Save Gmail Messages as PDFs

  1. 1. Easily save your email attachments and Gmail messages in Google Drive. The attachments are saved in their original format while the email messages are saved as PDF files in Drive. Introduction The Send to Google Drive programm will automatically download and save all the file attachments, include the email message itself, to a specific folder in your Google Drive. You can define a mapping between Gmail Labels and Google Drive folders so that all email messages and files in particular Gmail label are saved in the mapped folder on Drive. You can get the Send to Google Drive program from Digital Inspiration. The premium edition lets you save email messages PDFs, you can set it to allow attachments of specific types to be saved in Drive and you can monitor multiples labels in Gmail for saving them to Google Drive. Step 2: Add Gmail to Google Drive Mapping Next you need to specify the mapping rules that will tell the program the Gmail labels that are to be monitored and the corresponding Google Drive folder where the messages and attachments would be saved.   4. 4. Mapping Tips The mapping sheet has 4 columns: 1. Gmail Label Name - Specify the full name of the Gmail label and any emails that have this label are saved to Google Drive. If you are using nested labels in Gmail, use a hyphen (-) between the label names. 2. Google Drive Folder - Specify the full path of the Google Drive folder where the messages are to be saved. If the folder is a sub-folder, you would need to use double slash (). For instance, if you want to save photos under the folder Photographs that is under Personal, you need to specify the path as PersonalPhotographs. 3. File Types to Save - Specify the list of file types (or file extensions) separated by commas and only matching attachments will be saved in Drive. You can specify "all" without quotes to save all files irrespective of the type or leave it blank to not save any attachment. 4. Save Message as PDF - Say yes here if you would like to save the email thread as a formatted PDF file in Google Drive.   7. 7. Accept Authorize the program to access your Google account. It needs these permissions to read the emails in your Gmail account and save them to your Google Drive. The program also needs permissions to write the activity log in a Google Spreadsheet. The script runs in your own Google Drive and not a single byte of your data is shared or uploaded anywhere. You can also view the entire source code inside the Script editor of the spreadsheet.   8. 8. Step 4: Activate the Program Once the script is authorized, go to the Gmail Attachments menu in the spreadsheet again and choose step #2 Run to activate the program. It is now running in the background and, every few minutes, it will connect to your Gmail account and save any email messages and file attachments in the corresponding folders on your Google Drive.   9. 9. Troubleshooting The Logs sheet contains a detailed log of every activity of the Google Drive script. If you get any errors, you can check the Logs sheet to troubleshoot and find the source of the errors. You can also use the Logs sheet to quickly open the saved files in Google Drive.
