Introduction With Google Docs you can create document, upload them, download them, save them online and work in collaboration together to achieve a goal.Programs and Platforms for collaboration are designed to help people involved in a common task. Google Docstransforms the way documents are shared to enable more effective team collaboration. II. Definition Google Docs is a free service from Google that enables you to access online applications for making a variety of documents, including word processing documents, spreadsheets, presentations, drawings and forms. Google docs have been replaced by Google Drive it allows users to create and edit documents online while collaborating in real-time with other users. Google Drive is a file storage and synchronization service by Google that was released on April 24, 2012. Google Drive is now the home of Google Docs. III. Advantage and features You can safely storage your works with auto save. Ability to access Google Docs on the Internet, by Firefox or Internet Explorer. Familiar desktop and toolbar buttons to bold, underline, indent, change font… Edit and access your documents, spreadsheets and presentations from any computer with an Internet connection You can upload your files. Google Docs accepts most popular file formats, including DOC, XLS, ODT, ODS, RTF, CSV, PPT, etc. Create basic documents from scratch, including sorting by columns, adding tables, images, formulas, changing fonts and more. You can maintain responsibility for your own account and determining who can gain access to files that you want to share Easily find your documents by organizing them into folders. Drag and drop your documents into as many folders as you want. You can easily save your documents to your own computer in DOC, XLS, CSV, ODS, ODT, PDF, RTF and HTML formats and export copies. The Mobile Android Google Docs app is available for free on the Google Play Store, allows users to view, edit, and create Google Docs
  3. 3. IV. How to use Google Docs Create a Google Account Go to http://docs.google.com or drive.google.com,if you already have a Google account or a Gmail type in your Email and password to sign in. Otherwise click on the sign up button Fill in all of the required form to sign up for the account, and click on Create My Account.
  4. 4. Google Docs main window Now that you have created a Google account and are able to access Google Docs you can begin creating or adding documents to your account. The Gmail account on theright let us access: Account options like image, language, security and account management. The privacy policy inform us about the product We can sign in to another account by using the “add account” button We can sign out using the sign out button.

Offline Docs Edit Google Documents and view Google Spreadsheets offline All items All items you have created or uploaded on Google doc from docs, files or folders Trash Move files you don’t need any more to the trash. Click “empty trash” to permanently delete items and free up storage space. Owner, type, more.. Thisfunction can help us search for anitem; all documents are stored in groups. Google Docs helps you get to your files faster. Search for content by keyword and filter by file type.

Create a New Document you may noticed to big create button, if u click on it you have seven options : documents equal to word document, presentation equal to power point spreadsheet equivalent to excel, forms is for doing a survey and questionnaire, drawing is for diagram, folder is where u can store your documents in.
  8. 8. Rename a New Document If we open a document,the first thing we notice that it open in a new tab,so we still have access to my main document page. The first thing we have to do is give the document aname. We can click on the “untitled document” so we can enter a new document name. Type in the new document name and click OK.
  9. 9. The Documents sheet This document looks very similar to Microsoft word you have the options like file, edit, view, insert, format, tools, table and help. Then we have the toolbar so you can copy, paste, bold, underline, italicize, and many other editing options

  11. 11. Research inside Google Docs We can insert a image by uploading it from a album that already exist on the computer or take a snapshot with the camera or use the search option to find a picture on the internet all we have to do is to white the subject we are searching for in the search bar
  12. 12. Save a New Document Google drive hasan auto safe featured that save your document every second if u notice the file menu there is no place for us to hit save, it save faster than we can manually do it.
  13. 13. Add Comments to a Document If we click on comment button, we can write comments or discuss and we can make the discussion hidden if we click on resolve. We also can edit or delete the comment. If we click on the notification settings a box will appear so we can choose the notification options.
  14. 14. Collaborating and Sharing a Document A wonderful feature of Google Docs is the ability to share your work with others. You have many options to do this. You can give access to a document where the viewers are only able to read the document and not make any changes. You can also give access to a document where people can collaborate with you by making changes. You will be able to see the changes that each person has made to your document. Click on All Items in your left navigation menu to show all the items that you have in your Google Docs account. Select whichone you would like to share with another person by clicking the checkbox in front of the document. Then the More Actions will appear click on the Share button
  15. 15. Sharing Settings To share the document we can click on the share button, a box will appear. This box contains a link to share with other to collaborate with. We can share via Email, Gmail, face book and twitter. We can modify who will have access. We have three options public, anyone with the link or private. We can also add people who can edit the document, comment or view. You have the option to invite others to be Collaborators or Viewers. Collaborators are able to view as well as edit any documents that you share using this option. Viewers are only able to view the document. They are not able to make any changes to the document. After selecting the Collaborator or Viewer option you will need to type in the email addresses of the people with whom you would like to share the document. Separate addresses with a comma.
  16. 16. Upload an Existing Document In order to upload an existing document you just need to click on the red Upload button on the Menu bar beside the create button. We will have two choices to upload a file or a folder. Then you will need to click on the Browse button and find the document that you would like to upload.Once we choose the file from the computer uploading will begin. We can convert the file to Google Docs format or leave it as it is. Your file should now appear in your main window
  17. 17. The menu bar New folder:In Google Docs you have the same option for organizing your files like o your computer. By clicking on the new folder icon you can create a new folder and give it a name, or by clicking on the create button. you can use this tool to manage all the documents in separate folders. Sort: this option helps us sort the items by title or dates modified. it’s always better to sort by last modified so if someone else made a change or wrote a comment on a document you will see it directly on the top Switch to list:this option transforms all the items in a list mode Switch to Grid:this option transform all the items in a grid mode

Settings: by clicking setting a new page will open where we can change the language, choose a time zone, choose update indicator and edit profile Upload settings: confirm setting before each upload and convert uploaded files Manage apps: this tool help us to get more application Keyboard shortcuts: by memorizing the keyboard shortcuts we can use Google docs easily by clicking a letter from the keyboard. Help: the help tool can provide answers to our questions and help us use Google docs. We can learn or fix a issue Send feedback: the feedback option let you send Google suggestions about the products. They welcome problems reports, feature ideas and general comments

  20. 20. V. Conclusion Google Docs lets you choose exactly who gets your files. You don’t need email attachments anymore. Just share your file, folder, or Google Doc from any device. Google Docs lets you continue to create, access, and collaborate in a version-free world. The only disadvantage is that if someone determines your secret password or manages to steal your password, he could log in to your account and view confidential files, alter documents or delete them.
