28. Gall’s law
28
“A complex system that works is invariably found to
have evolved from a simple system that worked.
A complex system designed from scratch never works
and cannot be patched up to make it work. You have to
start over, beginning with a working simple system.”

33. Why value streams?
33
It will help build a common understanding of your systems of work
It will help you maintain consistency across developers
Help prevent passing issues downstream to the next step
It will help you demonstrate your value to the business
It makes it easier to estimate work
Allows you to focus on optimisation steps instead of arguing about how it’s done
35. Value stream best practices
35
Gather as many stakeholders as possible into a value stream design meeting
List all the steps from concept to delivery – aha! to ka-ching!
Estimate the timing of each step! It doesn’t have to be perfect
Look for the bottleneck - Theory of Constraints
The goal is to increase throughput of the system
36. The first way: improving flow

Understand your audience
Identify your value streams
Confirm roles and responsibilities
Manage and improve the flow of work
40. Roles - what should I do?
40
Identify roles needed to deliver the value stream
Build cross functional teams that work together closely
Carefully manage communications and hand-offs
Assign an owner to each value stream, a “Data Product Manager”
Understand each stakeholders' dependencies

Joining us today is…..Greg Nash
Greg Nash is a Senturus partner in Australia. He is principal consultant at Dear Watson Consulting, a Microsoft Data Platform MVP and Power BI user group leader based in Melbourne Australia. He has 20 years of experience in enterprise IT and more recently, he’s specializing in Microsoft Power BI adoption, mentoring and development for organizations of all sizes.
Today’s agenda.
After a brief introduction of the speakers, we’ll get right into the topic.
Stay on after the presentation when we will
We’ll then share useful links, provide a quick overview of Senturus and let you know of upcoming events.
We’ll wrap with a live Q&A.
Thanks Michael, Welcome everybody
OK so before we start talking about high performing teams, lets start out with the problems faced by modern data analysts.
Lets take a look at an example… This is Jerry the analyst, he obviously has quite a bit on. It’s easy to see Jerry is busy because of all the paper piled up on his desk.
As an analyst we can probably relate to Jerry’s predicament
But in the modern workplace its not always easy to recognise the signs of an overwhelmed worker.
Click * it might manifest as stress,
Click * or unhappy customers.
End Part ONE – Time check:
The trap many organisations fall into is to buy a shiny new tool and expect it will solve all our problems,
We often find that problem isn’t the tool at all. It’s our system of work and we see this all the time with organisations that adopt new bi tools and still fail to deliver value with their data and reporting.
Although we will view talk today in the context of Power BI, these challenges are universal to all analytics tools.
But the good news is that the solution is also universal and that the fundamental principals can be applied no matter which tool you own.
The solution to these challenges has evolved over time, and across many industries, in the eighties Toyota set a new standard in manufacturing excellence with the Toyota Production System,
This evolved into LEAN and SIX SIGMA process management methodologies, that were adopted across a number of industries for example banking and healthcare
And more recently the same fundamental principals were used to revolutionise the development of applications through the DEVOPS movement.
All of these major leaps forward in capability followed the same pattern that modern high performing BI teams are using to better manage their work
These can be organised into 3 foundational areas. Flow, Feedback and Safety Culture – in DevOps they are referred to as the “Three ways”
Flow is the management work and increase of throughput in the VALUE CHAIN
Feedback is to do with sending information back up the value chain to improve quality
Safety culture is about two things,
1. Safety of the systems – in other words making them robust and less prone to failure.
2. Psychological safety – which is cultivating an employee culture where it is safe to fail so that continuous learning can be achieved, effectively we seek to OUT LEARN our competition.
I’d love to spend several hours talking to you about all three of these things! But, for today, let’s concentrate on what we can do RIGHT NOW. So today I want to focus on the first way… Improving FLOW
As data people, we don’t just build spreadsheets or data warehouses any more
Our product is INSIGHT
Users are your lifeblood, ultimately, the users will decide whether they can glean insight from your BI system
Know your audience:
Power BI User Personas
Executive - Needs
Report Reader - Needs
Content Creator - Basic - Needs
Content Creator - Advanced (Citizen Developer) - Needs
Data Viz / Data Analyst - Needs
Data Scientist / Engineer -Needs
Why do we want to do this?
BI developers often don't engage with stakeholders and take time to really understand their needs
By understanding some of our users needs we start to understand the value of what we build as analysts

To manage work flow must make our work visible – its easy to see Jerry has a lot of work on because we can SEE IT. To understand the way work flows through our system we need to SEE the system working.
First work out your simplest understanding of the process
Add more stakeholders to the conversation to add their pieces in.
Eventually you should have a reasonable representation of all the steps it takes to deliver an insight into your organisation – it could be hundreds of steps!
Once you have the steps – guess the timing of each step – e.g. the security check takes 3 days on average to complete… bottlenecks will emerge, there are techniques for dealing with them.
Different user cohort will either share values streams or need their own unique versions e.g. a exec / data scientist
Communication Overhead
Handoff
Remote Work
Silos
No ownership over the stream
Finally, with our work flow defined we can look at managing the flow.
It is important to remember that we are responsible for an insight delivery machine, that machine needs maintenance, operators and monitoring to ensure we can keep it performant and on the road.
There is a lot to be said but for now I’ll share with you the common best practices we see in high performing BI teams.
Use KANBAN boards to make your work visible to the whole team, it will help you identify bottlenecks and SEE where the issues are
And so we are on our way to high performing BI!
With an understanding of the value streams and how work flows through them we are in a position to optimise the workflow and reduce error rates using feedback loops! I hope you will join me again when I discuss the topic of feedback loops and safety culture in the future.
