Evernote history In 2007, two teams came together to found Evernote. The first team, led by renowned Russian entrepreneur Stepan Pachikov, had been working on advanced image recognition technologies and tools to improve people's memories. In 2007, Stepan met a like-minded entrepreneur named Phil Libin. Phil was looking to start a company that would use everyday technologies to help people remember aspects of their daily lives. It soon became clear to both that they shared a vision of improving the world's memory. Phil, along with his team of start-up veterans, joined forces with Stepan's group to form Evernote. Since that time, Evernote’s product family has grown to include every major desktop and mobile platform, and now has over 80 million registered users.

2 - Evernote flexible platform
Evernote is a flexible platform, designed to make it easy to capture and manage virtually any kind of content. Time Magazine recently said "Evernote is a database in the cloud that can store typed or handwritten notes, audio files, images and documents. Evernote has been successful by making this data instantly available on a wide variety of devices.”
TIP
Just think about the paper notes, emails, bills, invoices, images, documents, white board notes, voice recordings, computer files, internet searches, sticky notes and more……… you can save and retrieve at your convenience FAST, ANYWHERE 24-7
Imagine Evernote as your electronic brain in the cloud where you can simply store all relevant information into one single repository which then can be searched fast from any device anywhere in the world.
Do not underestimate the power of uncluttering your life, Evernote can be used for almost any situation where you need to store and retrieve data 24/7.

3 - What is Evernote?
Many people use Evernote in many different ways. To put it in the simplest of terms, Evernote is a very easy-to-use and powerful database, a “virtual memory” of sorts.
Each piece of information is called a “note”. These notes are then stored in “notebooks” so they can be managed systematically. You can thereby save, organize, and share almost any kind of information with friends or colleagues. This can be a simple shopping list, the itinerary for your next holiday, or a business project. The simultaneous overview of private and business data allows you to access all of your important information in one place. At the same time, there is also a strict separation of data between companies and private individuals.
Evernote is available for almost all computers (Windows Desktop, Mac OS X) and mobile devices (Android, Blackberry, iPhone, iPad, iPod Touch, and Windows Phone) and is availa- ble in free, Premium, and Business versions.
Currently, there are over 100 million Evernote users worldwide.

6 - Five Ways to Improve Your Business
If you’re in a business, you understand the many tasks required to keep the wheels turning. Whether you’re a business leader or supporting player, making small tweaks to your work can lead to big improvements in productivity and company success.
Here are some ways Evernote can help:
1 - Give big (and small) ideas a home. Inspiration can strike anytime, anywhere. Collect all your ideas into one “Ideas” Notebook. You never know which one can lead to a successful product or a new way to meet customer needs. Share the notebook with your team so eve- ryone can contribute.
2 - Communicate without email. Reduce the deluge of email by collaborating with team members, vendors and customers in Shared Notebooks. Colleagues can easily mark up documents and images to reduce confusion and streamline conversations. You’ll see all updates via the Ac- tivity Stream.
3 - Hold better meetings. Create meeting agendas in Evernote, complete with meeting goals and talking points, files up for discussion, checklists for action items, and more.
4 - Stop losing receipts. Every business incurs expenses. So, keeping accurate records is critical. Snap photos of receipts with Evernote on your phone, and scan bills and invoices at your desk with the ScanSnap Evernote Edition Scanner. All your financial information will be centralized and searchable. Easily share the records with your bookkeeper or accountant.
5 - Change your scenery. Sometimes just getting away from your everyday setting can bring new inspiration. Try working at a different desk, step outside to a coffee shop, or spend an afternoon at the park. With Offline Notebooks, you can take Evernote with you on your mobile device or tablet, so you can continue to work – even without Internet.
TIP
Think about and document the top 5 business processes which you use daily for communication around your company, these can then be implemented into Evernote Business quickly to build up a starting point for your team.

7 - Three Quick Ways to Build Evernote Use Among Your Team
Whether you’re just getting started with Evernote Business or been using it for awhile, the more content your team creates, the better — and more useful — it becomes. Creating and sharing content doesn’t have to be complicated; rather, it’s often better to start with the simple things so your team can get to know Evernote Business a bit better. Here’s how:
Give New Employees a Head Start 1 - Create Shared Notebooks, for key information like HR guidelines, policies and procedures, and important forms. As new team members join, share these note- books with them to introduce them to how your company works. Evernote Business lets you share multiple note- books at one time, making it easy to get everyone up to speed. Make sure to include a variety of types of content (documents, images, and more) so new employees see what’s possible with Evernote Business.
2 - Centralize Meeting Notes, assign a note-taker at each meeting, and have them record audio, capture whiteboards, and scan meeting documents using the ScanSnap Evernote Edi- tion. Store notes in a shared notebook in your company’s Business Home so everyone can review them as needed. To get your entire team in on the action, LiveMinutes lets your group simultaneously collaborate on a meeting note, which can then be stored and shared in your meeting notes notebook.
3 - Brainstorm Together, Colourfully, at ideation ses- sions, give each person a set of Post-it® Notes to write down their ideas. As you work through ideas, arrange (and rearrange) your Post-it® Notes on the wall to help you flesh out ideas. Use your phone to capture the Post- it® Notes into Evernote, where you and your team can share the notes and continue to move your ideas for- ward.
TIP
When minute taking save all the meeting note into a shared Evernote Business folder which can be shared to members of the team
Overview Guide Evernote Business August 2014 v1 page 10
8 - How to Share Key Information Among Your Team
At your business, you keep track of a lot of information. From assets that need to be availa- ble company-wide to project documents relevant to only specific teams, Evernote Business ensures that the right people have access to the right information.
Share with the whole company: Evernote Business is an ideal place to consolidate information you want everyone in your company to see. Create a shared Business Notebook for “Key Documents,” add your employee handbook, travel and reimbursement policies, tax forms or similar documents, and hit publish. Everyone in your company using Evernote Business instantly now has access to every document in the notebook. With the easy Evernote Business onboarding process, new employees automatically get access to these key notes the minute they sign on.
Share with workgroups: Not every bit of information created in your business is meant for company-wide consumption. Team projects, financials, or other confidential documents are often appropriate to share only within a workgroup or with select individuals. Evernote Business makes it easy to create notebooks for individual projects, teams, or groups, and then share them selectively with only those individuals who need to access a particular topic. In these notebooks, you can securely share project timelines, Post-it® Notes from team brainstorming sessions, working drafts, and other project or team-specific documents
TIP
To avoid duplication of company documentation create notebooks and store business files in folders which can be shared to all team members accordingly.

9 - Improve Teamwork and Communication
If you happen to work with other people, productivity extends beyond you. Especially if you work on a team, keeping everyone updated via Evernote can make you — and your team — more productive. Here are three ways to implement Evernote to improve team communication and teamwork:
Share and share alike. Whether you’re working with an internal team or with outside consultants, you’ll want a central place to collect everything related to managing your projects, including timelines, meeting notes, attachments and more. Shared Notebooks make teamwork easier. If you use Evernote Premium or Evernote Business, the people you invite to each notebook are able to view and contribute to your shared notes, improving team communication and allowing everyone to easily work on a project together.
Show and say “how.” The most productive and effective teams have clear written instructions on how specific job tasks are completed. This way, when one team member is unavailable, someone else can pick up where they left off. Create a “Processes & Procedures” Shared Notebook in Evernote, and let each person on your team note how they perform their day-to-day tasks. If they’re documenting a screen-based workflow, they can use Skitch to annotate screenshots and eliminate confusion.
Centralize what’s important. Most teams need to disseminate and update information regularly. Moving your information to Evernote makes getting the right information to the right people easy. For company-wide information (such as HR information and phone lists), the Evernote Business Library can keep everyone in the know, or individually Shared Notebooks can be used to selectively share. Key team members can be granted rights to edit as needed to keep your company’s notes up-to-date.
TIP
By having one central location for business documents, information can be quickly found by all team members when searching within Evernote or your internet search browser.

10 - Three Ways to Quickly Find Your Information in Evernote Business
If your team is overwhelmed at the idea of meticulously organizing notes and notebooks, consider a different approach: a search-based organizing system. Since search in Evernote Business is so powerful, it can be leveraged to develop a system around how your team or- ganizes information.
Here are a few ways to move toward a search-based system:
1 - Consolidate notebooks. A large collection of Business Notebooks can be overwhelm- ing. Consider consolidating the notes within them to reduce how many notebooks your team has. A quick brainstorming meeting with your team can help determine which notebooks are necessary. As a bonus, when your team has buy-in on the notebooks that get created, they’re more likely to use them.
2 - Create team tags. Once your team has agreed upon a set of Business Notebooks, create a set of tags that will help your team pull up relevant notes quickly. For instance, you can tag a note with the name of the person assigned to work on a project, project status, the name of a customer, or by region. Tags created within Business Notebooks are accessible by any team members who have access to that notebook.
3 - Save your searches. After tags are created, each team member can spend a couple of minutes thinking about the type of information they’re going to need regularly, and set up Saved Searches to quickly access the notes they need. For example, a team member in marketing who is working on creating user stories may be looking for customers who are using a particular product in a specific region by searching a combination of “Product” and “Region” tags. Then, save that search for later. You can search in Evernote for a single tag or a combination of tags that will help you find exactly what you’re looking for.
Create a Shared Note that lists essential search strings that your team can reuse as needed. If there are searches that team members use frequently, they can save and add them to their Shortcuts to easily access.
TIP
Creating a solid foundation of company notebooks and folders will enable a smooth implementation of Evernote Business within your company.

13 - Evernote Business Security
Evernote Business by its nature is a cloud based internet storage repository system. Your data is protected by industry-standard TLS/SSL encryption and two-step verification.
Evernote users trust Evernote with billions of notes and memories. That trust is based upon Evernote keeping that data both private and secure. This document is intended to provide transparency about how we protect that data. Evernote’s security program is part of Evernote’s ongoing product improvement cycle. We will continue to expand and update this overview as we add new security capabilities and make security improvements to our prod- ucts. We’ll cover two main focus areas in this security overview. The first is how we secure our products, infrastructure, and personnel. The second part covers the security features we provide that allow you to better secure your data and access to it inside Evernote.
Further details
Evernote publish a Security Overview PDF document which covers this topic in more detail, please email patrick@3mrltd.co.uk if you require a copy of this file.
Data Residence
All Evernote.com data resides on servers owned and operated by Evernote Corporation, located in the United States.
Transport Encryption
We use industry standard encryption to protect your data in transit. This is commonly re- ferred to as transport layer security (“TLS”) or secure socket layer (“SSL”) technology. Our SSL certificate forwww.evernote.com uses a 2048-bit RSA key.
Security Team
Evernote has a dedicated security team. Our team has designed a pragmatic security pro- gram that covers a broad range of disciplines and is working to continuously improve Evernote’s security posture. Protecting customer information is our primary charter.
An important component of our security team is our data forensics and incident response (IR) program. We run an in-house IR program with procedures and tools in place to respond to reports of security issues. We provide guidance to our employees on how to report suspi- cious activity.
This alerts us to social engineering attacks and other incident indicators that our tools may miss. We are continuing to improve our ability to detect attacks against both our network and systems.
Disaster Recovery
Evernote backs up all customer content at least once daily and replicates those backups to their secondary data centre. This process ensures that we can recover from a complete site failure in our primary data centre.
We do not utilize portable storage media, eliminating the risk of a data loss due to backup media loss in transit. All backups traverse a private data circuit between our data centres.

• 8. Overview Guide Evernote Business August 2014 v1 page 8 6 - Five Ways to Improve Your Business If you’re in a business, you understand the many tasks required to keep the wheels turning. Whether you’re a business leader or supporting player, making small tweaks to your work can lead to big improvements in productivity and company success. Here are some ways Evernote can help: 1 - Give big (and small) ideas a home. TIP Think about and document the top 5 business processes which you use daily for communication around your company, these can then be implemented into Evernote Business quickly to build up a starting point for your team.
  • 9. Overview Guide Evernote Business August 2014 v1 page 9 7 - Three Quick Ways to Build Evernote Use Among Your Team Whether you’re just getting started with Evernote Business or been using it for awhile, the more content your team creates, the better — and more useful — it becomes. Creating and sharing content doesn’t have to be complicated; rather, it’s often better to start with the simple things so your team can get to know Evernote Business a bit better. Here’s how: Give New Employees a Head Start 1 - Create Shared Notebooks, for key information like HR guidelines, policies and procedures, and important forms. TIP When minute taking save all the meeting note into a shared Evernote Business folder which can be shared to members of the team
  • 10. Overview Guide Evernote Business August 2014 v1 page 10 8 - How to Share Key Information Among Your Team At your business, you keep track of a lot of information. In these notebooks, you can securely share project timelines, Post-it® Notes from team brainstorming sessions, working drafts, and other project or team-specific documents TIP To avoid duplication of company documentation create notebooks and store business files in folders which can be shared to all team members accordingly.
  • 11. Overview Guide Evernote Business August 2014 v1 page 11 9 - Improve Teamwork and Communication If you happen to work with other people, productivity extends beyond you. Especially if you work on a team, keeping everyone updated via Evernote can make you — and your team — more productive. Here are three ways to implement Evernote to improve team communication and teamwork: Share and share alike. TIP By having one central location for business documents, information can be quickly found by all team members when searching within Evernote or your internet search browser.
  • 12. Overview Guide Evernote Business August 2014 v1 page 12 10 - Three Ways to Quickly Find Your Information in Evernote Business If your team is overwhelmed at the idea of meticulously organizing notes and notebooks, consider a different approach: a search-based organizing system. Since search in Evernote Business is so powerful, it can be leveraged to develop a system around how your team or- ganizes information. Here are a few ways to move toward a search-based system: 1 - Consolidate notebooks. TIP Creating a solid foundation of company notebooks and folders will enable a smooth implementation of Evernote Business within your company.

  • 15. Overview Guide Evernote Business August 2014 v1 page 15 13 - Evernote Business Security Evernote Business by its nature is a cloud based internet storage repository system. Further details Evernote publish a Security Overview PDF document which covers this topic in more detail, please email patrick@3mrltd.co.uk if you require a copy of this file. Data Residence All Evernote.com data resides on servers owned and operated by Evernote Corporation, located in the United States. Transport Encryption We use industry standard encryption to protect your data in transit. This is commonly re- ferred to as transport layer security (“TLS”) or secure socket layer (“SSL”) technology. Our SSL certificate forwww.evernote.com uses a 2048-bit RSA key. Security Team Evernote has a dedicated security team. Disaster Recovery Evernote backs up all customer content at least once daily and replicates those backups to their secondary data centre. This process ensures that we can recover from a complete site failure in our primary data centre. We do not utilize portable storage media, eliminating the risk of a data loss due to backup media loss in transit. All backups traverse a private data circuit between our data centres.

  • 18. Overview Guide Evernote Business August 2014 v1 page 18 16 - About the Author Patrick Maloney, MBCS. I am an Evernote Business Certified Consultant (EBCC) based in the United Kingdom. I have over 24 years working as a consultant and business analyst in the IT industry in and around Enterprise Content Management (ECM) and ecommerce, working with many SME’s and large corporations in the UK and Europe. I came across Evernote Personal in 2009 and instantly recognised its awesome power with storing any type of data within one central location, which can be accessed anywhere in the world by any device fast 24-7 - totally portable. Trust me I came through the nineties using many different types of software systems and personal electronic organisers to capture my data, but in the end these were stand alone and never that reliable. My experience and background in electronic content, document management, ecommerce systems and consultancy has enabled me to understand the power of Evernote Business. Allowing me to work closely with Evernote and become the first EBCC in the UK. In this fast paced world, it is so important to have the correct systems in place to deal with the masses of data around us - Evernote allows this perfectly.
