LISTENING
• Listening is the ability to accurately receive and interpret
messages in the communication process.
• Listening is key to all effective communication. Without the
ability to listen effectively, messages are easily misunderstood.
As a result, communication breaks down and the sender of the
message can easily become frustrated or irritated.
The receiving stage of listening is the basic stage where an individual hears a message being
sent by a speaker.
The understanding stage of listening occurs when a receiver of a message attempts to
figure out the meaning of the message.
The remembering stage of listening is when a listener either places information into long-
term memory or forgets the information presented.
The evaluating stage of listening occurs when a listener judges the content of the message
or the character of the speaker.
The responding stage of listening occurs when a listener provides verbal or nonverbal
feedback about the speaker or message
self-awareness
 Self-awareness is the ability to monitor your own emotions and reactions.
 Self-awareness allows you to know your strengths, weaknesses, triggers, motivators and
other characteristics.
 Being self-aware means that you take a deeper look at your feelings, why you feel a
certain way and how your feelings could turn into reactions.
 seven tips for improving self-awareness.
• Keep an open mind.
• Be mindful of your strengths and weaknesses.
• Stay focused.
• Set boundaries.
• Know your emotional triggers.
• Embrace your intuition.
• Practice self-discipline.
 People who possess a high level of self-awareness tend to be good at listening,
which is one of the most vital skills to live consciously, meaningfully and
compassionately.
 The ability to listen allows you to:
 Avoid getting your stuff all over other people.
 Learn more about other people.
 Avoid jumping to conclusions.
 Honour other people.
 Treat people with respect.
 Build trust.
 Connect on a deeper level.
 Practice self-awareness by not stepping on the important things people are trying
to tell you.
 Show how healthy and balanced you are.
 Build positive relationships.
Active listening and becoming an Active listener
• Active listening refers to a pattern of listening that keeps you engaged with your
conversation partner in a positive way.
• These are five key active listening techniques you can use to help you
become a more effective/ Active listener:
1. Pay attention.
2. Show that you're listening.
3. Provide feedback.
4. Defer judgment.
5. Respond appropriately.
• Start using active listening techniques today to become a better
communicator, improve your workplace productivity, and develop better
relationships.
1. Pay Attention
• Give the speaker your undivided attention, and acknowledge the message. Recognize that non-verbal
communication also "speaks" loudly.
• Look at the speaker directly.
• Put aside distracting thoughts.
• Avoid being distracted by environmental factors. For example, side conversations.
• "Listen" to the speaker's body language .
2. Show That You're Listening
• Use your own body language and gestures to show that you are engaged.
• Nod occasionally.
• Smile and use other facial expressions.
• Make sure that your posture is open and interested.
• Encourage the speaker to continue with small verbal comments like yes, and "uh huh.“
3. Provide Feedback
• Our personal filters, assumptions, judgments, and beliefs can distort what we hear.
• As a listener, your role is to understand what is being said. This may require you to reflect on what is being
said and to ask questions.
• Reflect on what has been said by paraphrasing.
"What I'm hearing is... ," and "Sounds like you are saying... ," are great ways to reflect back.
• Ask questions to clarify certain points. "What do you mean when you say... ." "Is this what you mean?"
• Summarize the speaker's comments periodically.
4. Defer Judgment
• Interrupting is a waste of time. It frustrates the speaker and limits full understanding
of the message.
• Allow the speaker to finish each point before asking questions.
• Don't interrupt with counter arguments.
5. Respond Appropriately
• Active listening is designed to encourage respect and understanding. You are gaining
information and perspective. You add nothing by attacking the speaker or otherwise
putting her down.
• Be candid, open and honest in your response.
• Assert your opinions respectfully.
• Treat the other person in a way that you think they would want to be treated.
