CLUB HOSTING OBLIGATIONS
DISTRICT 1640 GROUP STUDY EXCHANGE IN 2010
1. Clubs are to abide by the itinerary and arrangements prescribed by the District
Committee, unless either the Chair or Inbound Convenor of the District Committee
agrees to changes.
2. Clubs are responsible for selecting hosts and providing meals and lodging for the
Inbound team members, unless otherwise prescribed in the itinerary prepared by
the District Committee.
3. Clubs are to provide all transport for team members to attend vocational and
general interest visits, outings, District Conference and transfers to/from the airport
and with other host Clubs, while responsible for hosting the Inbound team and as
prescribed in the exchange itinerary.
4. Clubs are to incur all costs of hosting, including Club visits, while hosting the team.
This includes the Welcome and Farewell functions. (The District Committee will
not be responsible for any costs, which are not agreed in advance.)
5. The District Committee is responsible for all costs associated with the
accommodation and meals for ‘Rest Days’ and for fees at the District Conference.
6. Clubs are at liberty to arrange outings and visits where indicated as ‘Club
Activities’ in the itinerary prepared by the District Committee.
7. Clubs are not authorised to vary the itinerary prepared by the District Committee,
even at the request of the Inbound team.
8. Any queries about the itinerary must be clarified with the Chair or the Inbound
Convenor of the District Committee.
9. The mid-exchange ‘Rest Day’ is for the Inbound team to relax and not undertake
any activity associated with District or Club activities. Clubs are asked to refrain
from contact during this period, except for transport before and after the rest days.
10. The Inbound team will find the pace of the exchange tiring and Clubs should
ensure that the team has sufficient rest and free time with host families and
personally while not compromising the value of the exchange.
