Im here today to help you understand the benefits of cloud computing, office 365 and sharepoint, how it has evolved to help streamline IT, make platform integrations seamless, users interaction collaborative and reduce IT overheads especially for Non Profit organisations who can take advantage of the free or significantly reduced cloud services donated by Microsoft.
We going to start by taking a quick glance at how the cloud came to evolve
Then we will take a look at the different ways you can deploy to the cloud and the types of managed service that are available via these deployments
We will then look at how the cloud is relevant to organisations especially NFP through the use of Office 365 and sharepoint
Then finally a look at some of the cost benefits available to not for profit organisations who adopt a cloud strategy
While the term “cloud computing” has only entered the public’s lexicon in the past 10 years or so, the idea’s been around for decades. Cloud computing basically refers to a process of sharing resources to optimize performance. Practically speaking, that means using a network of computers to store and process information, rather than a single machine
Simply put the cloud is about connecting to data and services over the internet instead of on your local hard drive. This means business leaders and IT can concentrate on being more strategic and reap the benefits of the cloud beyond IT
The early days of computing actually leaned heavily on a pretty similar concept. Back in the 1950s, when computer mainframes were the size of a room, users would log on to a dumb terminal to take advantage of the machine’s processing power. (They’re called dumb terminals because they can’t really do much of anything without the mainframe.) This time-sharing model is pretty analogous to the way cloud computing works on the internet today. But instead of one massive mainframe in the middle of a room, we rely on a global infrastructure of servers and data centers to do the heavy lifting.
By the time the 90s rolled around, it was pretty clear to the cyber-prophets of days gone by that the future would enable the whole world to share resources. Engineers started using a drawing of a cloud to refer to this network in patent drawings in the mid-90s. Compaq engineers coined the term “cloud computing” in late 1996, and less than a year later, Steve Jobs described a proto-iCloud at WWDC:
A wonderful thing happened about a decade ago. Thanks to a confluence of factors, lots of computers started getting persistent, high speed internet connections. Not long thereafter, mobile devices started getting the same thing. So if devices are always online, and data transfer speeds aren’t abysmal, why not just store all the software and storage online?
That’s essentially where we’re headed with the 21st century notion of cloud computing. Cloud computing means that your laptop works less like a standalone computer and more like a dumb terminal.
And for those of you that are not so familiar with the cloud here are 12 ways you already use the cloud without even thinking about it.
If you have used any of the following in the past 15 years, then you have used the cloud.
For the most part the cloud was used to store data and email, now that we have stable high speed internet, servers and software are being stored online and accessed via the internet, paving the way for truly dynamic, scalable and flexible pay as you go IT services.
So lets take a closer look,
There are 3 types of cloud
One that everyone uses, PUBLIC facebook, Gmail, Netflix etc
One that you and your organisation use PRIVATE
And a blend of both
The public cloud is hosted in multiple locations by a service provider away from your business premises. Your data and programmes are on the same servers as other clients, but that doesn’t mean that one client can gain access to another. Your data is separate and secure.
Because your investment in the public cloud is matched by lots of other businesses, the public cloud provider can spend more money on the latest hardware, software and security technology. That’s why, if you use Microsoft Office 365 or Dynamics CRM Online, your software is always up-to-date.
A private cloud is a distinct and secure environment for just one business. Your data and programmes are kept on a separate computer - or ‘server’ - either on your premises or on a service provider’s premises. The private cloud can also offer more agility for businesses to quickly develop, test and deploy the programmes they need. For smaller businesses, however, the costs can be prohibitive if deploying a private cloud on premise as there are upfront hardware costs as well as running costs too. A lot of businesses go down the hybrid cloud route. It’s a customised combination of both private cloud and public cloud according to your business needs. If you host your data in your own private cloud, but extend that to meet external resources in the public cloud, then you’re working in a hybrid cloud model.

Software as a service (SaaS; pronounced SaaS is a software licensing and delivery model in which software is licensed on a subscription basis and is centrally hosted It is sometimes referred to as "on-demand software". SaaS is typically accessed by users using a thin client via a web browser. SaaS has become a common delivery model for many business applications, including office and messaging software, CRM, GP & Hr system
Platform as a service (PaaS) is a category of cloud computing services that provides a platform allowing customers to develop, run, and manage Web applications without the complexity of building and maintaining the infrastructure typically associated with developing and launching an app.
Infrastructure-as-a-Service – or IaaS – is about renting the actual hardware, such as servers and the tools to maintain them, to essentially allow businesses to run their own cloud.
So what are the benefits of moving to a cloud strategy?
The benefits are also flexible, it’s a case of deciding which cloud type (the infrastructure) and which service model (the managed services) best fits your requirements
Capex
Cloud computing services are typically pay as you go, so there’s no need for capital expenditure at all. And because cloud computing is much faster to deploy, businesses have minimal project start-up costs and predictable ongoing operating expenses.
Upgrade costs

When to conceder a cloud solution

And one other significant benefit of the cloud that sometimes goes unnoticed! It reduces your energy bill through the consolidation of IT which also has a positive impact on the planet
To fully realise the benefits of cloud computing business leaders and IT need to understand the level of managed service required by there business
So lets take a further look into Service model types as this will help you understand the level of managed services typically delivered as part of those service models.
There are 4 types of service model, the traditional Onpremise model where all IT responsibilities are owned, managed and maintained from end to end by the organisation and the 3 Cloud service models which provide flexibility
Infrastructure as a service IaaS – Flexible and hands on Businesses can reduce capex on hardware and not have to worry about failing hardware or networking components but there IT function can retain full control of the system configuration, data and applications.
Platform as a service PaaS and – Not really relevant for this presentation but businesses using this model can rent out fully configured managed and maintained platforms to run their own apps or websites while retaining full control of there application and data.
Software as a service SaaS - SaaS models provide an end to end solution for customers who either don’t have their own IT resource or skills to manage a solution or for businesses looking to simplify there IT function, reduce costs or gain head room within there IT.
With a SaaS model, you rent a sofware solution which includes the infrastructure & software and then pay for the management and maintenance of the full end to end solution.
Ok so a managed service in brief is the act of proactively managing an IT asset or Object by a 3rd party known as an MSP on behalf of a customer. In the old days before the cloud you had to purchase you IT assets then invest into managing and maintain those assets either through you own internal IT function or paying a 3rd party to provide ICT support to manage those assets for you.
the cloud has evolved to provide total flexibility for everyone, The level of managed services depends on the type of service model you go with, its not complicated you can have a fully hands on, partially hands on or fully hands off model or a hybrid of the 3, either way you still invest into a platform to run your IT solutions and also into the skill and resource to manage and maintain all of your assets.
But with a cloud solution headaches such as the capital outlay, ensuring you maintain the skills to keep the lights on, disaster recovery and so on are significantly reduced leaving your business to focus on what matters!

So lets take a look at how the cloud is relevant to Non profit organisations
NFPs can benefit from free or significantly discounted cloud services from Microsoft and we shall talk about these benefits in the next section but first To understand why this is case lets take a look at the bigger picture, let me explain high level what is going on with the cloud and IT, why Microsoft can offer free and discounted solutions to organisations like yourself.

Sharepoint for centralised and customisable team intranets and a collaborative document storage
Yammer, a social network for increased collaboration across your business
Skype for business, reduce your telephone and travel bills and even office space by using IM or HD video conferencing for meetings or working from home.
O365 sits with the Azure platform so microsft take care of the software update, hardware and availability of your environment
O365 also enables the apps to be installed locally so that when you don’t have internet you can continue to work offline and your files will automatically sync to the cloud once your back online.

So gone are the days when word, powerpoint, excel are installed on your network and the headaches and hassle of dealing with compatibility issues from documents being emailed to you by people running different versions, not being able to send large files.
The files are stored centrally and you connect to them via the internet, from any device, anywhere... With the peace of mind that Microsoft and taking care of the IT for you.
To show you what this looks like here we have an example of users working collaboratively on an Excel spreadsheet, its being edited by multiple people at the same time, from different locations. The edits can either be made on an offline copy and synced across to the cloud, or directly in the cloud via excel online.
In this example all users are editing the document online.
Scaled up users can work in this, collaborative way across the entire office suite and use IM or video conferencing to really pull things together using Sharepoint to publish documents within a customised team intranet site. This way of working can really have a positive impact on the way you get things done. Time saved, money saved and tasks done faster.
