Todd Berrett – Director of Server and Storage Solutions in BYU’s Office of ITIn May of last year, we had a series of events that led to some data loss. This has generated a lot of interest in backups. Thanks to the generous support of the University Administration, we have some exciting things to share with you today
Backups are part of our heritage. Moroni played a key role in the restoration of one of the largest data losses in the history of the earth.Although accomplished in the analog era, there are a few principles that are absolutely relevant as we discuss digital transformationsThree key lessons we can learn from Moroni are:Anyone can do backups – that is easy. The hard part is doing the restores. This takes planning and preparation well in advance.Sometimes it is necessary to abridge the large plates. Only store your most precious data on your most expensive mediaMountains are great for storing your backups
I would like to share a page from our engineers’ strategy notebookCampus data generallyexists in two very different types of systems. The first is on end point devices – specifically desktop and laptop computers. On these systems we store data relevant to our respective stewardships. Threats to end-point devices:Hardware failureTheft, loss, destructionUser errorChallenge: Flexibility to allow these devices to back up whenever, and wherever they may be.Campus servers store much of the critical enterprise data of the university. financial dataEmailregistration datadepartmental dataChallenge: Orchestrating backup operations around workload cycles of the servers. Many of these servers are very large, and very heavily used. For these systems, we offer the Campus Server Backup solution.
Specifics of Workstation Backup. Built with very close collaboration between a group of campus CSRs and the Office of IT. Allowed us to address the needs of a very diverse user base, while optimizing the resources in our central department. It is available to be installed on University-owned desktop and portable computers. There are two costs associated with Workstation Backup:One-time cost for the initial license to use the solutionLow monthly cost, less than $2 per computer, for the continued use of the product. The monthly cost has been waived for all users of the system for the remainder of 2013, and will begin in January of 2014.
In addition to waiving the monthly cost for 2013, the University has already purchased licenses to cover all University-funded computers, based on the ITI-Access counts. These license allocations were distributed to the colleges in November. For computer systems not covered by this funding, the option to purchase licenses is now available.
So, let talk about the product itself, and how it works.* For more information, or to purchase the client, see http://go.byu.edu/backupProtects the user files on end-point devices Not intended to back up the operating system or applications on a computer. Our solution is built on Code42’s CrashPlan Pro – Enterprise. If you follow Gartner, this is one of their highest ranked solutions, and leads the pack in the features that are most important to us.Backs up your files in near real-time. It watches for changed filesQueues them for compression, encryption and transmission, which it performs every couple minutes.Encryption allows you to perform backups even from off-campus, Compression minimizes bandwidth and storageWe allocate enough BYU data center storage to back up 100 GB of data for each device.Data backed up to our cloud is accessible from anywhere for you to access backed up files from your deviceClient on the ComputerWeb pageMobile DeviceBackups in our BYU cloud are stored encrypted and kept on-premises, for those who have compliance concerns. If you have more than 100 GB of data to back upLeverage external USB hard drives to store this dataBack up from one computer to another on the networkBoth must have licenses and clients for Crashplan runningWe track multiple versions of each file, so even if you want to restore an older version, you can do that, depending on the backup policies you have set.Customizable policies mean that you canSet the frequency of backupsLimit system resources during backupsSelect which files back up to each destinationAnd many more

Changing gears over to our server backup solution.Previously, server backups had been limited to a select group of OIT-managed servers in our Data Center
We are building a new backup systemContinue to back up everything from beforeUniversity Enterprise data (HR, payroll, AIM, email, etc)Extend the backup service to College and Departments serversVirtual Data Center (VDC), Ycloud, etcMost of the hardware and software has been purchased alreadyThe final system will:Be build on Commvault’sSympana backup solutionIf you follow Gartner, this system leads the magic quadrantBe built as a standalone systemDiscrete (non-virtualized) serversIts own disk and tape systemsIf anything were to happen to the other servers or disk arrays in the data center, this system will stand alone for restoresBe optimized for backups of our virtual infrastructure, or allow traditional backupsInclude standard backup profiles, as well as customizable optionsRetention periodsNumber of versionsOff-site rotationWe expect to have this solution built, fully tested and approved by the start of Fall semester this year.PricingWhen available, there will be a low monthly cost for this service, based on usage and the options. There may be some setup fees depending on the degree of customization necessary for your specific needs
