenario,%the%CEO%or%any%CxO%hear% 
something%from%a%friend%or%a%relative.%This%application%is%really%great%you%should%implement%it%for%your%business,%

%Then%he%goes%to%the%CIO%to%see%how%to%implement%the%application%within%the%organization%(we%still% 
haven’t%business%needs%defined%yet).%The%CIO%and%the%CFO%will%work%on%an%estimated%budget%(mostly%wrong).% 
And%when% accepted,% the% CIO% takes% the% lead% initiate% the% project,% implies% his% teams.% And% after% a%while% start% 
focusing%on%business%needs.%Even%if%the%application%is%great,%even%if%it%can%bring%better%tools%that%may%concern% 
information.%Without%information%the%business%is%unable%to%perform%its%job.%Business%should%define%the%needs% 
and% lead% the%project,%no?%Due% the%actual%approach,% some%of% such%project% I’ve% seen% took%more% than%10%years% 
with%huge%teams%to%tweak%the%application.% 
Some%applications%are%so%complicated%to%upgrade%or%change,%that%it%becomes%easier%to%deal%with%those%legacy% 
systems%by%adding%multiple%layers%on%top%of%them.%%

Last% day% I% was% thinking% about% information% management,% and% I% came% into% the% conclusion% that% information% 
management%is%a%question%of%culture%and%feeling.%Let’s%explain%myself.%If%you%take%a%teenager,%I%can%still%find%his% 
courses%in%the%mess%he%left%in%his%bedroom.%When%the%parents%have%a%clean,%wellcorganized%house.%On%is%a%pro%of% 
search% and% the% other% is% a% pro% of% organization.% Two% different% cultures% of% information.% Let’s% take% another% 
example;%a%Pakistanis%worker%will%need%wellcdefined,%structured%information,%while%a%French%worker%can%do%his%

structures,% like% being% under% CFO% or% COO.% Then% by% trying% to% apply% standard% governance,% workflows% and% 
processes% coming% from% well% known% frameworks.% Finally% they% changed% the% project%management% process% by% 
using% different%methodologies.% But% all% those%modifications% didn’t% permit% a% real% deep% change% in% information% 
management.%The%GAP%is%still%here.%By%the%way%adding%frameworks,%processes,%governance%and%workflows%leads% 
in%leak%of%imagination.%%

Imagination%leads%to%innovation%and%improvements%focused%on%business%needs.%Imagination%should%be%in%the% 
center%of%all%information%management%solutions%and%not%just%ideas.%%We%need%imagination%in%order%to%organize%

world% is% not% black% or% white,% or% 0% or% 1,% so% why% should% information%management% be% the% same,% only% storage%
