Responsible for providing secretarial and administrative support to all parts of the business. Other tasks include
covering for the reception area, meeting and greeting visitors, answering their queries and dealing with
deliveries.
Duties
Typing and referencing all correspondences for all the departmental heads so communication is
streamlined.
Ensure circulation of correspondences and maintaining a master file for all correspondence written within
the company.
Maintaining a register for the incoming and outgoing mail.

Ensuring the internal and external cleanliness of the offices and requisitioning of consumables
(beverages, toiletries, newspapers, etc) as is necessary.
Ensuring that internal and external telephone systems are in good working order by reporting any faults in
good time.
Ensure that archived information is easily accessible
Maintain updated physical and electronic files
Ensuring that the General Manager’s office has adequate files to cover various activities and these should
be traceable and updated at all times. Also ensuring that any dormant correspondence on the General
Manager’s desk is brought to his attention and forwarded for further action.
Plan and coordinate travel bookings, payments for hotels, airport pick-up, conferences, department
activities for all local staff and international guests.
Create and maintain an internal directory that will cover the internal key personnel as well as key business
partners such as bankers, suppliers, customers and any other stake holder of relevance to the company.
Supervising the office orderly.
Scheduling and coordinating meetings, events and other similar activities
Prepare interview documents
Coordinating between departments and operating units in resolving day-to-day administrative and
